TECHNICAL WRITING Definitions


There are many definitions of technical writing. The word technical comes from a Greek work
“tecne” which means “skill”. Technical writing is a specialized, structured WAY of writing, where
information is PRESENTED in a format and manner that best suits the cognitive and psychological
needs of the readers, so they can respond to a document as its author intended and achieve the
purpose related to that document.

Thus, it is writing formatted and shaped to make reading as simple,


poignant, unequivocal, and enjoyable as possible (i.e., “user friendly”). It so happens that most
technical writing positions are still primarily offered to those who can write effective end-user
manuals, system design documents, Web sites, and the likes

The Society for Technical Communication is probably the premier technical writing
association. STC defines technical communication as “The process of gathering information
from experts and presenting it to an audience in a clear, easily
understandable form.” I think this is a good, all-purpose
definition. “Technical writing and editing is an umbrella term for
any sort of professional communication. It’s the interface between
your ideas and the rest of the world”.

Who is the Technical Writer
A good technical writer can write about a complicated technical subject or task in ways that almost anyone can
understand.

A technical writer is a person who creates documentation. They are responsible for writing text
that is accurate, readable, accessible, and helpful to its intended audience. Technical writing, a
subset of technical communication, is used in fields as diverse as chemistry, the aerospace
industry, robotics, consumer electronic products such as VCRs or digital cameras, biotechnology,
law enforcement, software, computer hardware, and many others.
Technical writers often have a degree in English, technical writing, the technical field for which they
are writing, or a combination of these. It is most important that they have enough expertise to
understand their audience's background and needs. For example, writers who develop
documentation for software APIs, microcontroller operation, and other technical subjects are often
paid more than those who write guides for a nontechnical audience (for example, how to use email),
because it is difficult to find good writers with advanced technical knowledge. Technical Communications

Technical communications are created and distributed by most employees in service organizations today, especially by
professional staff and management. Writing well is difficult and time-consuming, and writing in a technical way and
about technical subjects compounds the difficulties. The entire point of communications is to disseminate useful
information. To be useful, information must be understood and acted upon. Fortunately, tools and techniques are
available to make writing more accessible and easier to understand.
Effective communications require quality content, language,
format, and more. The entire point of communications is to
disseminate information; this is where written content comes
in. To present the appropriate content, it is imperative to
understand one’s audience and writing purpose. If a document
does not communicate the information that the writer intends
and what he or she wants the reader to understand, then the
communication is meaningless.

The writer has a self-interest in making the extra effort: Looking credible is as important as
being credible and getting
results in business. Respect and credibility of the writer/speaker are integral to effective
communications. Readers will not trust the information from an author if they do not believe that
author is a valuable source of information or the purveyor of worthwhile ideas. Furthermore, being
respected is essential to being persuasive, a key ingredient in business.

Technical Document
A document is a writing that contains information.

Traditionally, the medium of a document was paper and the information was applied to it as
ink either by hand (to make a hand-written document) or by a mechanical process (such as a
printing press or a laser printer).

Through time, documents have also been written with ink on papyrus (starting in ancient Egypt)
or parchment, scratched as runes on stone using a sharp apparatus, stamped or cut into clay and
baked to make clay tablets (i.e. in Sumerian and Mesopotamic civilizations). Paper, papyrus or

Today, electronic means for storing and displaying documents are also popular; a variety of

Documents in all forms are frequently found to be material evidence in criminal and civil
proceedings. The forensic analysis of such a document falls under the scope of questioned
document examination.

“Technical” Approach to Writing

HOW one writes is as important as WHAT one writes. So, language itself is important to enable
readers to understand and believe the written text. Language impacts a reader’s ability to
comprehend and assimilate what a writer is presenting.

Furthermore, people can, and do, judge things by outward appearances all the time, it is
essential to make good impressions when communicating in a business setting. When one
communicates (whether writing, giving a speech, or talking on the phone) information must be
presented effectively and to a large degree, attractively.

These elements strongly affect perceived writer and organizational credibility and
professionalism. Format, organization, and style are important in that they make information
available, accessible, and readable. Format and the like are the “how” of a written
presentation. Format choices can give a document the highly sought after technical or
business “look” organizations hope for. In essence, this is part of “corporate identity”

5. Emphasis - An effective technical paper is emphatic. To emphasize is to highlight main ideas
and down play subordinate ones. To achieve emphasis comma an effective writer makes use of
parallelism comma position, proportion, repetition, variation, conciseness, and other means. An
idea that is emphasized is written either initially or finally, repeatedly, differently or similarly
with other structures, concisely or proportionately longer than the other ideas.6.
6. Factuality - An effective technical paper is factual. The information that it contains is based on
facts therefore , it is provable, festival, and credible. It is not a product of man's imagination ,
speculation , or hallucination.
7. Grammatical-An effective technical paper is grammatical. It does not violate grammatical rules
or standards of correctness of structures in the language. A writer who observes Concord rules
agreement between subject and verb, agreement between pronoun and antecedent , correct
forms of verbs and other grammatical units, syntax rules comma and the like adheres to
grammaticality.
8. Heaviness -An effective technical paper is heavy. In as much as a subject matter of a technical
paper is serious, that is, a scientific subject or a technical topic associated with The Sciences,

9. Intelligibility - An effective technical paper is intelligible. Even if a technical paper contains
technical or scientific terms, it must still be easily understood. An effective writer must have a

diction ,organization, etc.) A judicious writer always exercises good judgement. His ability to
discriminate between fact and opinion, between truth and falsity, between relevance and irrelevance
, between materiality and immateriality comma between goodness and Badness, between ethicality
and unethicality, is always put to a test.
11. Keenness -An effective technical paper is marked by keenness or sharpness. It is a product of a
smart a writer who makes use of his intelligence to satisfy his readers.
12. Logical - An effective technical paper is logical. It conforms with the principles of logic, the
science of correct thinking and reasoning. It does not take a logician to show correct spatial ,
temporal, casual, genus species, and other relationships of words and ideas. Effective technical
writing is a product of rational thinking and sound reasoning.

13. Mechanical correctness - An effective technical paper is mechanically correct. It conforms with
the various rules of mechanics. Mechanics involves the use of punctuation marks, spelling,
spacing, indention, capitalization, italicization, alignment, the use of numbers in figures and
words, the layout of headings and the like. Misspellings, fused sentences , comma splices, and
faulty punctuation are only some of the mechanical errors. To correct these errors, a technical
writer must have an ample knowledge of mechanical rules. A mechanically correct work is not
only presentable but also reliable.
14. Neutrality - An effective technical paper is neutral. It is not biased it is not favor only one side.
It is not partial it takes into account all aspects or facets of the thing under consideration. It is not
Prejudice it does not discriminate against any person comma group comma or race. Even if it is
persuasive, it still displays tinge of neutrality.
15. Order - An effective technical paper is written in an orderly manner. The ideas are sequenced in
such a way that they flow smoothly. An effective technical writer makes use of an outline to
organize his thoughts properly. He does not immediately plunge into writing a rough drafting
without having done pre writing activities such as brainstorming and clustering of ideas.

16. Personality - An effective technical paper manifest the writers personality. It is a reflection of
the kind of person the writer is. A well-written work is an index of a writer who is careful and
responsible. However, a work with many grammatical errors, slips in thought, and
inappropriate words, is an indication of a writer who does not exercise care in his work and
lacks a sense of responsibility.
17. Quality -An effective technical paper is a quality paper. A paper which lives up to standards
and possesses only all the positive traits any technical writing must have, is a paper of good
quality. It has substance and does not violate writing principles or rules. Furthermore , it serves
its purpose and satisfies its readers.
18. Reader friendliness - An effective technical paper is
readerfriendly. It is a doctor to the readers needs, interests, and
knowledge. An effective technical writer knows his readers and
makes his writing fit them. He produces the right effect because
he considers his readers and knows how to make them respond
to his writings.
19. Specificity - An effective technical paper is specific. I'm like
literary writing, technical writing is written by a specific writer to
a specific reader for a specific purpose. For instance, a sales letter
is written by a sales manager to a prospective buyer or buyers for
the purpose of promoting the product of the company and boosting its
sales. Moreover, words used are specific that the reader can readily visualize the message.
20. Thoroughness - An effective technical paper is thorough. It is a complete work, be a Letter,
book Karma report, Journal, article or another form. It must be thoroughly done it must not
miss out anything that is essential for Salient to its being. An effective writer provides all the
important data or whatever the reader needs. Unlike a narrative whose conclusion is left to the

22. Veracity - An effective technical paper is veracious. It contains no lies and presents information
coming from reliable sources. An honest writer does not plagiarize. When he borrows the words
and ideas of other people, he gives credit to them by means of parenthetical citations and
footnote and bibliography entries. His work is properly documented.
23. Worth - An effective technical paper has worth. It is valuable to its reader or group of readers
because it satisfies the readers need for information. Besides, it serves other purposes. For
example, a contract renders the agreement between or among parties binding or an
instructional manual helps the reader use the equipment optimally. Business letters promote
the firm's Financial standing, while research papers sent to improve life. Indeed, technical
papers have intellectual value because of their informativeness; they have social, economic, and
similar values, too.
24. X Factor - An effective technical paper has an X Factor. X-Factor stands for an unknown factor,
that's not there which makes a paper unique or distinct from other papers to the extent that it
stands out. This distinctive trade allows for easy week all of the paper.
25. Yuppiness - An effective technical paper is yuppie. The term Yuppie came from the acronym
yup which stands for young urban professional. It possesses the qualities of a young urban
professional in the sense that it is characterized by newness or freshness (young), modernity

Significance of Technical Writing


Technical Writing is a skill that must be acquired not only by every criminology student, but
also by those who are already practicing their profession in the criminal justice system. Every
practitioner, either in different law enforcement agencies, or learners in the academe are confronted
with a variety of writing activities. Law enforcers are required to write beat patrol reports, fill up
routing slips, write traffic accident reports, compose blotter entries, and submit various kinds of
police reports. With these, writing demands, the need for developing technical writing skills is highly
expected.

Who is a Technical Communicator?
A technical Communicator is a person whose job involves technical communication.
Technical Communicator are those who design reading materials, edit proposals, write manuals,
create web pages, write lab reports, write newsletters and submit various kinds of professional
documents. Technical Communicator is responsible are responsible for writing text that are
accurate, readable, acceptable and helpful to its intended audience.
Characteristics of Good Technical Communicator
Knows his audience well - he knows his audience/readers well, anad iin the position to suggest
Serves as a “go-between”- whenever one group of people has specialized knowledge that other
groups does not share, the technical writer bridges the gap
A generator of truth – chooses what will be written, with the full knowledge that later readers will
depend on the accuracy of what has been written.
A good reader – he excels at explaining difficult concepts of readers who will have no time to read
twice.
5. Has an excellent eye for details – he knows punctuations, syntax, and style, and can
explain the rules governing them.

SENTENCE STRUCTURE

Sentences are varied in length and complexities. Some can be


long. Others can be short.

Types of sentence and their structure

1. Simple sentence- A simple sentence contains a subject and a verb, and it may also have an
object and modifiers. However, it contains only one
independent clause.
Example: BS Criminology students
are disciplined.

2. Compound sentence- A compound sentence contains at least two independent clauses.


These two independent clauses can be combined with a comma and a coordinating
conjunction or with a semicolon.
Example: The students completed their modules and
submitted them to their instructors.
3. Complex sentence- A complex sentence contains at least one independent clause and at
least one dependent clause. Dependent clauses can refer to the subject (who, which) the
sequence/time (since, while), or the causal elements (because, if) of the independent clause.
If a sentence begins with a dependent clause, note the comma after this clause. If, on the
other hand, the sentence begins with an independent clause, there is not a comma
separating the two clauses.
Compound complex - Sentence types can also be
combined. A compound-complex sentence contains at
least two independent clauses and at least one dependent
clause.

Remember: Using some complex sentences or compound complex sentences in writing allows
for more sentence variety, but not advisable to use in technical writing because, as a
technical writer we want our sentences to short and easy to convey.

Basic Grammar rules -

Here are 20 simple rules and tips to help you avoid mistakes in
English grammar.
1. A sentence starts with a capital letter and ends with a period, a question mark or an exclamation
mark.

2. The order of a basic positive sentence is Subject-Verb-Object. (Negative and question sentences
may have a different order.)
Example: John loves Mary.
They were driving their car to Bangkok.
3. Every sentence must have a subject and a verb. An object is optional. Note that an imperative
sentence may have a verb only, but the subject is understood.
Example: John teaches.
John teaches English.
Stop! (ex. You stop!)
4. The subject and verb must agree in number, that is a singular subject needs a singular verb and
a plural subject needs a plural verb.
Example: John works in Quirino
John and Mary work in Quirino.
Most people eat three meals a day.
5. When two singular subjects are connected by or, use a singular verb. The same is true for
either/or and neither/nor.
Example: John or Mary is coming tonight.
Either coffee or tea is fine.
Neither John nor Mary was late.
6. Adjectives usually come before a noun (except when a verb separates the adjective from the
noun).
Example: I have a big dog.
She married a handsome Italian man. (Her husband is rich.)
7. When using two or more adjectives together, the usual order is opinion-adjective + fact-adjective
+ noun. (There are some additional rules for the order of fact
adjectives.)
Example: I saw a nice French table.
That was an interesting Shakespearian play.
8. Treat collective nouns (e.g. committee, company, board of directors) as singular.
Example: My family likes going to the
zoo. CNN has changed its logo.
9. The words its and it's are two different words with different meanings. It’s means “it is (a
contraction). Its is a possessive pronoun.
Example: The dog has hurt its leg.
He says it's two o'clock.
10. The words your and you're are two different words with different meanings. You’re means
“you are (a contraction). Your is a possessive pronoun.
Example: Here is your coffee.
You're looking good.
11. The words there, their and they're are three different words with different meanings. There is
an adverb referring to a place, and answers the question where? Their is a possessive pronoun.
They’re means they are (a contraction)
Example: There was nobody at the party.
I saw their new car.
Do you think they're happy?
12. The contraction he's can mean he is OR he has. Similarly, she's can mean she is OR she has,
and it's can mean it is OR it has, and John's can mean John is OR John has.
Example: He is working
He has finished. She is here. John has left already.
She has left. John is married.

13. The contraction he'd can mean he had OR he would. Similarly, they'd can mean they had OR
they would.
Example: He had eaten when I arrived. He
would eat more if possible.
They had already finished.
They would come if they could.
14. Spell a proper noun with an initial capital letter. A proper noun is a "name" of something, for
example Josef, Mary, Russia, China, Quirino State University.
Example: We have written to Mary. Is China in Asia?
Do you speak English?
15. Spell proper adjectives with an initial capital letter. Proper adjectives are made from proper
nouns, for example Germany → German, Orwell → Orwellian, Machiavelli → Machiavellian.
Example: London is an English town. Who is the
Canadian prime minister? Which is your favorite
Shakespearian play?
16. Use the indefinite article a/an for countable nouns in general. Use the definite article the for
specific countable nouns and all uncountable nouns.
Example: I saw a bird and a balloon in the sky. The bird was
blue and the balloon was yellow.
He always saves some of the money that he earns.
17. Use the indefinite article a with words beginning with a consonant sound. Use the indefinite
article an with words beginning with a vowel sound.
Example: a cat, a game of golf, a human endeavor, a Frenchman, a university (you-ni-ver-si-ty) an
apple, an easy job, an interesting story, an old man, an umbrella, an honorable man (on-o-rable)
18. Use many or few with countable nouns. Use much/a lot or little for uncountable nouns.
Example: How many dollars do you have?
How much money do you have?
There are a few cars outside.
There is little traffic on the roads.
19. To show possession (who is the owner of something) use an apostrophe + s for singular owners,
and s + apostrophe for plural owners.
Example: The boy's dog. (one boy) The
boys' dog. (two or more boys)
20. In general, use the active voice (Cats eat fish) in preference to the passive voice (Fish are eaten
by cats).
Example: We use active in preference to passive.
Active is used in preference to passive.

What is a Civilian Letter?


A civilian or business letter is more formal than a personal letter. It should have a margin of at
least one inch on all four edges. There are 12 parts to civilian letter.

1. The Heading- (The Return Address) or Letterhead - Companies usually use printed paper where
heading or letterhead is specially designed at the top of the sheet. It bears all the necessary
information about the organization’s identity.

1. Date/Date line - Date of writing. The month should be fully spelled out and the year written
with all four digits : example: May 12, 2021. The date is aligned with the return address.
The number of the date is pronounced as an ordinal figure, though the endings st, nd, rd, th,
are often omitted in writing. The article before the number of the day is pronounced but not
written. In the body of the letter, however, the article is written when the name of the month
is not mentioned with the day.

3. The Inside Address- This is the address you are sending your letter to. Make it as complete
as possible. Include titles and names if you know them.

This is always on the left margin. If an 8½" x 11" paper is folded in thirds to fit in a standard 9"
business envelope, the inside address can appear through the window in the envelope.

An inside address also helps the recipient route the letter properly and can help should the
envelope be damaged and the address become unreadable.

Skip a line after the heading before the inside address. Skip another line after the inside address
before the greeting.

4. The Salutation - Also called the greeting. The type of salutation depends on your
relationship with the recipient. It normally begins with the word "Dear" and always includes the
person's last name. Use every resource possible to address your letter to an actual person. If you do
not know the name or the sex of your receiver address it to Dear Madam/Sir (or Dear Manager or
Dear Human Resources Director). As a general rule the greeting in a business letter ends in a
colon. Some common salutations are:

5. The Subject Line (optional) - Its inclusion can help the recipient in dealing successfully
with the aims of your letter. Normally the subject sentence is preceded with the word Subject: or
Re: Subject line may be emphasized by underlining, using bold font, or all capital letters. It is
usually placed one line below the greeting but alternatively can be located directly after the "inside
address," before the "greeting."

6. Attention Line - Type the name of the person to whom you're sending the letter. If you type
the person's name in the Inside Address, skip this. Do the same on the envelope.

7. The Body Paragraphs - The body is where you explain why you’re writing. It’s the main part
of the business letter. Make sure the receiver knows who you are and why you are writing but try to
avoid starting with "I". Use a new paragraph when you wish to introduce a new idea or element into
your letter. Depending on the letter style you choose, paragraphs may be indented. Regardless of
format, skip a line between paragraphs.

8. The Complimentary Close - This short, polite closing ends always with a comma. It is either
at the left margin or its left edge is in the center, depending on the Letter Style that you use. It
begins at the same column the heading does. (Note: the second word of the closing is NOT
capitalized)

For example,
* Respectfully yours (very formal)
* Sincerely (typical, less formal)
* Very truly yours (polite, neutral, most advisable to use)
* Cordially yours (friendly, informal)

9. Signature and Writer’s identification - The signature is the last part of the letter. You
should sign your first and last names. The signature line may include a second line for a title, if
appropriate. The signature should start directly above the first letter of the signature line in the
space between the close and the signature line. Use blue or black ink.

10. Identification Initials - If someone typed the letter for you, he or she would typically
include three of your initials in all uppercase characters, then two of his or hers in all lowercase
characters. If you typed your own letter, just skip it since your name is already in the Signature
Block

11. Enclosures, Copies - If you include other material in the letter, put 'Enclosure', 'Enc.', or '
Encs. ', as appropriate, two lines below the last entry.

12. cc: - Stands for courtesy copies (formerly carbon copies). cc means a copy or copies are sent
to someone else. List the names of people to whom you distribute copies, in alphabetical order. If
addresses would be useful to the recipient of the letter, include them. If you don't copy your letter
to anyone, skip it.

Line Spacing

In general, each element or paragraph of the letter is followed by a single blank line, except:

* the date, followed by three or four blank lines;


* the final content paragraph, followed by two blank lines;
* the valediction/closing, followed by three or four blank lines (enough for the sender to sign the
letter); and
* the sender's title, followed by two blank lines.

CIVILIAN LETTER FORMAT

There are four accepted styles. The horizontal lines represent lines of type.

1. Full-Block Style - All the elements are aligned to the left margin and there are no indented
lines. This is a standard block-style format that is accepted by most businesses.
2. Modified Block Style - The return address, date, closing and signature start just to the right
of the center of the page or may be flush with the right margin. All body paragraphs begin at the left
margin.
3. Indented or Semi-Block Style - Similar to the modified block business letter style except
that the first line of each paragraph is indented.
4. Modified Semi-Block - 1) all text is aligned to the left margin, except for the author's
address, date, and closing; and (2) paragraphs are indented. The author's address, date, and
closing are usually indented three inches from the left margin, but can be set anywhere to the right
of the middle of the page, as long as all three elements are indented to the same position.

How Civilian Letters are Organized


•Civilian letters are more personal than most other forms of technical writing.
•They emphasize the reader/writer relationship by the use of such pronouns as I, we, and you.
•Civilian letters share some organizational features with technical reports. They need
to: o orient the reader to the topic at hand o explain why the writer is writing o
provide enough information to help the reader understand what he/she is to do.
•To be able to provide this information, you need to generate ideas, analyze your audience, decide
what you need to say, and define your problem.

• State the main business, purpose or subject matter right away

• Place Important information strategically

1. Application Letter – the main purpose of an application letter is to persuade the prospective
employer that the applicant is an outstanding candidate to be called for an interview. This type of
letter could either be solicited or unsolicited.

a. Solicited application letters - are letters written in response to an advertised job opening.
It is appropriate to mention where you learned of the opening in the first paragraph.
b. Unsolicited application letters - are written to companies that have not posted a job
opening. It is important to gain the reader’s attention and persuade them that you can
contribute to the company’s goals.

2. Resume - A resumé is a personal summary of your personal information, educational


background and work experiences and qualifications. There are three types of resume, the
Chronological, Functional and combination resume.
a. Chronological - follows a time sequence and emphasizes dates, positions are
described beginning with the present or most recent, regardless of how relevant they
are.
b. Functional - Emphasizes experience and skills, not dates, Chronological dates are not
required, value of the experiences is prioritized
c. Combination - Both chronological and functional; Skills and experiences are
functionally highlighted, followed by a brief chronological listing of employment
history
3. Letter of Invitation - is a type of letter written to an organization or an individual for their
participation or presence in an event or an occasion. This is also to ensure that the invited guest
is going to attend. The present and the future tenses are used in an invitation letter. The present
tense gives information about the said event and the future tense assures that the invited person
will attend.

4. Letter of Inquiry - Inquiry letters ask a question or elicit information from the recipient. When
composing this type of letter, keep it clear and succinct and list exactly what information you
need. Be sure to include your contact information so that it is easy for the reader to respond.

5. Letter of Reply – this letter is an answer or the reply to an inquiry about anything.

6. Order Letter - Order letters are sent by consumers or businesses to a manufacturer, retailer or
wholesaler to order goods or services. These letters must contain specific information such as
model number, name of the product, the quantity desired and expected price. Payment is
sometimes included with the letter.

7. Letter of Complaint - The words and tone you choose to use in a letter complaining to a
business may be the deciding factor on whether your complaint is satisfied. Be direct but tactful
and always use a professional tone if you want the company to listen to you.

8. Letter of Adjustment – written in response to the complaint letter that has been received from
an individual person or business. The main purpose of this letter is to resolve the stated
grievances.

9. Letter of Acknowledgment - acknowledgment letters act as simple receipts. Businesses send


them to let others know that they have received a prior communication, but action may or may
not have taken place.

10.Letter of Resignation - When an employee plans to leave his job, a letter of resignation is
usually sent to his immediate manager giving him notice and letting him know when the last day of
employment will be. In many cases, the employee also will detail his reason for leaving the
company.

11.Letter of Recommendation - prospective employers often ask job applicants for letters of
recommendation before they hire them. This type of letter is usually from a previous employer or
professor, and it describes the sender’s relationship with and opinion of the job seeker.

12.Letter of Transmittal/Cover Letter - letters usually accompany a package, report or other


merchandise. They are used to describe what is enclosed, why it is being sent and what the
recipient should do with it, if there is any action that needs to be taken. These types of letters are
generally very short and succinct.
