2 Add Products

Products can be added manually or imported via Excel in SAP CPQ.

This procedure shows how to add products in SAP CPQ manually.

2.1 Create Products Manually

This procedure shows how to add products in SAP CPQ manually.

Procedure

1. Click Setup Products Products.


2. Click Add New to open the Product Setup Wizard.

Only fields marked with asterisk are required.


3. Select Simple Product for Configuration Type.
4. Enter Product Name, Part Number, and Product Description.
5. Select an image that appears in the catalog.
6. Select a Product Type.
7. Enter Base Price and Cost.
8. Add the product to a category by clicking Add/Remove for Product Categories.
9. Mark the user groups that are able to view the product under Permissions.
10. Enter Product Weight.
11. Select Effectivity Dates - product is visible from start date to finish date.
12. Enter Standard Shipping.
13. Click Save to finish.

You've created a product.

2.2 Import Products

You can import new and update existing users in SAP CPQ using a predefined Excel template.

Procedure

1. Click Product Catalog Products Import Products.


2. Click Sample Data and download the Simple Product Import Template.
3. Populate the template with your product data.

 Tip

Don't modify the template file. All the columns need to exist for the upload to be successful. View
restrictions and required columns on the Important Info sheet tab of the Simple Product Import
Template.

4. Browse to select and upload the file with your product data.
5. Click Upload to finish.

3 Quote Customization

You can customize the quote by changing the UI design, adding tabs and custom fields, and customizing the
document generation templates.

Change UI Design [page 6]


Administrators can change the design of the user interface for a user type. Each style differs in not only
visual style but also in how discounting is handled. There are nineteen standard shopping cart styles in
SAP CPQ.

To add a tab to quotes, administrators first need to create the tab.

Customize Document Generation Templates [page 8]


The format and the style of the generated PDF and DOCX documents are based on how the document
generation template is laid out, including fonts, colors, and images. The quote template tags allow you
to insert any information from the configuration, the quote, customer information, or user information.

3.1 Change UI Design

Administrators can change the design of the user interface for a user type. Each style differs in not only visual
style but also in how discounting is handled. There are nineteen standard shopping cart styles in SAP CPQ.

Procedure

1. Click Setup Users User Types.


2. Find the user type whose quote styles you wish to change.
3. Click the Edit icon.

4. For classic design, select a quote style under Legacy UI Design Visual Style (Shopping Cart/Quote) .
For responsive design, select a template under UI Design Add new custom template .
5. Click Save to finish.

The selected style is now applied to the quote.

3.2 Add Tabs

To add a tab to quotes, administrators first need to create the tab.

Procedure

1. Click Setup General Tabs.


2. Click Add New.
3. Enter the tab name.
4. Enter the tab rank (1-9999) in Default tab rank.

Tab ranks determine how tabs are displayed on the screen from left to right, lowest to highest respectively.
5. Click Save to create the tab.

6. To add the tab you've created to the cart, click Quotes Quote Tabs.
7. Click Add New.
8. Select the tab you created from the dropdown Tab Name.
9. Modify the tab rank.
10. Click Save to finish.

The tab is now added to the quote.

3.3 Add Custom Fields

Learn how to create custom fields and select a quote tab on which they're displayed.

Procedure

1. Click Setup Quotes Custom Fields.


2. Click Add New.
3. Enter the name of the field.
4. Select the type of the field:
○ Free Form
○ Attribute – Drop down with attribute values.– Text field of max 2000 characters.
○ Date – Date input field with popup calendar.
○ Long Text– Text field of max 2000 – Text area of max 2000 characters.
5. Under Tab, select the tab to which you wish to add the custom field.

6. Click to finish.

3.4 Customize Document Generation Templates

The format and the style of the generated PDF and DOCX documents are based on how the document
generation template is laid out, including fonts, colors, and images. The quote template tags allow you to insert
any information from the configuration, the quote, customer information, or user information.

Procedure

1. Click Setup Quotes Document Generation Templates.


2. Select a template to customize.
3. Click Download Template under Filename.
4. Open and modify the template.
5. Save the modified template on your computer.
6. Click Upload under Filename.
7. Click Browse and navigate to the modified template.
8. Click Save to close the upload window.

9. Click Save in Document Generation Templates Edit to finish.

The template is now uploaded.

8 PUBLIC Quote Customization
4 Environments

One SAP CPQ environment (for example www.webcomcpq.com) hosts in the cloud an application that is used
by multiple clients.

SAP CPQ is a multi-tenant SaaS application. Clients have dedicated tenants/domains within environments that
hold their specific data and that can be accessed via provided usernames and passwords. In SAP CPQ context,
tenant and domain are synonyms used interchangeably.

When registering and logging into SAP CPQ, you're prompted to state the domain name so that the system
could segregate your company's SAP CPQ from others and log you into your SAP CPQ tenant. There are three
types of client SAP CPQ environments:

● Staging - for client testing (staging.webcomcpq.com).


● Sandbox - for modeling (for example sandbox.webcomcpq.com).
● Production- live version (for example webcomcpq.com).

To log into SAP CPQ, go to the login screen and enter the user ID (username), password, and the domain. For
the system to remember the data for future logins, so you don't have to retype it, select the Remember Me
checkbox.

 Note

The application parameter Default login remember preference ( General Application Parameters
General Parameters ) controls which data the system remembers. The available options are: Remember
domain, Remember domain and username, and Automatically login.

To log out of SAP CPQ, access the menu under your name in the top-right corner and click Log Out.

Prepopulating the Domain for the Login Page

To simplify the login process, you can prepopulate the Domain field on the Login page.

In order to have the Domain field automatically prefilled when a user opens the Login page, a link to the page
needs to contain a domain name. The URL structure is as follows: app_name/Login.aspx?
startdomain=Your_domain (for example, v60test.webcomcpq.com/Login.aspx?startdomain=docteam).

6 Users Administration

All options for managing users are available under Setup Users .

There, you can manage users or add users to the system in the following ways:

● User Import - Import users from an excel spreadsheet. (For more informations, access User Import)
● Users - Create, update, or delete individual user. (For more information, access Users)

Additionally, you can organize your users and define privileges:

● User Groups - Create groups to organize users based on privileges, visual styles and more. (For more
information, access User Groups)
● Companies - Manage companies, define company administrators and more. (For more information, access
Companies)
● Guest User and Default User Settings - Allow users to access your site without logging in. (For more
information, access Guest User and Default User Settings)

7 Password Requirements

Users and administrators can change their own passwords in SAP CPQ (if they aren’t marked as SSO), but
administrators can’t change passwords of other SAP CPQ users either via user import/export, user
management in the Setup, or API.

Passwords in SAP CPQ must conform to the following rules:

● must be from 8 to 50 characters in length


● may contain only the following characters: a-z, A-Z, 0-9
● may contain the following symbols: $@!%*#?&
● can't be the same as the previous password
● can't contain your username

Forgot Your Password [page 12]


If you forgot your password, you can reset it and regain access to your account. If you attempt to reset
your password three times within five minutes, you have to wait an hour before submitting a new
password reset request.

Change Password [page 13]


After logging in, you can easily change your password in User Page or in user settings in Setup. We
advise changing the password regularly to ensure better security and protect the privacy of your data.

7.1 Forgot Your Password

If you forgot your password, you can reset it and regain access to your account. If you attempt to reset your
password three times within five minutes, you have to wait an hour before submitting a new password reset
request.

Procedure

1. On the login page, click Forgot your password?.

You're redirected to a new page.


2. Enter your email and the domain name.
3. Click Submit.

Instructions on how to reset your password are sent to your email address.
4. Go to your inbox and find an email with the subject Reset your password.
5. Click the Reset Password button in the email or copy and paste the provided link to your browser.

You're redirected to a new page.

 Note

The password reset link is valid for 30 minutes.

6. Enter your username and your new password in the dedicated fields.

To ensure that your new password meets the required criteria, refer to the Password Requirements section.
7. Click Submit.

You're redirected to the login page. An email stating that the password is successfully changed is sent to
your address.
8. Go to the login page and use your new password to log in.

7.2 Change Password

After logging in, you can easily change your password in User Page or in user settings in Setup. We advise
changing the password regularly to ensure better security and protect the privacy of your data.

User Page

1. Click your name in the top-right corner.


2. Click User Page in the menu.
3. Enter your username, the current and the new password.
4. Click Change Password.
A confirmation message displays.

Setup

In Setup, you can change your own password if you aren’t an SSO user.

 Note

You can't create, import or change passwords of other regular users and SSO users during user creation
either via user import/export, user management in the Setup, or API.

1. Access Setup Users Users.


A list of users displays.
2. Edit a user.
3. In Password and Retype Password, enter the new password.
4. Click Save.

8 Navigating SAP CPQ

The layout of SAP CPQ consists of a shell bar, the main navigation toolbar, and the central screen area.

 Note

SAP CPQ doesn't support working on more than one quote at the time for the single user. Consequently,
users shouldn't open another quote in another tab of the same browser and work concurrently on both of
them. If it's needed to have another quote open, you can log into SAP CPQ through another browser, which
assigns a new session.

As SAP CPQ doesn't have a dedicated home page, after logging in, the product catalog opens.

The look and feel and the layout of your SAP CPQ depend on the branding and customization. This image
shows a SAP CPQ environment with the default branding and without any customization.

Shell Bar

New Project/Quotation, Recently Viewed, Favorites, and User Menu icons are located in the right corner of the
shell bar.

● Clicking New Project/Quotation lands you on the catalog page where the product items are displayed.
The catalog is also the default landing page to SAP CPQ.

● Clicking Recently Viewed opens a dropdown menu containing the last five items you've viewed.

● Clicking User Menu opens a dropdown menu with your name and user group on top and various
options including User Page [page 17] and Logout.

Main Navigation bar

The main menu is located on the left side of the screen and can be expanded and collapsed. From it, you can
access the following:

● Load Existing Project/Quotation - an interactive list of the quotes a user has created is located here.

● Catalog - product item categories can be accessed here.

● Setup - Setup, Developer Console, Script Workbench, and Log can be accessed here. This part of SAP
CPQ is available to administrators only.

Central Screen Area

When you access SAP CPQ, the Catalog tab is selected by default and product item categories display in the
central screen area. All categories and subcategories are displayed on the left for easier browsing. Buttons for
ordering, sorting, and choosing the view type, displayed in the top-right corner, are used for customizing the
category layout.

 Note

It's possible to choose the landing page per user types. To do this, go to Users User Types , find a user
type you need and under Start page, enter a URL of a landing page of choice (for example, quotation/
LoadQuote.aspx to land to existing quotes).

9 Register as New User

Users need to be registered in order to log into SAP CPQ. To access SAP CPQ, users can either log in with the
credentials provided by the administrator (the administrator first has to create a user account) or register on
their own on the SAP CPQ login page.

Context

Follow these steps to register on your own:

Procedure

1. Go to the URL provided by the administrator.

For example, www.webcomcpq.com


2. Click Register under the SAP Sales Cloud logo.

The User Registration page displays.


3. If you're accessing a multi-tenant environment, enter the domain you wish to access and click Submit.
4. Fill out the fields.
5. Click Send Request.

A confirmation message displays. An email with login details is sent to the registered email address.

 Note

You use the registered username and password to log into SAP CPQ.

10 User Page

Click your name in the top-right corner and select User Page in the menu to access user settings, where you
can change user details, personal details and modify the password in the dedicated tabs.

User Details

In User details, you set default values and manage dates. The name of the domain you're logged into displays
above the fields.

All the fields from the User details page are listed and described in the table:

Field Definition

Effective Date Date used for simulating the effective date of a product. It
can be used to make products appear in the catalog when
their effectivity period doesn't match the current date. Addi­
tionally, it determines the pricing displayed to the user if a
validity period is defined for the selected price book or price
book entries.

Date Format Format of the effective date.

Date Separator Separator used between day/month/year in the effective


date.

Number Format Format of numbers throughout SAP CPQ.

Default Market The default market retrieved for all new quotes.

Default Pricebook The default price book retrieved for all new quotes.

Default Dictionary Dictionary with default SAP CPQ user interface text (button
labels, tooltips, warning messages, and so on).

User Time Zone The user's time zone selected in the setup.

In addition, three toggles display on the page:

● Grant Access to your Company Admin - enable administrators on your tenant to use SAP CPQ as the
logged user until the selected date.
● Grant Access to CallidusCloud Support - allow SAP Sales Cloud support to use SAP CPQ as the logged user
until the selected date.
● Out of office - choose backup approvers that receive a copy of the approval request sent to the logged user.

Modify Personal Details

This page lets you can change your personal data (first and last name, address, etc.).

 Tip

In ID Code enter the postal address code. This code is a unique identifier of your address, in case you don't
wish your full address to be visible.

Modify Password

On this page, you can modify your password according to instructions [page 12].

 Note

The Modify Password tab in the User Page isn’t available to SSO users and users who have the delegated
authority to manage other users.

11 Using SAP CPQ

In SAP CPQ, you can select and configure a product in the product catalog, add it to the quote, and send a
proposal document to the customer.

Catalog Navigation [page 19]


Products are organized in the Catalog into groups called Categories. To access a category, click the
category image (if available) or name to display its contents. This displays the products and
subcategories belonging to the selected category.

Add to Quote [page 20]


Once you have found the product you wish to add to the quote, click Add. This button is immediately
available for simple products, which don't need to be configured before they're added to the quote. If
the Add button isn't available, need to configure the product before it can be added to the quote.

Quote Organization [page 20]


Clicking Add to Quote opens the quote. The quote has three standard tabs: Quotation, Customer Info,
and Documents. Additional tabs can be added to the quote.

11.1 Catalog Navigation

Products are organized in the Catalog into groups called Categories. To access a category, click the category
image (if available) or name to display its contents. This displays the products and subcategories belonging to
the selected category.

● To view product details, click on the product name.


● Select the Compare checkbox for products you would like to compare. Click the Compare button above the
product catalog to display the product comparison page.
● Switch between catalog views by clicking Switch to Tabular/List View on the right-hand side of the screen.
● Return to a previous category by clicking the breadcrumbs at the top of the page.

11.2 Add to Quote

Once you have found the product you wish to add to the quote, click Add. This button is immediately available
for simple products, which don't need to be configured before they're added to the quote. If the Add button
isn't available, need to configure the product before it can be added to the quote.

Procedure

1. Click Configure.

The configuration screen opens.


2. Select options for the product on the configuration screen.

Status: Complete appears once the configuration is complete.


3. Click Add to Quote on the left-hand side.

The configurable product is now added to the quote.

 Note

Products may have required options that must be selected before clicking Add to Quote. If the product
is configured, you see Status: Complete on the right-hand side of the screen. To see which options are
required click Show me Why.

11.3 Quote Organization

Clicking Add to Quote opens the quote. The quote has three standard tabs: Quotation, Customer Info, and
Documents. Additional tabs can be added to the quote.

In the Quotation tab, you can do the following:

● View the quote number, the date when the quote was created or modified, the revision number and the
status of the quote.
● View product information, apply discounts, perform item actions, select freight, view total pricing and
more.
● Select a market to price a quote in a different currency
● Perform actions such as:
○ Copy – Create a copy of the quote and start editing it
○ Add Item – Add another product to the quote.
○ Place Order to ERP – Order the products.
○ Reprice – Refresh the quote after editing quantity, discounts, and so on.
○ Save Quote – Save the quote for future editing.
○ Generate Documents – Generate complex quote/proposal documents based on Word or Excel
templates. Actions are displayed above and below the main cart area.

Additionally, you can enter customer information on the Customer Info tab, and upload supporting documents
in the Documents tab.

The default installation of SAP CPQ comes with an Additional Info tab to illustrate cart customization. All fields
on this tab (Project Name, Additional Comments and so on) are custom fields. You can add an unlimited
number of custom fields to your quote. For more information, see Quote Customization [page 6].
