UNIT 6

Event Organization
The term “organization” is the structural planning of roles to implement necessary
functions. The total development of an individual is centered on a philosophically sound
program structure and activities.

In this unit, managing the organization will be discussed to host successful programs in
physical and sports education.

Learning Targets
In this unit, students should be able to:
● display initiative, responsibility, and leadership in fitness activities;
● organize a fitness event for a target health issue or concern;
● participate in an organized event that addresses health or fitness issues and
concerns;
● engage in moderate to vigorous physical activities (MVPAs) for at least 60 minutes
most days of the week in a variety of settings in-and-out -of school;
● demonstrate proper etiquette and safety in the use of facilities and equipment.

Lesson 1: Event Structure
Fitness and health become a concern for many people
because of the increasing number of people who have
problems and issues with their health. However, these
concerns and issues can be resolved if there are programs
or activities that can help improve their health.

At the end of this lesson, you should be able to


● identify the importance of management in organizing fitness events;
● describe the qualities of a responsible and good leader in event organization.

Learn about It!

The most important part for any plan or program to be


successful is efficient management.

This objective requires coordination with the ruling


authority, physical training students, and other
recreation services. Long implementation strategies
and initiatives are also part of administration: for
economy, regulatory, and safety management
protocols as well as advertising.

Mainly there are five essential elements in a managerial strategy:

1. Planning: The program plans are mapped


out in order to produce the desired result.
Prediction, designing goals, scheduling,
financial planning and developing protocols
are all part of the program plans.
2. Organizing: It assists in the creation of a
community composition with unique task
scopes for each participant involving

formation of a hierarchical system, the allocation of roles and interpersonal
relationships.
3. Staffing: It is the process of hiring, choosing, and maintaining employees by
assigning them to suitable tasks and providing them with adequate preparation and
career progression. It also entails creating a positive work atmosphere which leads to
enough intellectual capital to complete the task.
4. Leadership: It is the process of guiding an organization to inspire and encourage
people to perform a task. Judgement, coordination, personnel training, and individual
skill enhancement are all aspects of leadership.
5. Assertiveness: This guarantees that plans are carried out in line with the company
objectives. It entails constant monitoring, evaluation, assessment, and reviews, which
can result in reconstructing or promoting. Supervisors should still be aware of the
current situation in their areas of responsibility.

Importance of Management

1. helps users in achieving their aims or aspirations;


2. gives advice on colleagues cooperative capabilities;
3. outlines the collective's progress, performance, and achievement of objectives;
4. indicates when community representatives are
satisfied, cooperative, and efficient.

The Qualities of a Good Leader

1. should be positive and unbiased and assess


situations critically;
2. trustworthiness with confidential material; who
is honest, sincere, and truthful;
3. should be able to form bonds and understand
peers easily;
4. should be physically fit and of sound mind;
5. should be responsible and accountable;

6. should have decisiveness and able to resolve any issue;
7. should be of profound intelligence.

Conducting events are notable indications of an
organization’s existence in the community.

Designing a fitness activity plan is one of the examples


which promotes an organization’s objective to an active
and healthy lifestyle for everyone.

At the end of this lesson, you should be able to

● describe the benefits of planning, implementing and participating in fitness events.

To achieve the goal of an organization or group, one of


the first keys to consider is having a plan. In an
organization, there is a reviewing process and identifying
what will be the next action to be taken to be improved.
From this process, planning envisions the target goals to
achieve and determine the necessary steps to achieve
success.

The following are the steps in planning a fitness event:

Writing the aims and objectives


The table below describes the characteristics of a good objective.
OBJECTIVES DESCRIPTION
Unique You must have a clear positive end goal in mind.

Quantifiable To accurately assess your target, your aims should be


realistic.
Practical Objectives should be sufficient enough, not too easy or
too hard to prove.

Pragmatic Provided the money, commitment, and time available,
targets should be reachable.

Duration Punctual, beneficial, and doable expectations must be set.

To progress and change, ambitions must be empowering


Encouraging and inspiring.

Recordings of daily progress should be kept.


Documented

Identifying the audience or target participants

Within the community or school where you want to


conduct your activity. It is necessary that you identify who
will be joining your event or program, especially when it
comes to physical activity programs. This may help you in
designing the list of the activities you may conduct, as well
as its specific intensity level.

Important reminders: For teens and adults, at least 60


minutes of moderate to vigorous activity is recommended, while children from 6-8 years
old, only a moderate physical activity should be performed.

Searching for the appropriate venue and setting the


schedule for the activities

When searching or looking for a good venue, consider


also the number of participants, the activities to be
conducted, and the intensity of the activity.

According to SHAPE America, a person should develop


a physical activity that is based on fitness assessment
scores. There are some websites that offer free assessments for determining the fitness

components that are needed to improve on and recommending the physical activities and
number of days and hours you need to accomplish to improve your fitness level.

Listing the possible expenses, budget allocation, and funding if there is any

Also enumerate the materials and equipment needed


whether for borrowing, repair, or there is a need to
purchase new materials for the event.

Securing the permits and approvals

Permits and approvals for the venue and other permits


are needed as well. If you have participants who are
minors of age, parents permit, or approval form is
needed. Moreover, if the fitness activity or event will
require vigorous activities, it is also advisable that the
participants who will be joining will be fit to join and
should be asked to sign a liability waiver.

Creating a contingency planning

This plan is also called as the second option or plan B.


If the first plan will not be successful or if there may be
circumstances that may happen. This contingency plan
will be the next best plan.

Identifying possible volunteers and listing for the tasking

The tasking should be from simple to complex assignments, also include the medical team
for your group. The leader must coordinate the task well to his members. He or she should
provide the scope of their roles and responsibilities for them to be guided accordingly.

Enumeratings the possible risks

A list of possible injuries that may occur during the event should be included. The medical
team should also secure the completeness of their medical kits.

Promoting the fitness event through media and


other marketing strategies.

Nowadays, the use of social media is one of the


fastest and cheapest ways to promote events.
Promotions should be creative and encouraging to
the audience.

Evaluating the event by using the SWOT


analysis.

This SWOT analysis may help you to understand the strengths, weaknesses, opportunities,
and threats of your event. This may be used in evaluating your event plan.

Finalizing the fitness event plan.

Create a table which may help you plot the final


plan for your fitness program. Be specific and
direct to the point when creating it. Have a
separate sheet for financial allocation and
materials needed.

Your team will be encouraging different individuals to participate in a fitness event. This
event is not only exercise or a Zumba activity but also an orientation about fitness, health,
and wellness.

You will have a month-long series of activities for your fitness event, but make sure to
secure that availability of your participants.
