 TYPE OF EVENT – this is important as some venues
have a policy of not hosting certain events such as
rowdy parties or sporting groups

 SIZE AND TYPE OF ROOM – one of the most


important aspects of a function is the requirements

PROVIDING ON-SITE EVENT MANAGEMENT SERVICES

After selecting the venue, decide, how many to use it. Start by drawing
up a venue or site plan and making the necessary changes.

A site plan can contribute to the smooth organization of the event. An


efficient event manager knows the site plan more than the hired
production team does.

A simplified poster site map at the venue entrance can help attendees
locate the activity area.

A detailed site map will help involved organizations such as committee


members, suppliers, performers, emergency services is an essential to
help event managers allocate the available floor space to event.
MONITOR EVENT OPERATION

• Monitor sessions and activities throughout the event through


observation and appropriate reporting process
• Identify any problems as they arise and take prompt action to resolve

manager and the stage manager to efficiently

TECHNICAL SCRIPT

Is essentially a more detailed sequence guide. The


technical script includes, emcee spiels and audio,

outlining the general plans of an agreement
between two or more parties before a legal

cover letter

A letter of intent is not a contract and cannot be


legally enforced; however, it signifies a serious
commitment from one involved party to another. An
LOI is best used with a revised proposal that is
submitted for the client’s final approval.

day – last minutes bookings, substitutions, last minute requests
from speakers, etc. Be prepared for this. Expect to work late as
