GENERAL INSTRUCTIONS
You are allowed 15 minutes of reading time at the start of the exam. However, you are NOT to
begin working on the computer until this time has elapsed. You are allowed to make notes
during reading time.

This exam is comprised of a single case with an introduction, section A, and section B. Each
section is worth 30 marks and the exam total is 60 marks. The introduction is important in
setting the stage for the section requirements.
• Create a folder on the Desktop named MGMT2004_<Your ID Number>. For example,
MGMT2004_83123456 where 83123456 is an ID Number and should be replaced with your ID
number.

BOTH SECTIONS ARE MANDATORY and their respective instructions are as follows:
Section A (Spreadsheet) Instructions
• Create a single MS Excel© workbook for all questions in this section.
• Your workbook should be saved inside your Desktop folder (MGMT2004_XXXXXXXX) and
named QuotationSS_<Your ID Number>. For example, QuotationSS_83123456 where
83123456 is an ID Number and should be replaced with your ID number.
• You will need the Fig1. DesignClassification, Fig2. ClayCost, Fig3. KilnTime and
QuotationData worksheets in the MGMT2004_PPB_Data workbook, which is on the desktop,
to complete this section. Copy data needed for this section from the MGMT2004_PPB_Data
workbook, which is a read-only file.
• Continue to save your work periodically and on completion, exit MS Excel©.

Section B (Database) Instructions


• Create a single MS Access© database for all questions in this section.
• Your database should be saved inside your Desktop folder (MGMT2004_XXXXXXXX) and
named ClientDB_<Your ID Number>. For example, ClientDB_83123456 where 83123456 is an
ID Number and should be replaced with your ID number.
• On the Desktop is a workbook named MGMT2004_PPB_Data that contains the table data
needed for this section. Import the Customer, Item and Order worksheets data into the
respective tables in your ClientDB__<Your ID Number> database as outlined in Section B.
• Continue to save your work periodically and on completion, exit MS Access©

EXAM SUBMISSION INSTRUCTIONS

Then, UPLOAD your spreadsheet and database solutions individually, from your desktop

INTRODUCTION
The Pelican Pottery Barn (PPB), owned by Richard and Maria Bailey, is the creator and retailer of
fine glass tableware, such as plates, pitchers, drinking glasses, etc. The business has been in
operation for over five years and has two main sources of revenue: the reselling of high-quality
glassware from overseas manufacturers, and the creation of custom glassware from their own
designs. Since inception, PPB has enjoyed relative success and has remained stable throughout
turbulent economic times, but the Baileys believe more could be done to better streamline their
operations.
Each of PPB’s stated sources of revenue come with their inherent managerial problems that the
Baileys believe must be solved in order for the business to take the next step and grow. You are a
consultant hired to advise the Baileys of steps they could take to address their problems. In your
assessment, you believe that the inclusion of both spreadsheet and database software could be a
useful combination to alleviate PPB’s woes.
The Bailey’s have asked you to develop two prototypes; 1) a Workbook, using MS Excel©, to
determine the costing of custom jobs for clients; and 2) a Database, using MS Access©, for
customer relationship management and for marketing. The Bailey’s have provided you with
minimal sample data in the MGMT2004_PPB_Data for both prototypes.

SECTION A: SPREADSHEET – QUOTATION LOG [30 Marks]

DESIGN SPECIFICATIONS
PPB struggles with the timely costing and subsequent pricing of custom jobs for clients. At times it
could take as long as five weeks to provide a quotation, and even after such a prolonged period it
would be discovered that the project was still incorrectly priced. As such, a Quotation Log has
been proposed to streamline the costing and pricing process of custom jobs. It is important to
note that PPB adds a markup of thirty-five percent (35%) to the overall cost of all custom projects
to arrive at the final quotation price.
There are three elements of costing for each piece of custom dinnerware: the complexity of the
design (i.e. design cost), the cost of the materials used (i.e. material cost), and the length of time
required in the kiln (i.e. baking cost). The “kiln” is essentially an oven used in the creation of
glassware.

DESIGN COST
The complexity of the design is derived by the number of hours required from conception to final
customer approval, this is known as “time to approval”. Designs may be classified as: simple,
moderate or complex, based on the respective design time to approval. Figure 1 shows the
associated time to approval for each design classification and associated charge. Figure 1 is
provided in the Fig1. DesignClassification worksheet in the MGMT2004_PPB_Data workbook.

MATERIAL COST
Clay is the primary material used in the creation of dinnerware and is purchased in bulk. There are
several things to consider when costing the material for each piece of custom dinnerware:
i. The clay quality, which can be either low, medium, or high;

ii. The cost per ounce of clay, which can be derived from the associated batch cost;
iii. The amount of clay required to make each piece of dinnerware, i.e., material per piece;
iv. The size of the job, i.e., number of pieces ordered.
Figure 2 provides the bulk cost for the various quality clay. Figure 2 is provided in the Fig2.

BAKING COST
There are three general classifications of glass dinnerware created by PPB, namely: earthenware,
stoneware, and china. Each classification of dinnerware requires a specific amount of time in the
kiln to create. Figure 3 contains the time requirements for the respective dinnerware
classifications. It typically costs PPB $3,000.00 per hour to run the kiln. However, this hourly cost is
doubled to create china. Figure 3 is provided in the Fig3. KilnTime worksheet in the
MGMT2004_PPB_Data workbook.

PPB provides a sample Quotation Log, shown in Figure 4, which they hope will streamline the
quotation process and appropriately cost and price each job. Figure 4 is provided in the Fig4.
QuotationData worksheet in the MGMT2004_PPB_Data workbook. Figure 5 provides a
description of each of the respective columns in the Quotation Log.

IMPLEMENTATION REQUIREMENTS
Your workbook solution should be created in a single MS Excel workbook as follows, and all
associated worksheets should have a consistent and professional appearance and should be
appropriately formatted.
1. Create an input section in a separate worksheet and name the worksheet Q1Input. This
worksheet should contain information you deem appropriate for this section.

2. Create the Quotation Log in its own worksheet and name the worksheet Q2QuotationLog.
Create one calculation to determine each of the following (do not add extra columns):

• Design Cost, Material Cost, Baking Cost, and Final Charge.

3. What is the contribution of each quality of clay to overall earnings? Display the total $
contribution as well as the percentage contribution of each quality of clay. Display your
answer in a worksheet named Q3MaterialContribution.

4. PPB would like to know the total profit earned from custom jobs that require complex
designs and earthenware jobs that required at least 75 pieces. Use a single formula to
display the result. Name the corresponding worksheet Q4Earnings.

SECTION B: DATABASE – CUSTOMER MANAGEMENT [30 Marks]

DESIGN SPECIFICATIONS

PPB stores the information of past clients and prospective customers collected from the numerous
trade shows that they attend yearly. The clients’ information collected have always been used to
drive the marketing efforts of PPB. However, as the amount of information collected grows, PPB’s
ability to effectively use said information decreases. Therefore, PPB is seeking the implementation
of a database that will capture the information on their clients, the items they have for sale, and
the orders placed by clients. It is envisaged that the information collected will be largely used for
marketing purposes.

Information on both existing and prospective clients will be stored in the Customer table. Figures
6 and 7 provide the table’s design and sample records respectively. Data for the Customer table
should be imported from the Customer worksheet in the MGMT2004_PPB_Data workbook.

PPB carries a wide array of high-quality dinnerware from manufacturers across the region.
Information on the items carried is captured in the Item table. Figure 8 contains a description of
the Item table, while Figure 9 contains sample items stored in the table. Data for the Item table
should be imported from the Item worksheet in the MGMT2004_PPB_Data workbook.

The orders by clients received by PPB are stored in the Order table. The description of the table
may be seen in Figure 10 and Figure 11 contains sample records from the table. Data for the Order

IMPLEMENTATION REQUIREMENTS
5. Create and populate the Customer, Item and Order tables in your database (named
ClientDB_<Your ID Number>) by importing the data from the respective worksheets in the
MGMT2004_PPB_Data workbook. All foreign keys should have lookups and enforce
referential integrity.

Construct the following queries and report and name as indicated:

for each item (i.e. itemCost). PPB indicates that the margins for the different types of items
sold are as follows: Glassware (drinking & wine glass) – 35%; Plates – 30%; all other types of
items – 40%.

7. [query name: qryQ7BestClients] PPB wishes to identify their best clients. They wish to see
all clients, including their contact details, that have purchased at least 100 items. PPB also
wishes to see the associated total charge for each purchase. Since PPB wishes to scrutinize
the data by client classification, you design the query to allow PPB to enter the classification
at run time.

purchases for plates and wineglasses only, for each client classification by item type.

9. [query name: rptQ9FreeGift] PPB wishes to thank their most loyal clients and plans to
reward these clients based on total profit earned, provided the profit earned is at least
$20,000.00. PPB wishes to see this information presented in a report. Figure 12 provides a
sketch of the report. As you inspect the report you realize that the contact detail for each
client should be included and where there is no contact information, a message such as
“Contact Detail Missing” should be printed. PPB also wants the loyal clients to be listed by
classification, the number of clients per classification, as well as the total profit for each
classification type.
