Invitation of bids from Professional Photographers for interior and exterior
photography of HPTDC hotels
Scope of Work:
Himachal Pradesh Tourism Development Corporation (HPTDC) is a State Govt.
undertaking and running more than 60 hotels/ cafeterias located at various places of the
state. The interior and exterior photography of these properties is required for publishing
on official website of HPTDC and its booking channel partners. Apart from this, these
photographs will be used for various online/ offline marketing & publicity campaigns of
HPTDC.

Earnest Money:
An earnest money amounting to Rs. 3,000/- should be enclosed with the bid document.
The earnest money must be paid in shape of bank draft issued in favour of Managing
Director, HP Tourism Development Corporation and payable at Shimla. The bids
without earnest money will not be considered.
Terms and Conditions:
1.
The bidders in their own interest are requested to visit the website of HPTDC
(www.hptdc.nic.in) to have a complete idea of location of the HPTDC
properties before submitting bids. Any negligence/ excuses on this part will
not be accepted at later stage.
2.
The
bid
document
can
be
downloaded from
http://www.hptdc.nic.in/tenders.htm
and submit
document in prescribed format only.
3.
The bid alongwith EMD must be submitted in prescribed Form in a sealed
envelope superscripted Bid for Photography of HPTDC properties.
4.
The photography of all properties of HPTDC will be required to be completed
within a period of 3 months period.
5.
The photographer/ firm should have minimum experience of 5 years of
professional photography and suitable proof thereof should be enclosed with
the bid document.

7.
The photographs should be of high resolution @ 300 DPI. The interior and
interior photographs should be of minimum file size of 12 MB and 20 MB file
size.
8.
The photograph of each property should be supplied in a separate CD.
9.
Each photograph should be supplied in raw as well as in jpeg format
10.
The photographer will ensure that the site/ rooms are properly arranged/
prepared with proper lightening suitable for photography.
11.
The photographs will be accepted by a committee of officers of HPTDC
constituted for this purpose. Photographs not found suitable will be required
to be again photographed and re-submitted upto the satisfaction of the
committee.
12.
The payment will be released in installments on supply of photos of each
hotel.
13.
A list of hotels with minimum number of photographs required is attached.
14.
The bidder will be fully responsible and liable for any ownership or copyright
dispute in respect of the photographs submitted by him.
15.
HPTDC will enjoy ownership rights in respect of the photographs supplied by
the successful bidder and will be free to use it in online/ offline media for
promotion of its business.

The bids will be opened on scheduled date time and venue by a committee of
HPTDC officers in presence of the representatives of the companies who
want to remain present at the time of opening.
17.
Bids can be submitted in the office General Manager, HPTDC, Ritz Annexe,
Shimla, Himachal Pradesh -171001 either in person or by registered/ speed
post so as to reach his office on or before 16.01.2015 upto 02:00 PM
After submission of bids, it will be implied that the bidder has fully understood
the scope and terms & conditions of the work.

Each page of tender documents and enclosures must be duly signed as a
token of acceptance of tender conditions.
20.
Tender submitted without specified EMD amount shall be liable for rejection.
21.
Tender submitted not in accordance with the guidelines and or with counter
conditions will be liable for rejection.
22.
All prices must be quoted inclusive of all taxes and service charges.
23.
HPTDCs decision on acceptance /rejection shall be final without assigning
any reason thereof.
