1 Process of Contract End in Employee
Central Payroll

Since your contract for Employee Central Payroll is ending, we are obliged to hand over all data that you provided to
SAP SuccessFactors and allow you to destroy all data in the system.

Start planning how you would like to go forward taking over your payroll data and processes as soon as possible,
once you've decided to end your Employee Central Payroll contract. Remember that SAP SuccessFactors do not
keep any of your historical data longer than contractually defined.

 Note

You receive a mail with the title Decommission information for your Employee Central Payroll systems and
the following information:

● The system access is locked after six weeks.


● All data including existing backups is deleted after additional 30 days.

Possible Scenarios

There are various tasks you need to take care of after ending your Employee Central Payroll contract, depending on
which scenario you choose for going forward:

● You hand payroll over to a Business Process Outsourcing (BPO) provider that also uses Employee Central
Payroll. In this case, you need to provide a client copy to the BPO provider containing all necessary data
including historical data.
● You hand payroll over to a BPO provider that uses an SAP payroll that is not Employee Central Payroll. In this
case, you must clarify whether a client copy can be used in the provider's environment. If not, you need to
request a description of the data needed from the provider or ask the provider if they have a service with which
they can extract the data themselves. Configuration, master data, and historical data needs to be transferred.
● You hand payroll over to a BPO provider that doesn't use an SAP payroll. In this case, you must request the data
format the BPO provider expects or ask the provider to over the handover as a service. Don't forget that
historical data must also be transferred.
● You decide to use an on-premise SAP payroll. In this case, you must decide whether you want to use a client
copy or other ways of transferring the data depending on whether you are just taking over specific data and
processes into the existing SAP payroll system or you are taking over everything.
● You decide to use an in-house payroll that isn't SAP. In this case, you can transfer data as described in the
following sections.

1.1 Configuration Data

You need configuration data for two reasons:

● Knowledge of processes is stored in configuration data.


● Historical data is only understandable if configuration data is available.

If your new system is an SAP payroll system, you can move configuration data to the new system using transports.
This requires that the receiving system is on a similar release/support package level. Otherwise, configuration data
may be lost.

For non-SAP payroll systems please check which information is needed to explain the extracted employee data. For
example wage type texts and configuration (Are they taxable or not?).

1.2 Employee Data

The Employee Central Payroll system contains employee data that are part of interfaces from Employee Central,
maintained directly in Employee Central or system generated like for example payroll results.

Employee master data (infotypes) can be extracted using the Interface Toolbox (transaction PU12). Using the
Interface Toolbox, you can extract data from the payroll system and provide them in a file format you can define to
be imported to other systems.

If you are keeping the Employee Central system, you don't need to extract the interfaced data from Employee
Central, you only need the data maintained in the payroll system.

Depending on the legal requirements in different countries and/or industries, the rules on keeping payroll results
sand how to offer access to them vary. Therefore, what is required depends very much on your specific case.

If you transfer the data into an SAP system all reporting options will remain intact. If you transfer data into a non-
SAP system, we offer the option to print payroll results in the form of a Payroll Account with the report RPCKTOx0
(x is the one-letter country identifier) or HyyCKT00 (yy is the two-letter country identifier).

For data created out of the payroll results for payments and/or posting into Financials and Cost Accounting, please
check if the data stored on the receiver side is sufficient for auditing.

1.3 Destroying Employee Data

Once you have extracted the employee data you need, you can destroy the employee data in the Employee Central
Payroll system yourself. You can use report RPUDELPP to destroy all data related to a personnel number. For mass
destruction, you will have to call the report individually from a wrapper report.

SAP SuccessFactors will clear the database completely before reusing the hardware.
