1. Style and forms of Business Letter
Most business letters must include a return address (letterhead or your name and address),
date, an inside address (receiver's name and address), a salutation, body paragraphs, and a
closing. However, there are several ways to format this information. For example, return
addresses can be centered or begin at the left margin or begin at the horizontal center of
the page.
There are four basic business letter formats.

Format for Writing Professional Letters
There are several formats for writing professional letters. There are two basic styles of

When writing a letter using block form, no lines are indented. Include your name, address, and
phone number where you can be contacted, as well as the date. You then include the name and

With new paragraphs, just skip a line instead of indenting.
Add your phone number where you can be contacted in the last paragraph. If the receiver needs to
use a relay service to call you, briefly explain that you are deaf/ hard-of-hearing and that s/he can
call you through relay. Give the receiver his/her state relay number and explain that s/he will need to
give the operator your number. Then give him/her your number.

When writing a letter using simplified style form, put the date on the left. Then, put the
receiver's name, and his/her title, company name, and address.
Write a subject line instead of a salutation. The subject line must be in all capital letters.
At the end of the letter, put your name and title, all in capital letters.

The word processing program in your computer might have some standard letter
templates that can help you. These programs generally have many different style and
format options. Check your template feature or the help desk on your word
processing program to see your options. Some key words you can try are:

2. the Cs of Business Letter
Clarity - The first element of all business letters is that they should be clear. This includes
the purpose of the letter and words used within the text. Clearly state your point near the
beginning to allow the reader a clear understanding of the letter's purpose.
Conciseness - Avoid using extra words in a business letter. The element of conciseness
refers to stating an idea in the fewest words possible. Don't add superfluous information or
extra words to fill space. Simply state the information that's important and pertinent, and
leave it at that.
Consideration - A business letter should also be considerate. This element is important
because you must think about the reader and his feelings and point of view. Make the letter
about him and not you.
Courtesy - Business letters should show respect to the reader and should demonstrate the
writer's personal respect for the reader and the company he works for.
Concreteness - refers to using vivid wording within the letter that appeals to the reader's
senses. If a business letter is dull, the reader may skim through, missing important points.
Cheerfulness - When writing a business letter, demonstrate a positive attitude that
expresses joy and cheer.
Correctness - A business letter must always be accurate. This means ensuring every word
within the document contains accurate facts and figures. This includes proofreading the
letter to check for grammar and spelling mistakes.
Character - Every business letter should show a bit of uniqueness from the writer. This gives
the letter character and may make it more interesting.
Other
Be complete: include all the necessary facts and background information to support the
message you are communicating. Partial instructions would not work if we were to survive.
Our captain had to make sure we saw the complete picture.
Be creative: use different formats (vs. straight narrative) to communicate your message. Q
& A format, graphics, Idea lists, etc. Sometimes hand signals were needed when the wind
and the sea drowned out our ability to hear.
Be correct: by checking all your information is accurate and timely. Double- check your
spelling, punctuation and grammar. Proof read it before you send it! We couldn't afford to
make mistakes, our lives depended on it!
Be credible: strive to present yourself from a position of reliability and competence. Write to
reinforce your message and make it more believable. We needed to trust that our captain,
with his experience in the US Coast Guard knew what he was doing and was telling us for
our own good.

repair costs at $4,000. That is not that far off. I dont understand why we havent been able
to agree on a repair price.
Taking into account your insureds absolute liability and my damages in this case, I demand
$4,600.00 to settle this case. This is not a complex claim. If I do not hear from you in one
week, I will call the Wisconsin Department of Insurance to file a complaint against you.

Dear Thomas:
It is with sincere regret that I must inform you that your employment at Addison Systems
Inc. will be terminated as of Friday January 31, 20xx.
As you know, the Downsizing Task Force delivered their report to the executive committee in
late October. Among the task force recommendations was the elimination of all temporary
and contract positions. Since you occupy a temporary position, your position is
automatically subject to the task force recommendations.
I would like to make it absolutely clear that in no way does your termination reflect that the
company is in any way unhappy with your work performance over the past 18 months. In
fact, you have been highly regarded as one of our most productive contract staffers.
Unfortunately, you and the other non-permanent staff that are being let go are simply a
reflection of the general economic downturn in the fiber-optics industry over the past year.
In an effort to try to reduce the impact of this termination, the company has worked out a
severance arrangement that will give you one week's pay for each month you worked
beyond 12 months. In your case, this will amount to six (6) weeks of severance pay. In
addition, your medical and dental coverage will remain in effect until the end of the
severance period. You will soon receive a letter from the Human Resources Department with
all of the details on the severance package.
Thomas, given your qualifications and proven abilities, I am confident that you will be able
to find another position in the relatively near future. If you would like, I would be pleased to
