Team Contract Template

Planning Meetings
 How will your group keep itself on track during meetings?
By creating a clear plan and choosing an individual to make sure we stick to it, our
group can maintain focus during meetings. Regular updates on progress will also help
to maintain the focus of the talks.

 What are your expectations regarding attendance and punctuality at all


electronic meetings?
We expect that every group member will participate in all online meetings, be on time,
and tell the group before if they will be late or absent. To ensure cooperation and the
successful completion of the project, attendance and engagement must be regular.

 What will your group do if a member is missing? (make note of this in your
consequences section).
If a member is absent, the meeting will still go forward, and the absent person will be
given updates, tasks, and assignments. Effects of excessive absences could include
kick-outs.

 What advance preparation is expected of group members?


Before every meeting, group members are required to look over every relevant record
and finish the tasks they were given. This ensures that everyone is ready to participate
in conversations with efficiency.

Team Procedures
 What is your preferred method of communication (e.g. e-mail, Teams, text,
Facebook, Zoom, etc.) in order to inform each other of meetings, updates,
reminders and problems?
One of the preferred methods that we choose to use is WhatsApp group and Zoom
meetings for clear conversations with each other.

 Will your team hold additional in-person meetings after class or will they
meet using an online platform?
Yes, with most of our team members choosing the perfect time according to everyone’s
schedule we will be doing some in-person meetings after class like Zoom meetings and
also in-person meetings for more clarifications.

 Set response times expected (example: texts to be responded to within 4


hours; e-mail within 24 hours etc.).
So firstly, we decided to collab as a team then we all just emailed each other to text the
personal number to text. Then we all four concluded to create a group called “Group
The fighters Fortunately, we guys had great communication timing as majority of the
time we all got quick responses. After that team members picked a certain time so that
we could connect on the call to discussion about our whole work.

 What decision-making procedure will your group use? Majority vote?


Consensus?
In our group, the decision-making process will be taking a major role because we will be
going with the majority support to whatever happens regarding the work, because like
this it will be equal for every single person to understand and keep their point.

Work Quality
 How will you ensure that your PowerPoint slides and reports are error-
free?
We are going to review each other's work before submitting it and do final edits to make
sure our papers and presentation slides are error-free. To detect any mistakes, we will
also use grammatical and spelling checks.

 What will your group do if a member misses the deadline or hands in


incomplete or poor-quality work? (Make sure you match this to your
consequences section)
In the case that a member is unable to submit work by the due date or turns in
insufficient work, the group will offer feedback and a chance for correction. Repeated
problems could result in tasks shifting and their contribution credit being reduced.

 What accommodations and supports have you put in place for people who
are uncomfortable with public speaking?
We will offer support to the team member who is nervous about speaking in front of an
audience by breaking up the presentation into smaller portions or allocating non-
speaking tasks like advancing slides or fielding questions. To increase our trust in one
another, we may practice together.

Professional Behaviour

As part of your commitment to your team, you must consider the importance of
being professional.
 Exactly what do you expect from your team members? How do you classify
professional behavior?

The expectations we have from each other regarding our work and team is that each
team member should be working properly as a team, participating effectively instead of
putting all the work on one person.

 How will your group handle it when an individual exhibits


unprofessional/poor behaviour?
If something goes wrong for example if any of our team members doesn’t work on their
given ones then we will try our best together to keep things solved until the end and if
things stay the same with that individual, then with the majority, we will take strict
actions against that individual.

 How do you expect your team members to work with online platforms,
collaborative on-line documents, PowerPoints or other tools you will be
using as a team?
To ensure current information and well-organized input, team members should
effectively communicate and actively cooperate on online platforms. Version monitoring
should be utilized to prevent confusion, and documents and presentations should have
consistent formatting. It is everyone's responsibility to finish assignments on time and to
check final products before submitting them. In all collaborative work, professionalism
and attention to detail are required.

 What are the expectations about professional attire for class?


It is common to dress professionally for classes; excessively informal ensembles, such
as torn jeans or sweatpants, are not appropriate. Business casual or formal attire is
needed for presentations and other formal events. Respect and professionalism must
be reflected in the clothing.

Team Participation

 What strategies have you put in place to ensure cooperation and equal
distribution of tasks?
We are going to split up the work equally and collaboratively by assigning duties
according to each person's interests and abilities rotating the tasks to keep things fair.
Workload balancing and job completion tracking will be simplified by regular meetings
and progress reports.

 What strategies have you put in place for encouraging/including ideas from
all team members?

We will use a round-robin discussion structure to ensure each team member has a
chance to share their ideas. Additionally, we will create an open and supportive
environment where everyone feels comfortable contributing, including quieter members
who may need encouragement. Anonymous suggestion forms or online polls will also
be used to gather input from those who may not want to speak up in meetings. Regular
feedback sessions will help refine ideas and ensure everyone’s voice is included.

 How will your group handle conflict? (Not dealing with conflict is not an
option)
To resolve disputes peacefully, the group will have respectful conversations about
problems and prioritize finding a solution above placing responsibility. A group vote or
negotiations by an impartial third party will be utilized to settle the dispute if it doesn't go
away.

Member Roles

 How will your group handle a member who is not making sufficient effort to
conscientiously master their assigned roles? (Make sure this is compatible
with your consequences section).
To understand the challenges presented by a group member who is not putting up
enough effort, we will first address the issue in a respectful and straightforward
conversation. If they don't improve, their responsibilities could be rearranged to ensure
the project's success, and their input will be used in their assessment at the end. An
ongoing absence of effort may result in official reports to the teacher.

 How will your group handle responsibilities when a group member is


absent and thus, unable to complete their role? (Make sure this is
compatible with your consequences section).
The surviving team members will briefly rearrange responsibilities to cover the lost work
if an absent team member is unable to carry out their responsibilities. When the absent
person returns, it is expected that they will catch up and finish whatever duties they
missed. To keep group disturbance to a minimum, clear communication is essential.

 What will happen when reports are poorly completed or late? (How will you
handle this in your consequences section?).
Reports that are inaccurate or submitted late receive initial remarks and an opportunity
for corrections. The group may redistribute work and modify individual assessments if
deadlines are consistently missed, or quality is consistently poor. The instructor will
formally step in if the problems continue.

Personal Accountability
 How will you handle a member whose behavior demonstrates a lack of
concern and/or involvement in fulfilling their team’s obligations? (Since
this is considered unscholarly behavior, how will you handle this as a
team?)
We will first discuss a member's behavior in private to better understand their
circumstances and highlight the impact on the team if they are demonstrating a lack of
interest or involvement. If the behavior continues, they might have less responsibility
going forward, and the instructor will be informed so that additional steps can be taken.
Their position in the group and ultimate assessment will be impacted by unresolved
disengagement.

 What (if any) constitutes a good reason for missing a presentation or


meeting?
A valid excuse for skipping a presentation or meeting could include an illness, an urgent
family matter, or an unavoidable prior engagement. On the other hand, efforts to make
up for missing obligations or provide remote contributions will be made, as is a warning
whenever possible.

Consequences
Some of the most common work conflicts among group members included
unequal completion of work, disagreements between goals, issues
communicating or connecting individuals on same team, and general unscholarly
behaviour.
Consequences for failing to follow procedures and fulfill expectations:
 Describe, as a group, how you will handle infractions of any of the
obligations of this contract, which can be known as “strike one”. Describe
what your team will do if the infractions continue (if the individual doesn’t
do their part and achieves a second strike?). There must be significant
consequences – just as there are in the workplace – and they should
escalate from minor to more serious. (By the third strike, this is considered
a serious offense, please see the note below)
For the first infraction, the team will address the issue privately with the individual,
offering support and a chance to improve. If a second infraction occurs, it will be
formally documented, and their role may be reduced, with a clear warning of potential
consequences. Upon a third infraction, the issue will be reported to the instructor,
resulting in a formal warning on the individual's college record.

 Note: In keeping with College Academic Offences Policies, any student who
has 3 infractions, will receive a warning on their college record for
unscholarly behavior. If there are 4 infractions, this will automatically be
changed to an offense and it will be part of your permanent college record.
