Initiation process group


In the JWD Consulting intranet site management project (predictive approach), the first
important deliverable was a project charter. This document formally approved the project and
authorized the project manager to direct resources to project activities. It also identified key
project stakeholders and clarified project objectives. In addition, a stakeholder register was
created that listed the roles, expectations and communication needs of all stakeholders. This
allowed all key individuals and groups to be identified early in the project.
2. Planning process groups
The case studies emphasize the importance of creating a detailed work breakdown
structure (WBS) The WBS helped break the project down into smaller manageable tasks In the
case of JWD Consulting, this structure included developing intranet functionality, testing, and
documentation. A project schedule with Gantt charts detailing task timelines was also an
important outcome. The risk management plan was also an important output at this stage, it
identified potential risks such as technical failures and proposed mitigation measures.
3. Execution process group:
During the execution of the project, the intranet site itself was the main output of the
project. The intranet was developed according to the planned specifications, with constant
communication playing an important role. Performance data was collected regularly to track
whether tasks were completed on time and on budget. JWD Consulting also utilized status
reports to provide stakeholders with information on work progress and issues that needed to be
addressed.
4, Monitoring and Control Processes Unit:
Project execution was closely monitored through outputs such as progress reports. In
these reports, actual progress was compared with the planned schedule, budget and quality
standards. When deviations were identified, change requests were submitted to adjust the
project plan. For example, if the project was behind schedule, a change request might suggest
reallocating resources or extending deadlines. Risk monitoring was also important; new risks
were documented and existing risks were managed.
5.Finalization Process Group
The case studies in the final phase produced outputs such as the “Final Project Report,”
which summarized the project's performance and provided insight into the project's successes
and challenges. Another important output was the “Lessons Learned from the Project” report,
which captured key lessons learned from the project that can be applied to future initiatives.
Finally, JWD Consulting organized a Project Closing Meeting, a formal debriefing that marked
the official end of the project, where all results were handed over to the client and the project
team celebrated the successful completion.
