1.
E-mail is a core means of corporate communication since it is quick, inexpensive, available, and copied. E-
mail may substantially assist organizations since it provides an efficient and effective means of transmitting
various types of electronic data.

online communication can provide consumers with a variety of practical benefits. Sender to post office -
from post office to mail/item collection - to recipient's post office - postman delivers mail to recipient's
household is a common procedure for sending mail. Not to add that there are some areas where the mail
service is difficult to access. The benefit of email over normal mail is that you simply need an internet-
connected electronic device to actively send mail anywhere, at any time, to anybody in the world. You also
do not have to be concerned about lost mail, stolen mail, or spoiled mail during transportation. There are
four benefits of business organizations adopting e-mail. Firstly, e-mail can assist boost performance in
which businesses may connect with pre-existing distribution lists, automatically convey material depending
on a subject, or send services to relevant persons as needed. Most mail has customization capabilities that
may have been customized to the sort of work performed, the number of daily messages, and the worker's
demands. Successful e-mail use can help to decrease the need for facial expression discussions and
conversations. Secondly, e-mail communication is practically immediate, which improves communications
by swiftly sharing information and responding to client queries. It also enables faster issue resolution and
more efficient corporate operations. As a result, small company owners can do more tasks in less time.
Thirdly, businesses may promote to specific audiences through email which customers can choose to get
emails about things they own, sales, or new items. Customers who get personalized emails based on their
choices are much more susceptible. E-mail marketing may also be used to target clients depending on their
relationship with a company. A company, for example, can adapt communications to new consumers,
current clients, and reply customers. Finally, when e-mail was established in the previous decades,
businesses soon recognized its value, speed, and low cost. E-mail is now a fairly global platform; nearly but
have at least one individual account, making it essential for modern corporate interactions.
Moreover, a corporate email system should always have comprehensive security methods as well as a spam
filter to safeguard your system from external attacks. This is especially critical when your company expands
in size. This assures the safety of your personnel as well as your clients. Business domain email provides
you piece of mind by guaranteeing that your vital data are not compromised with viruses or malware.
Furthermore, your consumers will be reassured that they may send you sensitive, critical information
without worry of being hacked. Conflicts between departments are unavoidable during the corporate growth
process. The corporation has control over all email users. If there is a problem in the business, you can have
access to information and email accounts of corporate users. Thus, addressing problems between employees
in your room or resolving conflicts between employees and clients, inflicting unneeded damage. When you
use your computer for a longer length of time, your data will become scratched, and you will need to wipe
it. This not only takes a while, but also costs you important emails and files in the long run. When
compared to a free email account, business e-mail saves a great deal of money. Free solutions frequently
have limited storage space. You may also utilize an internal email server, but this requires a team of IT

people to administer the server, which is far more expensive than selecting a reputable corporate email
service.
To sum up, it is clearly that e-mails can also generate enough interest in a product or service to entice
clients to visit your physical or online business for further information. (Anon., n.d.)
2.
Email etiquette refers to the use of acceptable language, standards, and politeness in an email. Business
emails often need professional language and strict respect for appropriate grammar and punctuation. Using
proper email etiquette informs the email's receiver that you know about your connection with them, that you
value your professionalism, and that you establish an image in which you work properly.
To begin with, the subject line of the email tells the receiver what they may expect to discover in the body
of the email. It can assist them in categorizing emails or in starting to hunt for solutions before reading the
complete letter. Make it easier to define email header lines and bindings.
For example:
Should not: Subject: THIS WEEKEND'S TRAVEL LOCATION
Should: Subject: Manufactory analytics for July 2022
On the orther hand, a business card is placed to the bottom of every email message as an email signature.
The email signature contains the basic information about the sender company or individual. The following
is an example of a professional signature:
Best,
Colleen Stewart
Occupational Therapist
[email protected]
565-565-565
To summarize, we must clearly understand how to utilize e-mail successfully in order to make ourselves
highly significant to each other. (Anon., n.d.)

QUESTION 2 - Business Communication
1
Visual aids are an essential component of every presentation. They may help you communicate with your
viewers, provide perspective. there's a reason they say a picture is worth a thousand words, and it reminds
you of what you mean.
Some of the positives of visual aids derive from the fact that individuals learn and remember things by
hearing and seeing them. Customers, for example, will recall product specifics if they see visual aids like
product samples or pictures. When listeners view visuals with explanations, they are better able to retain
knowledge in long-term memory. Three common types of visual aids are: handouts, flip charts, powerpoint.
To start with, handouts may also be used to communicate difficult or extensive information to an audience;
a paper that summarizes or covers the major points of the presentation is a fantastic addition, but it must be
relevant. It takes time to distribute materials at the start of a discussion, and the audience may begin to
peruse these materials rather than listen to what the speaker is saying. However, if your presentation
includes sophisticated graphs or charts, your audience will appreciate receiving handouts before the
presentation begins so that they may see them on paper. simpler than on a projection screen. Audiences may
also value the ability to take notes on pre-printed information during the presentation. Consider the ideal
timing and technique for distributing any materials, such as placing them in your seats before the
presentation begins or handing them out at the conclusion. You should also consider emailing participants
copies of the handouts following the session. If your presentation involves questions or discussions, this
will give you time to summarize and relay this information to the audience.
Furthermore, a flip chart is also used to show a sequence of stages or to break a chart into its essential
components. Another common technique to organize visual aids in front of a speech is to utilize a
whiteboard, because it is generally used just once, it fades away in front of a computer screen. It is,
however, portable and provides you with a wide "blank sheet" on which to express your ideas. Next,
utilizing powerpoint as a visual aid is a well-known technique in this time period. Powerpoint is a slide
software tool that you've very probably seen used in a classroom, a presentation at work, or that you may
use to accompany a presentation by yourself. Powerpoint and other slide software packages offer templates
for making electronic slides that visually deliver information to an audience while supporting a vocal
statement. To construct slides that express your thoughts, you'll being able to download or copying and
pasting text from text files, photos, or video clips. You may even include hyperlinks. When utilizing any
software application, you should test it out ahead of time to study its numerous possibilities and features
and determine whether it can become a useful tool for you.
It takes time and experience to use visual aids. The more you rehearse before your speech, the more at ease
you will be with visual aids and their importance in conveying your message. Thinking over the positioning
of your visual aids before you speak is beneficial, but when it comes time to talk, make sure you re-evaluate
your preparations and ensure they are relevant to your audience. (Anon., n.d.)

The only reason I chose powerpoint for rooms 1 and 2 is since none of them have a chair or a table. As a
result, we utilize powerpoint to draw the audience's attention to my presentation on arranging the structure
of the organization and providing ideas for building the project.
Because room 3 is already full with chairs and tables, all that is required are handouts and a flip chart for
viewers to read and take notes on some key information regarding the proposal.
