1 Recruiting Posting Setup

The SAP SuccessFactors Recruiting Posting solution allows you to:

• Access the job board market place. The job board market place is always growing and there are many
external paid and unpaid job boards and school job boards you can post to.
• Crosspost your job and internship offers to the general and specialized job boards.
• Crosspost your jobs to the job boards and alumni associations of more than 2000 schools and universities.
• Post jobs to multiple job or school boards in multiple languages easily from a job requisition.
• Manage your job offers easily after their publication.
• Analyze the performance of the job boards you’re using.

This document describes the configuration steps to set up recruiting posting in SAP SuccessFactors.

3 Prerequisites

Customers are using Recruiting Management and wish to add Recruiting Posting.

Customers have already set up their Recruiting Management instances connected with Recruiting Posting
by contacting Support (creating a ticket on LOD-SF-RPO-IFC stating their Recruiting Management company
ID and the datacenter in the request for all the environments. For a detailed set-up procedure, refer to the
Handbook.

4 Basic Settings

In this section of the document, you'll find the detailed steps to set up SAP Recruiting Posting.

4.1 Enable Provisioning Feature

Use

For existing Recruiting instances, the Recruiting Posting is enabled by default. The following are auto-populated
based on the tenant's environment:

• The Recruiting Posting Environment dropdown values.


• Recruiting Posting URLs (Recruiting Posting Base URL and Recruiting Posting API URL).
• The Assertion Consumer Service URL for Recruiting Posting is auto-populated based on the tenant's
environment.

Check the URLs in the provisioning and modify them if necessary.

Procedure

1. Log on to SAP SuccessFactors Provisioning for your instance using the following link:

2. Choose the Company by selecting the Company Name. Then, choose Company Settings to check the
following features:

3. If you need to modify the Recruiting Posting Environment URLs, select the Recruiting Posting Environment
dropdown values in Provisioning Company Settings Recruiting Posting Settings , and choose Save.
The following are auto-populated based on the value you select in Recruiting Posting Environment:
• Recruiting Posting Base URL and Recruiting Posting API Base URL
• The Assertion Consumer Service URL
4. Go back to the Company Details screen and choose Authorized SP Assertion Consumer Service Settings.
5. Check Authorized Service Provider Assertion Consumer Services URL which populated automatically
according to your instance environment.
6. Check in the SP Mapping Key field, if rp is maintained and check Recruiting Posting from the Application
Name dropdown list. The SHA-256 Certificate checkbox needs to be selected.

4.2 Setup Permission Roles

Use

After Recruiting Postings is enabled, you must confirm that users have the necessary role-based permissions
in the Admin Center.

Procedure

1. Log on to your SAP SuccessFactors instance and choose Admin Center.


2. Type Manage Permission Roles in the tool search box and select the feature/tool from the list. On the
Permission Role List screen, choose the permission role SFCC Recruiter. In the Permission Settings section,
choose Permission to specify the permission you want to assign to the role.

3. The Permission settings window opens.
4. On the left side of the page, you see the different permission categories. Add following permissions to the
permission role:

5. Choose Done and then, Save Changes.


6. Repeat steps 2 to 5 for permission role SFCC Recruiting Administrator and SFCC Super Admin
(Recruiting Mgmt) according to the previous.
7. Choose Done and then, Save Changes.

4.3 Create Posting Profiles

Use

Posting profiles are assigned to individual RCM users or groups of RCM users so that they process job postings
on job boards. Every user requires a posting profile to post jobs.

A default posting profile is automatically generated and associated with the job boards that are part of the
Day One Posting Pack, as soon as a customer country/region pack is created. The default posting profile is
associated to the RCM user if no association is made through the Users to Posting Profiles Association menu.

If you want to create your own posting profiles rather than the default, follow the steps described in this
section.

Procedure

1. Log on to your SAP SuccessFactors instance and choose Admin Center.


2. Type Manage Recruiting Posting in the tool search box and select the feature/tool from the list.
3. On the left area of the screen, there’s already a default posting profile displayed. If you want to create new
posting profile, choose the icon with a plus sign at the bottom of the screen area.
4. In the dialog box Create Posting Profile or Group window, make the following entries:
• Posting profile or group? Posting profile
• Email: <email of the person responsible for the profile>
• Posting profile’s name: <name of the posting profile>
• Recruiter’s Title: <choose Mr or Mrs>
• Recruiter’s first name: <first name of the recruiter>
• Recruiter’s last name: <last name of the recruiter>
• SAP SuccessFactors Recruiting Posting credits: <check the Unlimited box in case you have
unlimited credits. Or, uncheck the Unlimited box and enter the credit number
in the box>
5. Choose Save.

4.4 Associate RCM Users with Posting Profiles

Use

This section describes how to associate an RCM user with a posting profile. Only users associated with a
posting profile can post jobs, modify job board configurations, and manage contracts.

Procedure

1. Log on to your SAP SuccessFactors instance and choose Admin Center.


2. Type Manage Recruiting Posting in the tool search box and select the feature/tool from the list. Then, in the
Users to Posting Profiles Associations section, choose Associate users to posting profiles.
3. You see a list of available users for Recruiting Posting. Choose the user that you want to associate with the
posting profile. Then, choose Edit set of posting profiles.

 Note

The users with the permission Recruiting Posting or Manage Recruiting Posting are synchronized during
the daily system synchronization, and are visible in Associate Users to Posting Profiles.

4. In the Edit set of Posting Profiles dialog box, flag the check box of the posting profile that you want to
associate to the use. Then, choose Save.

4.5 Manage My Job Boards

Use

This section describes how to make a job board operational by adding or modifying posting profiles,
configurations, and contracts to job boards.

Procedure

1. Log on to your SAP SuccessFactors instance and choose Admin Center.


2. Type Manage Recruiting Posting in the tool search box and select the feature/tool from the list, then in the
My Job Boards section, choose Manage my job boards.
3. You can view all available job boards in the My Job Boards panel on the left-hand side of the screen. If you
want to add new job boards into your posting profile, choose the plus icon in the right bottom side of the
panel. Then, search in the Job Board Market Place for the job boards that you want to post a job to. Choose
Add in the job board box, flag the checkbox of the agreement text in the dialog box, then choose Continue.
Enter the required fields of the job board, and choose Next until you reach the screen to add a job board to
your posting profile. Choose your posting profile. Then, choose Add and Close.
4. In case you want to edit existing job board, go back to the My Job Boards panel, and select the job board
you want to edit. On the right side of the screen, choose the availability of job board in the Job board
availability column.
• Select Default to make a job board available by default.
• Select Mandatory to make a job board mandatory for all job postings.
• Select Preselected to allow recruiters to deselect the job board.
5. You can set up the credentials that connect your company with the given job board. To do this set up, go
to the Credentials tab. Choose New credential to create a new credential by entering the required fields in
the Credentials dialog box. Then, select the posting profiles or groups that have permission to post on the
job board with these credentials on the next screen. When complete, choose Add and Close. You can also
change an existing credential by doing the following: Select a configuration using the arrow on the right.
Choose Edit to change the credentials or the posting profiles of persons allowed to post on the job board.
6. You can remove a job board by choosing the Delete a Job Board on the upper right part of the screen. Then,
confirm.

5 Auto Posting setup

5.1 Automatic Job Posting to Recruit.net

The Automatic Job Posting to Recruit.net solution allows you establishes automated job posting to the Job
board Recruit.net.

This section describes all activities you need to carry out before you implement the solution package from
system preparation to implementation of the business content and validation.

5.2 Create flow for Auto Recruiting Posting in Intelligent


Service Centre

This section describes the steps necessary to create flow for auto recruiting posting in intelligent service
centre.

1. Log on to your company’s instance and go to Admin Center from the Home tab. Type Intelligent Services
Center ISC in the tool search box and select the feature/tool from the list.
2. In the Intelligent Services Center, Click on the event ‘Initiate Job Posting’

3. In the event Recruiting: Initiate Job Posting, On the left panel below Event Details, Click on ‘+ New Flow’

4. Click the blue text “Flow 1”, rename the flow name to “Auto Recruiting Posting Flow”

5. Click the box of “Automated Job Posting Subscriber” in the right column of the screen to add it to the new
created flow.

6. Select the timing of the flow, ‘when event is published’

7. Click Actions and save Flow to save the settings

6 Preparing Implementation

6.1 Prerequisites Upgrades

In the SAP SuccessFactors instance, one of the below Best Practices Recruiting Management upgrade must be
activated,

• Best Practices Recruiting Management Integration with Position Management upgrade


• Best Practices Recruiting Management without Position Management Integration upgrade

7 Activation of SAP Best Practices

The customer has already implemented Best Practices Recruiting Management Integration with Position
Management Upgrade or Best Practices Recruiting Management without Position Management Integration
upgrade. If there is an already existing super admin user assigned to a role with the necessary permissions for
the activation of the solution via the Upgrade Center, you can directly carry on the activation process. If this is
not the case, you need to enhance the role with these permissions and run activation of solution via Upgrade
Center.

For implementing the SAP Best Practices Automatic Job Posting to Recruit.net. item, some basic
permissions are needed to run the activation and to check the result.

8 Implementation

This section provides an overview of implementing the Upgrade Center item Best Practices Automatic Job
Posting to Recruit.net.

8.1 Running Activation

1. Log on to your instance and go to the Admin Center.


2. Enter Upgrade Center in the tool search box and select the feature/tool from the list.
3. On the Welcome to the SuccessFactors Upgrade Center page, filter by SAP Best Practices. In the
Optional Upgrades section, you will find the Best Practices Automatic Job Posting to Recruit.net.
4. Choose Learn More & Upgrade Now.
5. On the Best Practices Automatic Job Posting to Recruit.net page, choose Upgrade Now.
6. In the dialog box, choose Yes for: Are you sure you want to upgrade to Best Practices Automatic Job Posting
to Recruit.net?

 Note

You will not be able to undo this feature once it is upgraded.

7. A dialog screen confirms the update and that the activation is executed in the background.
8. Track the status of the upgrade as described in the next chapter Tracking Process [page 15].

8.2 Tracking Process

The activation will be done in the background with several configuration steps.

After triggering the activation of the content, status e-mails will be sent out to the user who triggered the
activation in upgrade center:

One with the subject Upgrade Center Notification: Best Practices Automatic Job Posting to Recruit.net"
Upgrade Status which provides you the final status of the upgrade.

● One with a detailed log of the different configuration steps and their status.

9 Post-Processing

Ensure you post job requisitions on the external career site to view the jobs being automatically posted
to recruit.net. Use the “Standard Job Requisition” and “Standard Job Requisition (Integrated with Position
Management)” templates which is delivered via Best Practices Recruiting Management upgrades to create job
requisition for auto posting to work.

 Note

Make sure all the required field for posting are maintained.

Location is a mandatory field for posting and location object is also available in the template. Ensure city and
post code data are maintained while creating location object.

As part of the Best Practices for automatic job posting to recruit.net upgrade, we have preconfigured the
Recruiting Posting integration with the recruit.net job board, set up the posting profile, and completed the field
completion rules to post the jobs automatically.

Furthermore, we recommend following the steps in the Setting Up Automated Posting of Jobs on Job Boards
section to customize the configurations based on your organization's job posting requirements.

9.1 Create Posting Profiles

1. Log on to your SAP SuccessFactors instance and choose Admin Center.


2. Type Manage Recruiting Posting in the tool search box and select the feature/tool from the list. Then, in the
Users to Posting Profiles Associations section, choose Associate users to posting profiles.
3. You see a list of available users for Recruiting Posting. Choose the user that you want to associate with the
posting profile. Then, choose Edit set of posting profiles.

 Note

The users with the permission Recruiting Posting or Manage Recruiting Posting are synchronized
