Concept Notes:
A Microsoft PowerPoint file is called a PowerPoint Presentation, or simply, a presentation. A
PowerPoint Presentation is like a “storybook” of any topic or idea that we would like to share with
anyone. Microsoft PowerPoint helps us in creating a story out of that topic or idea that we want to
present.
The easiest Way to open Microsoft PowerPoint is to look for the PowerPoint Icon and
double-click on it. We can also open Microsoft PowerPoint and create a new presentation by doing
these steps:
1. Go to the Start button.
2. Click All apps.
3. Look for Microsoft Office 2013.
4. Choose Microsoft PowerPoint.
5. Choose Blank Presentation.

The MS PowerPoint Environment:


1. Quick Access toolbar contains shortcuts that are grouped together. These shortcuts are
common commands that we will always use in our presentations, such as Save, Undo, and Redo
commands.
2. Ribbon contains different commands that we need to create presentations. These commands
are grouped into tabs.
3. Slide pane is where we work on the selected slide. Each part of our presentation is called a
slide.
4. Slide Navigation pane helps us to select which slide we would want to work on. We can also see
how many slides we have in our presentation. We will also know in which position the slide that we
selected is on.
5. Zoom controls let us adjust the zoom of our slide by clicking and dragging the slider. We can
also click the fit slide to current window to go back to the original size of your slide.
6. Scroll bars let us see the part of our slide we want to view.
7. Slide View options let us see our slides after working on them. We can choose any option from
the Slide View options.

Exercise
A. Sequencing
Rearrange the steps in opening and creating a new Microsoft PowerPoint file. Arrange them by
writing the numbers 1 to 5 on the lines.

Concept Notes:
A slide contains everything that we want our audience to see, such as text, pictures,
shapes, videos, and charts.
A slide may contain placeholders that let us insert different elements (text, tables, pictures,
videos and charts)
Text is the common element that we can put inside a placeholder. If a placeholder contains
icon, we can insert elements other than text.

A slide contains everything that we want our audience to see, such as text, pictures,
shapes, videos, and charts.
To insert a slide, let us do the following steps:
1. Click the Home tab.
2. Click the New Slide command.
3. A drop-down menu will appear. Choose the slide layout that we prefer.

Concept Notes:
Inserting Text
The easiest way to insert text is to click inside the placeholder. We type the text that we like
and it will appear inside the placeholder.
We can also insert a text box and type text inside of it. To insert a text box, we do the
following steps:
1. Go to the Ribbon, and click the Insert tab.
2. Click the Text Box command.
3. Click and hold, then drag to draw the text box
4. Type the next that we like in the text box.
To resize a text box, click the text box so that sizing handles will appear. Use any of the
sizing handles to drag our text box to become bigger or smaller.
To move a text box, just click the text box, then click its edge. Drag the text box to where we
want it to be.
We can also resize and move placeholders like a normal text box.
Inserting Pictures
To insert pictures to your slide, we:
1. Click the Insert tab in the Ribbon.
2. Click the Pictures command. This will display the Insert Picture dialog box.
3. Go to the picture’s file location.
4. When we have found our picture, click the picture then click Insert.
To insert pictures in a placeholder, we:
1. Click the icon below.
2. See the Insert Picture dialog box.
3. Go to the picture’s file location.
4. When we have found our picture, click the picture, then click Insert.
Exercise:
Rearrange the steps in inserting a picture to slide. Write the numbers 1 to 5 on the lines.

Applying Themes
A theme is a combination of colors, fonts, and effects that are automatically added to our slides.
To insert a theme, we do the following steps:
1. Go to ribbon and click the Design tab.
2. The choices for themes are just below the Design tab. We can click on the arrow on the
right side to display other theme choices.
3. Choose the theme that we like.
We can also choose a variant of the theme by doing these steps:
1. Go to Ribbon and click the Design tab.
2. Go the theme variants, and click on the arrow on the right side to display other theme
choices.
3. Click on any variant that we like.
When we open a new, blank presentation, the theme that our presentation has is the Office theme
Applying Slide Transitions
Slide transition is an effect added to a slide to move from one slide to another.
To insert a slide transition, we:
1. Click the slide where we want to apply the slide transition.
2. Go to the Ribbon and look for the transition tab.
3. After clicking, we will see the effects available to us. We can click the arrow beside it.
4. A drop-down menu will appear that contains all of the slide transitions that we can use.
5. Click any desired effect.
Exercise:
Determined whether the statements are correct or not. Write True if the statement is correct and
False if it is not. Write your answers on the lines.

Concept Notes:
When we present your slides, we transform them into a Slide Show.
To start a Slide Show, we:
1. Look for the Start from beginning command in the Quick Access toolbar.

2. This starts the Slide Show from the first slide.


To move through a Slide Show, we:
1. Look for sets of buttons on the lower left of the slide.
2. Click the Forward button to go to the next slide.
3. Click the Back button to go to the previous slide.
To end a Slide Show, we:
1. The Slide Show will always end after the last slide.

2. When we see a black screen, we just click anywhere to end the slide show.
3. If we want to end a slide show even if the slides are not done yet, we may do so by
clicking the button below.
4. Choose End Show option.
Exercise:
Choose the word from the box that would make the statements true. Write your answers on the lines.
