Responsibility Matrix: Assignment of Work Tasks in Small Projects

The responsibility matrix is a tool used for small, limited scope projects to assign tasks and responsibilities. It is a list of all project tasks along with the team member responsible (R) and those providing support (S). The team identifies all tasks, discusses who will complete each, and documents it in the matrix to clearly define roles and ensure members understand their responsibilities.

RESPONSIBILITY MATRIX
When to use responsibility matrix?
• In projects with a small size or limited scope, it is
not required to create an elaborate WBS.
• The tool popularly used by project teams of small
projects of called ‘responsibility matrix’.
• RM is sometimes called a ‘linear responsibility
chart”
• It is a list of all tasks to be done and the members
responsible for each of the tasks.
• Following is an illustration of RM for a market
research study

Understanding the matrix:
• R is used to identify the team member
responsible and accountable for the task.
• R has to coordinate the effort of other team
members assigned to the task, and making sure
that the task is done on time.
• S is used to identify the team members who will
provide support/assistance to R.
• Thus every task will have 1 R.
• Number of S will depend on how big the task is. If
R can complete the task on their own, no S will be
assigned.
Creating a RM
• The team at its first meeting identifies and
makes a list of all tasks.
• Then the team discusses who will do which
task.
• This ensures that the team members are well
informed of their roles and responsibilities.
(As college students, when you organised the
fresher’s party or farewell party for your seniors,
this is the approach you might have used.)
Summarising Responsibility Matrix
• Responsibility Matrix (RM)
– Also called a linear responsibility chart
– Summarizes the tasks to be accomplished and who is
responsible for what on the project
• A List of project activities and members of team
• Clearly defines the interfaces between activities and
individuals that need coordination
• Provide a means for all participants to view their
responsibilities and agree on their assignments
• Clarifies the extent or type of authority that can be exercised
by each participant
