Chapter I
Introduction

Computer is one of the main reasons why almost everything becomes easy,

it is essential in every office for accomplishing complicated job fast and

accurately. The advancement of computer in our society has made our daily

workload easier and more accurate. It has changed the view of many people to

shift from a manual system to more detailed computerized system. An example of

this is the improved computation and processing of data for our daily use from

manual into Computerized System.

The Manual Transaction Processing at Barangay Sta. Maria is one of the

common way in almost all institutions especially in office. However, some

problems are commonly encountered during listing of information. One of them is

the manual manipulation of data that often results to delays in conducting general

reports.The result would be scrambling of data, consumes a lot of time and worst

case scenario is losing of important data of the office.

The Barangay Sta.Maria Transaction Processing System will be made to

have an accurate data for monitoring, record keeping, searching ,monitoring data

in a short span of time.

Because of this, the researcher decided to further develop the said system,

from manual into Computerized System.


Objectives

Generally, the study aims to develop a Transaction Processing System for

Barangay Sta. Maria.

Specifically this study aim to:

1.Create a database program for Barangay Sta. Maria Transaction


Processing System.

2.To register, monitor the information of members of Barangay Sta Maria.

3.Generate the following reports

a. Blotters.
b. 4Ps records
c. Certifications
d. Senior Citizens Record
e. Employees record, start and end of term
f. List of the residence in the Brgy.
Significance of the Study

The Barangay Sta. Maria Transaction Processing System could be the

answer to all the loop holes that the previous manual Transactin Processing

system has. The system will provide a systematic approach of transactions that is

needed by the Barangay in a real time basis.

The study will really contribute for the transformation from the traditional to an

up-to-date manner of transaction of Barangay Sta. Maria Transaction Processing

System.

Scope and Limitation of the Study

The study covers the data of Barangay Sta. Maria Transaction Processing

System and will be focus in record keeping, monitoring and generation of outputs

needed. The secretary of the Barangay will be the end user of the system. The

programming language that will be utilized is Visual Basic.Net that is an object

oriented programming and has a user friendly interface.


OPERATIONAL DEFINITION OF TERMS

Code Used to run the system functionality.

Computerized System it adapts records and procedures for easy and faster

processing by computer.

Data Banking either centralized or decentralized, also refer to an organization

primarily concerned with construction and maintenance of the

database.

Data Flow Diagram The process on how the flow of the system.

Debugging The process to test the system if have some errors.

Graphical User Interface a user interface based on graphics (icons, pictures

and menus) instead of text; uses a

Retrieval The process of getting something back from somewhere. The

obtaining or consulting of material stored in a computer system.

SDLC This is the steps by step on how the system develops.

System Refers to the various devices that work together to serve its

process.

CHAPTER III
METHODOLOGY
Research Design

The study will be employed a descriptive design which focused on developing the process in

the development of Barangay Sta. Maria Transaction Processing System and the researcher aim

to test the functionality, accessibility, and safety to any information of the customer and user.

Tools and Materials

Tools and materials were used to materialize the study are: hardware requirements such as

desktop used for constructing, developing, and creating the system. And the printer used for

printing the output of the system and also the documents read the product serial code. For

software requirements are Visual Basic Studio 2008 is a programming language that the

researcher well used. Microsoft office tools used for documentation.

Research Process

This following research process aim to develop a Barangay Sta. Maria Transaction Processing

System.

 Data Gathering
During this process the researcher gathered data and asked some

question regarding their manual transaction during registration and record

keping of the data. The questions that had been asked were answered by

the respondents of Barangay Sta. Maria, including the in - charge.


 Planning and Analysis
The data used in this project were collected through interviews and

research materials like books, Internet, and other sources of information.

The researcher interview to the in-charge on how they are going to the

transaction process using manual transaction. Other related data and

studies were also gathered to support the proposed system.


 Design and Development
This Process design a friendly user interface and surely secured system for the better

improvement of the technology in Barangay Sta. Maria also use any other software like

Adobe Photoshop for editing the background of the system.


 Testing/Evaluation
After creating the system, it will goes some trial and errors that can make
sure that the system is properly function.

REVIEW OF RELATED LITERATURE
Monitoring

Schwartz (2002) added that the monitoring is tracer study which can be

useful in the work of several ministries particularly in education. It provides the

advantages of integrating gathered information to national and institutional

planning methods.

As cited by Mrazeck, et, al. (2014), the collection, organization, and use of

community monitoring data may seem remote from the personal and compelling

details of the person. In addition, Shapiro (2001). Monitoring is the systematic

collection and analysis of information as a project progresses. It is aimed at

improving the efficiency and effectiveness of a project or organization. It is based

on targets set and activities planned during the planning phases of work. It will

help to keep the work on track, and can let management know when things are

going wrong. If done properly. It is invaluable tool for good management, and it

provides useful base for evaluation. The growing technology in the country,

specifically here in the Philippines, some establishments use technology, in order

to keep their data, so whenever they want their particular information, it is easy

for them to retrieve it. Usually big universities use a database management in

order to keep their data (Outoupie, 2009). According to Mayanja (2001),

monitoring system is a process within distributed system for collecting and storing

state data in an actual situation. It is usually an electronic device used to record,


regulate or control a process or system. It is also observed that is supervises or

controls the activities in a particular situation.

Registration System

Carison (2011) says “you should utilize registration not merely for

business reasons, but also organizing training course, workshops, professional

classes on the web, etc”. While using the benefits associated with keeper

registration is anticipated that can assist you get rid of worries of manual process.

For anyone who still using paper registration forms for the campers, it would be

time hard to take into consideration camping registration forms to further improve

efficiencies, improves organization, and alleviate manual, paper-based

processes.

The Registration application has three core benefits. These are the

following: 1.) Efficiency. Everyone hates to deal with files or paper unless they do

not have any other alternatives. The benefit of computerize solution makes

services and Information available from any time to update information. 2.)

Security of live data. Normally in more complex systems data is moved about

separate systems and data sources. In computerize systems, these systems are

processes can often be merged by reducing the need to move the data around.

3.) Cost Effective. Computerize applications can considerably lower the cost

because reduced support and maintenance, lower requirements’ on the end user

system and simplified plans (Desousa 2008).


On the basis of Asadeva (2013), particularlyin most school facilities, daily

registration are still done on paper and manual process in this time, people must

adapt to the computerization stage for not it will benefit them but will save a lot of

time of work. It is necessary for company to find what is best for their job and

what the fastest way to finish work is. So they can finish the job quickly and can

do things as well.

Record Keeping

According to Kevket (2011), computerized record book keeping system is a

system test that provides fast, accurate and easy way of record keeping and

retrieval of information. Narvasa, et.al. (2013) added that the computerized

record book system is the most commonly used in computing and analyzing the

performance, talent and skills of students. It is an important record to keep even

for the longest time for referral and credentials of the students to enter to their

next level of attaining their goals.

Nowadays, records are managed electronically by almost all professionals.

According to Oketnuji (2002), database system could handle records of corporate

and government on electronic form because of the rapid processing capability of


the computer which is needed for automatic storage and retrieval. The

replacement from paper to electronic records can lead to easy access of records.

Bell (2001) stated that the computerized form processing system including

database for storing at least one from having one or more fields; a viewer for

viewing a stored form; a data entry device for entering information into the fields

of form; programming for monitoring whether the information in a field has

changed and for automatically flagging any changes to the information entered

into a school. In Bookkeeping and Recordkeeping Basics, the proper

bookkeeping is important in sustaining and expanding an organization. Without it,

you run the risk of hitting cash flow crunches, wasting money, and missing out on

opportunities to expand. When you are devising or revising your bookkeeping

routine, remember that the purpose of bookkeeping is to help you manage your

business and to enable tax agencies to evaluate your business activity. As long

as your bookkeeping achieves both objectives, it can – and should – be as

simple as possible (Alafinmike, 2009).

According to Dewa, (2011) The Impact of Computer application on

Recordkeeping is that are computers are widely used in the field of engineering,

medicine, education, automobile technology, agriculture, economic planning etc.

However, the most spectacular growth has been in the field of business

organization.
On the other hand, Dewaahmed, (2001) stated that the importance of

computer record and record keeping as one of useful modern means of

collecting, updating, controlling, record and sorting of information for future by

any resourceful organization. This show how far technology had made the life of

man easier. Storing, calculating and updating can be done with a single device

and it causes less energy and time to finish these things. All of these can be

made possible without going to many places and using many equipments. These

can be done by just sitting in front of the computer.

Weir et.al. (2007) Prior work patterns based on paper, verbal exchange,

and manual methods are replace with automated, computerized, and potentially

less flexible systems. Users develop a wide array of information management

strategies that allow them to successfully adapt to new technology. Supporting

the ability of users to develop adaptive strategies to support meta-cognitive goals

is a key component of a successful system.

Record keeping becomes increasingly difficult to handle for an

organization and business. Especially many equipment and properties are

entering to and needing adequate time to evaluate and store its proper register.

However, through computers and vast database available nowadays, keeping

large volume of record seems to be a natural phenomenon to an organization

requiring a proper place to store all essential information. Through this spoilage

or misplacing records can be avoided, and information can be acquired in just a

click away (Tolentino, 2003).


(Zenios, 2000) states that the efficient operation of financial intermediaries-

banks, insurance and pension fund firms, government agencies is instrumental

for the efficient functioning if the financial system and the fuelling of the

economics, finance, operation management, marketing, and leading industries

professionals, bring their expertise to bear. Among their concerns are: the

definition and measurement of the efficiency of such institutions; measurement of

the effects; the impact of financial innovation and information technologies on

performance; the effects of process design. Thus, recordkeeping system is a

document management solution system in which records are collected, and

organized to facilitate their preservation, retrieval, use and disposition may be

either a distinct system design specifically to provide recordkeeping functionality.

This system also ensures their preservation of evidential purposes, accurate and

efficient, updating, timely availability, and control of access only by authorized

personnel (Blanche, 2013).

Wilson (2009) emphasized the importance of the records in aiding other

departments. She stated that however time-consuming the paperwork is, it must

be completed regularly and accurately. Other departments in the organization will

be relying on you to do this in timely manner.
