Government of Sri Lanka to set up two units of 250 MW each in Trincomalee in Sri
Lanka. During 2008 and 2011, NTPC entered into Joint Ventures with BHEL,

Functional communication of NTPC
National Thermal Power Corporation works under the aegis of the Ministry of
Power of the Government of India. The Ministry of Power exercises general
administrative control over the NTPC. The Ministry participates in the decision-
making process within the NTPC through its Joint Secretary who is nominated on
the Board of the Corporation.
Organizational structure of NTPC at the top consists of the Board of Directors,
Chairman and Managing Directors, Directors in their specialization field and
Executive Directors.
Role of Board of Directors
The NTPC is managed by the Board of Directors. The Board of Directors and chief
executive officers are the primary groups involved with Corporate level strategy
making. The Board of NTPC is responsible to plan, promote and organise integrated
and sufficient development of thermal, hydel power and power through non-
conventional, renewal energy sources in India or abroad.
The Directors are given exposure to the latest developments in management
practices and technology through Senior Executive Development Programmes
conducted by reputed institutions in India and abroad. They also keep themselves
abreast with the latest developments through participation in various conferences
and conventions.
The second tier consists of five regional set-ups namely North, East, West, South
and National Capital Region with their headquarters at Allahabad, Nagpur, Patna,
Hyderabad and Delhi respectively headed by Executive Directors who are
accountable for the operations and finance and project execution activities in their
respective regions to the Chairman.
Committee on Management Controls
The Company has constituted a committee of the Board, called Committee on
Management Controls to monitor the quality and control the deviation.Interactive
Meetings are held with the statutory auditors to review the internal control systems
and the annual accounts. The existing management systems are also under review of
the committee for bringing in greater efficiencies. The minutes of such Committee
are placed on the Board
Regular formal and informal interactions take place, to communicate with
employees through their respective representatives at the level of Head of Project
and Head of Departments. Management and Employee concerns, not involving
policy changes, are discussed and sorted out at the unit level.
Employees' Participation in Management
Employees' Participation in Management has been one of the strong pillars holding
up NTPC since its inception. Participation of around 24,000 employees in the
management process takes place through various councils like PLC’s and SLC’s
Plant Level Council (PLC)
Plant Level Council (PLC) discuss plant level issues information sharing on
generation and production targets, productivity, elimination of wasteful practices,
inventory reduction, general health, welfare and safety.
Shop Level Council (SLC)
The number of SLCs is usually 4-5 functionally covering areas such as. Operation,
Maintenance, Fuel Management, Services (Personnel, Finance, EDP) and Civil.
SLCs are constituted to discuss department level issues such as improvement of
production, productivity and efficiency, elimination of wastage, improvement in
working conditions, safety, etc.
Cross Functional Communication
There is cross functional communication among different regions, between various
department and between Ministry of Power and NTPC.The big challenge with
cross-functional teams is that people underestimate the shared language and
concepts that are part of each functional area so the management and HRD
Department ensures that employees are getting good training and exposure to bridge
the gap of cross functional communication.
Decentralisation
The three tier structure of NTPC provides decentralisation of the responsibility
while retaining centralised systems in areas such as engineering, contracting of high
value packages, coordination with financing agencies etc.
Top management is free from the routine operating responsibilities in most of the
areas and are mostly engaged in planning and formulating strategies but at the same
time Executive Directors are overloaded with different kinds of work and they do
not find time to supervise and guide the works of subordinates at lower level which
sometimes results in duplication of work. Since supervision is very important for
increasing the efficiency hence executive directors work must be reduced.Other
channels of communication between leader and subordinate:
While having a conversation with Miss Poornima, we found out about one very
salient feature about their company. They have two exclusive apps for different
communication networks:
SAMVAAD: NTPC launched the Samvaad app last year, which is available for
download on Play store and iOS for sharing of latest news, events and achievements
of the organizations and its employees. The system has been upgraded where there
are sections for the news flash, daily survey, notice board, business units’ news,
transfers and promotions of employees etc.
This app helps employees to get information first hand, without any unnecessary
alterations or fakeness to it. Thus, prevents misinformation from spreading.
Moreover, everyone gets the news and notices at the same time without any biases.
SAMPARK: This app is for communicating among themselves, unlike Samvaad-
which is one-way channel, Sampark helps you transfer information both ways.
Some features are- Offline employee search facility in case of connectivity not
being available at your location.
NTPC Holidays app added in the main menu.
CC Intranet interface added. Notices published on Intranet are visible under "
What's new ". Contents can also be searched subject to being available on external
network.
Improved User Interface - an attempt has been made to give a better User Interface,
based on feedback received from you all.
The App is available on Google Play Store and Apple App Store.
Other than these two apps, rest of the channels are the usual ones like IOMs, video
conferencing, emails, letters etc to exchange important information.
Email
Email are used on daily basis. This is one of the most common and versatile
channels, but oftentimes inadequate as it is being overused.
Emails are great channels for certain types of messages. Otherwise, unless crafted
carefully and for a particular occasion, there is a high probability the message is
going to be lost. This is a common disadvantage when it comes to internal
communication, and both the sender and the recipient can suffer a great deal if one
of the 147 (and then some!) emails one usually receives on a daily basis is buried
somewhere in the inbox.
Interoffice Memos
Interoffice memos are useful for sending project updates, directives and other types
of messages to your co-workers. A memo provides a written record of your
communication and ensures that all key personnel receive important information
and status updates. Following the proper format for an interoffice memo will help
you communicate clearly with your co- workers. While format may vary slightly
from company to company, most memos follow the same general format.
Video Conferencing
Video conferencing is important because it joins people who would not normally be
able to form a face-to-face connection. In businesses, it can increase productivity
amongst employees as well as provide an improved way of communicating and
interacting with colleagues, partners and customers.
For businesses, the tangible benefits of video conferencing include lower travel
costs -- especially for employee training -- and shortened project times as a result of
improved communications among team members.
The intangible benefits of video conferencing include more efficient meetings with
the exchange of non-verbal communications and a stronger sense of community
among business contacts, both within and between companies, as well as with
customers. On a personal level, the face-to-face connection adds non-verbal
communication to the exchange and allows participants to develop a stronger sense
of familiarity with individuals they may never actually meet in person.
