1. Introduction
Odoo is an open source application for project management, human resource,
purchase, and manufacturing… In this user guide will be focused how to use Odoo
project management application. This included three main parts which consisted
configuration and basic usage, planning and Advance functions. First part is a guiding of
basic setting up, management and collaboration may task with Odoo application. Next part
will be described how to plan/track employment’s assignment in term of project. Last part is
to implement and develop several advance functions of Odoo such as gathering feedback
from other people or participants.
2. How to login
In order to login and reach the main Odoo webpage:
1. Go to website: https://www.odoo.com/trial
2. Please note that you can use free with one Apoo application with Unlimited Users.

4. And then, you must fill the information as below. Next, click Start Now to using
Odoo Project Management application.

Note: You should use your working email to sign in this application. Because your e-mail
will be used to assign tasks and missions to concerned people. You can create many
projects with your email to working on Odoo Project Management.
3. Basic Usage
3.1 How to set up & configure a project
a. Installing the Project module
Open the Apps module, search for Project Management, and click on Install.

After that, from this stage you totally can you all functions of Odoo Project.
b. Creating a new project
Open the Project application, and click on Create. From this window, you can specify
the name of the project and set up the privacy of the project.
The privacy setting works with three options as below:
Customer Project: visible in portal if the customer is a follower.
All Employees: employees see all tasks or issues.
Private Project: followers can see only the followed tasks or issues
You can also specify if the project is destined to a customer, or leave the Customer field
empty if not.
When you have entered all the required details, click on Save as picture below:

c. Manage your project's stages
Add your project's task. You can add more tasks for concerned people. Click on #Tasks
on your project dashboard.
In the new window, add a new column and name it according to the first stage of your
project, then add as many columns as there are stages in your project.

For each stage, you can modify and add some functions for each stage through 2 buttons

If you click on edit button, and then a new window will open. The color dots and star
icon correspond to customizable markers applied on tasks, making it easier to know what
task requires attention. You can give them any signification you like.
Click on Save when you are done.
d. Rearrange stages
You can easily personalize this view to better suit your business needs by creating new
columns. From the Kanban view of your project, you can add stages by clicking on Add
new column. If you want to rearrange the order of your stages, you can easily do so by
dragging and dropping the column you want to move to the desired location. You can
also fold or unfold your stages by using the Setting icon on your desired stage.

3.2 How to manage a project task
This section will be focused on visualize project task on Odoo Project application such as
creating and updating the information on the task configuration.
a. Creating Tasks
Once you created a project, you can easily
generate tasks for it. Simply open the project
and click on create a task.

You then first give a name to your task, the related project will automatically be filled in,
assign the project to someone, and select a deadline if there is one. Please note that you
can add someone on your projects with their email and exactly date to working.
b. How to notify your concerned people about the status of a task?
Sort tasks by priority
On each one of your columns, you have the ability to sort your
tasks by priority. Tasks with a higher priority will be
automatically moved to the top of the column. From the
Kanban view, click on the star in the bottom left of a task to tag

it as high priority. For the tasks that are not tagged, Odoo will automatically classify
them according to their deadlines.
Note that dates that passed their deadlines will appear in red (in the list view too) so you
can easily follow up the progression of different tasks.

3.3 How to collaborate on task
a. Document Management in tasks
This section will indicate how to add a document or image on Odoo project task.
- You can add an image/document to your task by clicking on the Attachment tab on
the top of the form.

- You can add an image/document to your task through the Chatter. You can log a
note/send a message and attach a file to it. Or if someone sends an email with an
attachment, the document will be automatically saved in the task.
b. Tasks states

- Set the state of a task
You can change the status of the task from the kanban view or directly from the task. Just
click on the status ball to get the choices:

project. On the kanban view, click
on the gear icon on the top of the

stage, and then click on edit:
After that, you can add more information as picture below:
- Color Tags
In every task, you can add a tag. Tags are very useful to categorize the tasks. It helps you
to highlight a task from the Kanban view or better find them thanks to the filters.
If you are always working with a specific type of tag, you can highlight the tasks
containing the tag with the colors. Each tag can get a specific color, it's very visual on the
Kanban view.

4. Planning your project
4.1. How to plan and track employee’s assignment
a. Manage tasks with views
You can have an overview of your different task thanks to the multiple views available
with Odoo. Three main views will help you to plan and follow up on your employees’
tasks including the kanban view, the list view (using timesheets) and the calendar view.

Get an overview of activities with the kanban view
There are many stages to you change and make the different with kanban view. It enables
you to have a clear view on the stages your tasks are in and the ones having the higher
priorities. The Kanban view is the default view when accessing a project, but if you are
on another view, you can go back to it any time by clicking the kanban view logo in the
upper right corner.
Add/rearrange stages
You can easily personalize your project to suit your operation needs by creating new
columns. From the Kanban view of your project, you can add stages by clicking on Add
new column (see image below). If you want to rearrange the order of your stages, you

can easily do so by dragging and dropping the column you want to move to the desired
location. You can also fold or unfold your stages by using the setting icon on your
desired stage.

task with the filter menu.

Track the progress of each task with the list view
If you enabled the Manage Time Estimation on Tasks, your employees will be able to
log their activities on tasks under the Timesheets sub-menu along with their duration.
The Working Time Progress bar will be updated each time the employee will add an
activity.

As a manager, you can easily overview the time spent on tasks for all employees by using
the list view. To do so, access the project of your choice and click on the List view icon
(see below). The last column will show you the progression of each task.
