Configuring Fleet Management in SAP

In the below steps, I have explained the basic configurations required for Fleet
Management and the details regarding each customization.
1. Creating types of technical objects
In this step, you create the technical object types for the fleet objects you have.
You can create different objects for Cars, trucks, Vans and so on.
I have only created Fleet object for demonstration
2. Creating new Equipment category for Fleet
While creating a new equipment category for Fleet, you will be given the following
options to select

Reference Choose Machines
Description Provide a proper description for the object
A (Checkbox) Alphanumeric Yes/No. If you choose yes then Equipment can have
alphanumeric labels like Car1, Truck2 etc.

C (Checkbox) Change Documents required Yes/No. If you choose yes then Change
documents will be available for the equipment. Choose display Equipment Extras Documents
for changes Changes
W (Checkbox) Workflow trigger required Yes/No. If you choose yes then workflows can
be triggered on creation or change of the equipment. Approvals may be required for
create or change of equipment data and workflow will maintain those approval
logicObject Info PM/SM. Choose PM

View profile Choose the view profile you have create/existing one.

CTyp/MatNo Check between construction type and material number. Either warning or
error message can be selected which will trigger the selected when there is mismatch between
construction type and material numbers

CC Equipment Type with Change Documents during Creation. This will generate change
documents for equipment creation
Creating the number range for the equipment category
things that you should keep in mind about the number ranges

There are two
Internal/External number ranges You can define if the system should pick the number
from the range that is given (Internal) or the user will provide the number(External)
Groups and Intervals Groups define the equipment category (in this case) which fall into
the number range defined. Intervals provide the ranges (ex 00000-99999) for the equipment
After you have created the equipment category, it will come under the un assigned group
Now you can assign the Fleet
equipment category to an existing group or create a new one.

Creating new one
Click on create and enter the details for the new group. Provide the desired number
ranges

w select the fleet equipment category and click on Elements/groups icon on the top and
then select the new group you have selected

Assigning to an existing group
Select the fleet equipment category and click on Elements/groups icon on the top and
then select the group you want to assign toIf you want the Fleet object to have External
number range then select the intervals in the initial screen and check the External
number range flag for that range3. Select the view profiles for Fleet
equipmentHere you create a new view profile for the Fleet object.For all the object
types that you have created for the Fleet, you can customize the tabs layout
4. Assign View profilesHere you choose the profile you have created and assign it to
the different technical object types.Next step includes defaulting the equipment category
for the technical object typeScenario You have created different technical object types
such as Car, Van etc. as shown in the above steps and you require different set of
fields/tabs for them. You start by creating view profiles as shown in the above steps and
assign it to the technical object types. Or you can assign the same view profile to all of
the objects
5. Consumable typesIn this step, you can create the consumable types that the fleet
object runs on.Here you add the consumable types such as Petrol, Diesel, Natural Gas,
Unleaded etc. These can be used for validation and permitted types and also for
reporting
6. Usage typesIn this
step, you can set up the usage indicator for the fleet objects like Business or
PersonalScenario Some fleet objects should be used only for business while some fleet
objects are given to the employee for personal use. The usage indicator can be used to
define that. Validations can be set up in the system through ABAP codes to validate the
usage indicator field in the system for usage
7. Engine TypesIn this step
you define the engine types for the fleet object.Scenario Business might have different
fleet objects with different engines which require skilled person with that engine to
repair/maintain. In that case you can define the engine types in this steps and use in the
equipment master data.

8. Calculating the Consumption Data for Miles per GallonDefine Inverse area The

10. Create Characteristic
In this step, you will be creating a characteristic that needs to be assigned to the
measuring point. Based on the requirement you need to create characteristics for
consumption of fuel (Liters), Distance travelled (Kilometers or Miles) etc.
11. Create measuring points
Now as you have to create measurement points for the Equipment for the Fuel,
Odometer/Distance etc. and assign it to the Fleet equipment.
Here you assign the characteristics, Measurement position and initial readings for the
measurement point.
Calculations will be based on the measurement documents that are submitted for the
measurement points.
You can also trigger maintenance plans based on the readings from the measurement
points
