I. INTRODUCTION
The purpose of this assignment is to brief an essay on reflective scenario of myself facing Barriers that
prevent/inhibit effective communication in business and management in current nature of work & society.
To give simple reflective essay with intake ideas, knowledge & analyze of some significant barriers with examples &
proposed strategies for overcoming barrier.
II. BRIEFLY INTRODUCTION OF IMPORTANCE OF EFFECTIVE COMMUNICATION IN
BUSINESS AND MANAGEMENT.
✓ Developing communication: Communication skills are fundamentals for strong and market reach. It creates
relationships, trust, and responsiveness between seller & buyer, resolves misunderstanding and maintaining
peaceful connections.
✓ Enhancing & Engagement between team members: As professionals enhancing effective communication
is a challenge for teamwork and discussion. Actively engaging team members to express their ideas clearly
and listen to others, they can work together more efficiently and achieve common goals, support each other
with common intention and area of interest.
✓ Increase resource capability & productivity: Make a straightforward, clear, reliable, and economical
communication leads to better understanding of work, tasks, and production. Advising & providing feedback
communication in motivating way will encourage the resource to easily connect the effects. Finally, it
reduces errors, mistakes, miscommunication, and delays, leading to improved productivity and inefficiency.
✓ Disputes Resolving: Effective communications by leaders to co-worker or sub-workers plays a critical role
in resolving flights, queries, unclear ideas. By expressing concerns and actively listening to other ideas,
individuals can find common ground and work to attain mutually beneficial solutions. This indeed helps team
development, interest in work.
✓ Skilled Leadership: Strong communication skills are the most important tool for effective leadership.
Leaders who can convey their vision, give clear directions, and inspire their team members through
communication are more likely to be well-skilled leaders.
✓ Carrer goals: In this competitive market across the globe, if a professional individual excels with excellent
communication skills, then he tends to have better career prospects. Proper & skilled communication in
interviews, meetings, group discussions, presentation and day to day interactions develop one's professional
image and opens opportunities for growth. On the other hand, professional communication-built ideas &
ways to attain goals in a short span of time.
✓ Client Relationships: In business and customer service, effective communication is essential for
understanding customer requirements and satisfying their concerns. Mostly satisfied customers are willingly
involved in future business deals, shows interest to support in future & more likely to become loyal and refer
others to the business.
✓ Training and Education: In schools & colleges, effective communication between faculty and students
needs stable, clear understandable learning. Faculties provide more encourage opens new platforms to
discuss, communicate in dialogue with students can create a more involvement between students to incurred
knowledge of communication and experiences effective learning environment.
✓ Stage Presentations: In any career there will be more skilled & experienced people having the best
knowledge of technical in their nature if work. But, when we ask them to give a presentation in public it
becomes a challenge, an inability for them to do a presentation. Effective communication skills enable
individuals to convey their ideas persuasively and engage the audience with the way they deliver information
of technical nature of work in effective manner.
In overall, communication is the key tool to building strong connections, achieving common goals, and fostering
positive interactions in both personal and professional life. Developing and honing communication skills can
significantly develop various aspects of life and contribute to personal growth and success.
III. BARRIERS THAT PREVENT FROM EFFECTIVE COMMUNICATION IN BUSINESS &
MANAGEMENT:
As a salesperson I choose these sub-topics as my first barrier faced in business & career. These are reflective barriers
that are very challenging for sales professionals to effectively communicate with customers, management & internal
teams.
A. COMPETING NEWS, MESSAGES & SOCIAL MEDIA INFORMATION.
✓ Information Surplus: Salespersons must compete with a vast amount of information flooding their aimed
clients through various mediums. Customers and prospects may be overwhelmed by the sheer volume of
news, messages, and social media content, leading to reduced attention & difficulty in retaining essential
messages we convey as a salesperson.
✓ Reduction of Attention Span: In this current global technology of constant information flow, people's
attention spans have significantly reduced. As a salesperson I’m find it hard to capture and maintain their
audience's attention long enough to deliver their sales pitch effectively.
✓ Believes Factor: With the wealth of information available online, customers may find it challenging to trust
salespersons' claims and guarantees. They may turn to online reviews, social media opinions, and other
sources to validate the salesperson's claims, leading to doubt and trust issues.
✓ Fabrication and Fake News: The creation of false or misleading information on social media platforms can
negatively impact a salesperson's efforts. Customers may come across misleading content that undermines
the integrity of the product or service being offered.
✓ Distrust of Advertising: Conventional advertising methods may be less effective due to customers growing
technology with distrust of marketing messages. Many people have become adept at filtering out ads or
ignoring promotional content, making it harder for salespersons to reach their target audience.
✓ Information Filtering: In YouTube & social apps you may use ad-blockers, spam filters, or other
technologies to limit the information they receive, which could prevent them from seeing relevant sales
messages.
✓ Clash for Attention: Salespersons are not just competing with other businesses for attention; they are also
competing with a vast arrangement of entertainment, news, and social media platforms that constantly vie for
consumers' time and interest.
✓ Lack of Personalization: Generic sales messages may be less effective in cutting through the noise of
competing information. Customers expect personalized and relevant content shaped to their specific needs
and preference.
B. FILTER USED BY MANAGEMENT.
✓ Target Market and Customer Managed Relationship (CMR): Management might define a specific target
market and ideal customer profile that salespeople should focus on. However, if they are deviating from their
directions could lead to a lack of support or resources for pursuing opportunities outside the defined scope.
✓ Pricing Approval: Management might have the authority to approve pricing discounts or special offers.
Salespeople may need to seek approval before offering any deals that deviate from standard pricing
structures. On this case, salesperson has to relay on availability of management interest to support & hear the
ideas of pricing.
✓ Product/Service Knowledge: Companies often set minimum product or service knowledge requirements for
salespeople. If a salesperson lacks sufficient knowledge, they might not be allowed to engage with certain
high-value clients or complex solutions.
✓ Sales Process Adherence: Management might enforce a specific sales process that salespeople are required
to follow. Deviating from this process could lead to a lack of managerial support or delay advancement
through the sales pipeline.
✓ Strategic Alignment: Major issue with management is allocation of resources to meet Sales efforts align
with the customer needs, strategic goals, and initiatives. If a salesperson seeks resources, management will
not be interested in approving for recruitment will be delayed and end up with customer dissatisfaction.
C. HIERARCHY BARRIERS
✓ Fear of Outcomes: Lower-level employees might fear negative consequences if they communicate directly
with top management. This fear can prevent them from sharing valuable insights, feedback, or concerns.
✓ Hierarchy-Based Communication Channels: In a strict hierarchical structure, communication is often
channeled through specific paths. Employees might need to go through several layers of management to
reach the top, causing delays and potential outcomes.
✓ Lack of Openness: A hierarchical culture might discourage open and transparent communication.
Employees might hesitate to voice dissenting opinions or suggest new ideas for fear of going against higher-
level decisions.
✓ Language and Jargon: Different levels of management might use different language, jargon, or technical
terms. This can create confusion and make it difficult for employees at lower levels to understand messages
from higher-ups.
E. CHANNEL BREAKDOWN
✓ Technical Issues: Technical glitches, such as poor audio quality, dropped calls, or malfunctioning video
calls / meetings can disrupt communication and impede the smooth exchange of information.
✓ Lack of Clarity: Messages might lack clarity due to poor writing or presentation skills, leading to confusion
and misinterpretation of the intended message.
✓ Noise and Distractions: Background noise, distractions, or interruptions during communication can make it
difficult for both the sender and receiver to focus on the conversation.
✓ Language Barriers: If speakers involved in communication have different native languages or proficiency
levels, misinterpretations and misunderstandings can occur.
✓ Misalignment of Expectations: Different people might have varying expectations regarding the
communication channel being used, resulting in a mismatch in communication styles.
✓ Inadequate Feedback Loop: One-way communication channels will lead to inadequate resultant of
understanding of listener, this might not allow for immediate feedback and clarification, leading to
misunderstandings going unaddressed.
F. IGNORING THE CYCLE OF COMMUNICATION.
✓ Planning and Preparation: Before a meeting, careful planning and preparation are necessary to set clear
objectives, define the agenda, and identify the key topics to be discussed. Without proper planning, meetings
can become disorganized and lack focus.
✓ Message Transmission: During the meeting, messages are transmitted through presentations, discussions,
and interactions. Clear and concise communication ensures that participants understand the topics, goals, and
ideas being presented.
✓ Reception and Interpretation: Participants receive and interpret the messages presented during the
meeting. Misinterpretation or misunderstanding can occur if messages are not effectively conveyed, leading
to confusion and incorrect decision-making.
✓ Feedback and Clarification: Encouraging feedback and questions from participants allows for clarification
of any misunderstandings and ensures that everyone is on the same page. Ignoring this stage can result in
participants harboring doubts or concerns that go unaddressed.
✓ Feedback Loop and Adaptation: Importance: Insights gained from evaluating outcomes should be used to
refine communication strategies and make necessary adjustments for future meetings. Ignoring this stage can
lead to recurring issues and a lack of growth.
IV. CONCLUSION
The above reflective barriers are more significant for my carrier and may apply to other salesperson, to overcome all
these factors of barriers below I recommended some conclusion for betterments to enhance & grow in
communication.
o Clear and Concise Messaging: Craft messages that are clear, concise, and tailored to the recipient's level of
understanding. Avoid jargon and technical language that may hinder comprehension.
o Use of Appropriate Channels: Choose communication channels that are suitable for the context and the
intended audience. Influence technology effectively while also valuing face-to-face interactions.
o Feedback and Two-Way Communication: Encourage open feedback loops to ensure mutual
understanding. Establish a culture of two-way communication where questions, concerns, and ideas are taken
mutually.
o Cultural Feeling: Acknowledge and respect cultural differences in communication styles and norms. Tailor
your approach to ensure your messages are well-received across diverse audiences.
o Continuous Learning: Invest in improving your communication skills through workshops, training, and
self-assessment. Stay updated on evolving communication tools and trends.
o Nonverbal Communication: Pay attention to nonverbal cues such as body language, tone of voice, and
facial expressions. Ensure your nonverbal signals are aligned with your intended message.
o Flexibility and Adaptability: Be flexible in your communication approach based on the preferences and
needs of your audience. Adapt to unexpected changes or challenges with a positive attitude.
o Feedback and Reflection: Regularly seek feedback from colleagues, clients, or mentors to identify areas for
improvement. Reflect on your communication successes and challenges to refine your skills.
o Collaborative Problem-Solving: When communication barriers arise, collaborate with others to identify the
root causes and brainstorm solutions together.
o Patience and Persistence: Overcoming communication barriers takes time and effort. Be patient, persistent,
and willing to learn from setbacks to enhance your communication effectiveness.
