§ BYLAWS AND CODE OF CONDUCT §
§1 PURPOSE
The purpose of these bylaws is to establish clear and comprehensive rules,
expectations, and disciplinary measures for all members, staff, and leadership of
Sawe. These rules ensure a respectful, safe, and professional environment while
fostering accountability, fairness, and transparency in all group operations and
interactions.
These bylaws also outline the group’s structure, the responsibilities of key roles,
and the processes for reporting, investigating, and resolving issues. All members,
whether general participants or staff, are required to abide by these bylaws as a
condition of their membership.
§2 DEFINITIONS
● Sawe: Refers to the organization encompassing activities on both Roblox
and Discord. Sawe represents the group and all its members, staff, and
leadership.
● Roblox: Refers to the online gaming and game creation platform where
Sawe's activities primarily take place.
● Discord: Refers to the communication platform used by Sawe for
organization, coordination, and interaction.
● Roblox Group: The official group on Roblox tied to Sawe's operations,
including members and associated assets.
● Discord Server: The official Sawe server on Discord, used for
communication, announcements, and collaboration.
● Leadership: Members holding positions in the Presidential Team or
Executive Team, responsible for decision-making, oversight, and bylaw
enforcement.
● Human Resources (HR): The department responsible for managing
member behavior, disputes, recruitment, and enforcement of bylaws.
● Public Relations (PR): The department responsible for external
communications, partnerships, and maintaining Sawe’s public image.
● Staff: Members with roles involving administrative, moderation, or hosting
responsibilities.
● Member: Any individual participating in Sawe’s Roblox Group or Discord
Server who does not hold a staff or leadership position.
§3 CODE OF CONDUCT
§3.1 Respect and Professionalism
● Act respectfully and courteously toward others within the group.
Consequence: Violations will result in a warning for minor infractions.
Repeated offenses will escalate to temporary suspension (up to 2 weeks)
or public blacklist for severe breaches.
§3.2 Compliance with Community Guidelines
● Follow all community guidelines, including Discord’s Terms of Service and
Roblox’s Terms of Use.
Consequence: Breaches will result in an immediate suspension pending
investigation. Severe violations (e.g., sharing prohibited content) may lead
to termination and public blacklist.
§3.3 Proper Use of Resources
● Use channels and resources as intended (e.g., no spamming or misuse of
tools).
Consequence: First offense results in a temporary mute (24-72 hours).
Repeated misuse may lead to a strike or temporary suspension.
§3.4 Professional Conduct
● Maintain a professional and positive environment at all times.
Consequence: Toxic behavior will result in progressive disciplinary
measures, starting with warnings and potentially leading to demotion,
suspension, or termination based on severity.
§3.5 Reporting Violations
● Report violations of these bylaws to appropriate administrators or
moderators.
Consequence for Failure to Report: Members who fail to report critical
violations may receive a private warning.
§3.6 Active Participation
● Be actively engaged in group discussions, events, and activities. Contribute
to meaningful conversations, assist with events, and help other members
whenever possible.
Consequence: Members who are consistently inactive without prior notice
may face reminders. Prolonged inactivity may lead to temporary
suspension or demotion.
§3.7 Contributing to Group Growth
● Actively seek ways to improve the group, whether through constructive
feedback, proposing new ideas, or supporting members.
Consequence: Members who contribute positively will be recognized with
commendations or elevated roles. Neglecting opportunities for growth or
disruptive behavior may lead to warnings or disciplinary action.
§3.8 Participation in Scheduled Events
● Participate in scheduled group events and meetings. Engagement in
activities is essential to maintaining the group’s productivity and cohesion.
Consequence: Members who repeatedly fail to attend scheduled events or
meetings without valid reasons may face warnings or disciplinary action.
Habitual absence may result in suspension.
§3.9 Support for New Members
● Help integrate new members and encourage them to participate. A
welcoming and inclusive environment strengthens the group.
Consequence: Members who foster a welcoming environment will receive
positive recognition. Failure to do so may result in warnings or disciplinary
action.
§3.10 Upholding Group Integrity
● Help maintain the group’s values, goals, and vision. Act in a manner that
supports the overall direction of the group.
Consequence: Members who undermine the group’s integrity through
inactivity, negative behavior, or disregard for group values may face
consequences ranging from warnings to suspension or termination,
depending on the severity.
§4 PROHIBITED ACTIONS §
§4.1 Harassment or Discrimination
● Definition: Any form of bullying, hate speech, or targeting individuals based
on race, gender, religion, nationality, sexual orientation, disability, or other
protected characteristics. This also includes harmful behaviors such as
mocking, offensive jokes, or exclusionary actions.
● Consequence: Immediate suspension (minimum 1 week) for minor
infractions. Severe or repeated cases result in termination and public
blacklist.
§4.2 Toxic Behavior
● Definition: Insults, excessive negativity, disruptive or hostile behavior, or any
action that undermines the group’s purpose and the well-being of its
members.
● Consequence: Three-strike policy:
○ Strike 1: Formal warning.
○ Strike 2: Temporary suspension (up to 2 weeks).
○ Strike 3: Termination or blacklist based on severity.
§4.3 Unauthorized Advertising
● Definition: Promoting external servers, groups, or services without prior
approval from administrators. This includes unsolicited messages, spam, or
other forms of disruptive advertising.
● Consequence: Immediate removal of advertisements and temporary mute
(up to 1 week). Repeat offenses result in termination and private blacklist.
§4.4 Abuse of Power
● Definition: Misusing moderator or admin privileges to harm others, gain
unfair advantages, or manipulate group dynamics. This includes abuse of
power for personal benefit or retaliation.
● Consequence: Immediate suspension of all administrative privileges
pending investigation. Confirmed abuse results in demotion, termination,
and/or private blacklist.
§4.5 Leaking
● Definition: Unauthorized sharing of sensitive information, including but not
limited to internal communications, personal data, or private server
content, to any external party. This includes screenshots, messages, or
other confidential material.
● Consequence: Leaks result in immediate investigation. Confirmed incidents
may lead to termination, public blacklist, and notification to affiliated
groups or servers.
§4.6 Breach of Confidentiality
● Definition: Sharing private or sensitive information without consent. This
includes disclosing member details, group strategies, and other
confidential material that could harm the group’s operations or security.
● Consequence: Similar to leaking, but consequences will vary based on the
content and intent. A minor breach may result in a warning or temporary
suspension, while significant breaches lead to termination or blacklist.
§4.7 Actions for Personal Gain
● Definition: Exploiting the group or its members for personal benefit,
including monetary or positional gains, such as using the group’s resources
for private projects or using knowledge gained within the group for
self-promotion.
● Consequence: Immediate demotion and suspension; severe cases result in
termination or blacklist.
§4.8 Doxxing
● Definition: The act of publicly revealing or disclosing personal information
about an individual without their consent, including but not limited to real
names, addresses, phone numbers, email addresses, and social media
profiles.
● Consequence: Immediate termination and public blacklist. Legal action
may be pursued depending on the severity of the incident.
§4.9 Stalking
● Definition: Repeatedly following, messaging, or monitoring another
individual within or outside of the group with the intent to intimidate,
threaten, or harass.
● Consequence: Immediate suspension and investigation. Severe cases will
result in termination and public blacklist.
§4 .10 Colluding
● Definition: Any agreement or cooperation between two or more individuals
to manipulate group decisions, outcomes, or systems for personal or group
benefit. This includes cheating during events or manipulating voting or
decision-making processes.
● Consequence: Immediate suspension pending investigation. If proven, the
individuals involved will face demotion, temporary suspension, termination,
and possible blacklist.
§4.11 Stealing Assets
● Definition: The unlawful or unauthorized use, reproduction, or distribution of
group assets, intellectual property, or resources (e.g., designs, artwork,
server setups, scripts). This includes taking credit for others' work or
redistributing group assets without permission.
● Consequence: Immediate investigation and suspension. Confirmed
incidents will lead to termination, possible public blacklist, and legal action
if necessary.
§4.12 Impersonation
● Definition: Pretending to be another person, especially a member of the
group’s administration, staff, or other members, with the intent to deceive
or manipulate others. This also includes impersonating a group partner or
external entity.
● Consequence: Immediate suspension for impersonating any member of
staff or administration. Severe or repeated incidents may lead to
termination and possible public blacklist.
§4.13 Fraudulent Activity
● Definition: Engaging in or attempting to deceive others for personal gain,
including falsifying information, hacking, or using deceitful means to
manipulate group systems. This may involve exploiting vulnerabilities,
scams, or fraudulent representation.
● Consequence: Immediate suspension and investigation. If proven,
termination and public blacklist will be enforced, with potential legal action.
§4.14 Illegal Activities
● Definition: Engaging in or promoting illegal activities within the group,
including the sharing or distribution of pirated content, illegal software, or
anything that violates applicable laws or regulations. This includes any
form of hacking, fraud, or illegal content.
● Consequence: Immediate termination, public blacklist, and reporting to
relevant authorities.
§4.15 Disrespecting Staff Decisions
● Definition: Openly defying or publicly criticizing staff decisions or actions in
a disrespectful manner, which includes undermining staff authority in
public channels or platforms.
● Consequence: First offense results in a warning. Continued behavior may
lead to temporary suspension, demotion, or termination.
§4.16 Exploiting Vulnerabilities
● Definition: Actively searching for, using, or sharing technical vulnerabilities
within the group’s infrastructure (e.g., bot exploits, server weaknesses) to
gain an advantage or disrupt operations.
● Consequence: Immediate suspension pending investigation. If proven,
termination and public blacklist will be enforced.
§4.17 Inappropriate Content Sharing
● Definition: Sharing inappropriate or offensive content, including NSFW (Not
Safe For Work), explicit language, or other offensive media, that violates
group values or external platform policies.
● Consequence: First offense results in a temporary mute. Repeated offenses
will lead to suspension or termination based on severity.
§4.18 Multiple Account Manipulation
● Definition: Using multiple accounts (alt accounts) to manipulate voting,
activity tracking, or decisions within the group.
● Consequence: Accounts will be banned, and the individual may be subject
to suspension or termination based on severity.
§4.19 Manipulation of Group Events
● Definition: Using unfair tactics or manipulation to influence the outcome of
group events, contests, or competitions. This includes using bots or
exploiting bugs to gain advantages.
● Consequence: Immediate disqualification from the event, followed by
suspension or termination, depending on the severity of the offense.
§4.20 Violating Server Rules
● Definition: Directly disobeying the server’s basic rules, which may include
spamming, evading bans, or using offensive language in non-public
spaces.
● Consequence: First offense results in a warning; second offense leads to
suspension; third offense results in permanent removal from the server.
§5 INVESTIGATION PROCEDURE
1. Complaint Submission
All complaints must be submitted through the designated reporting
channel or directly to a server administrator. Anonymous complaints are
accepted if sufficient evidence is provided.
2. Preliminary Review
A preliminary review will be conducted within 48 hours by a designated
Investigations Team to assess the validity of the claim. During this time, the
accused may be placed under temporary suspension to prevent
escalation.
3. Evidence Collection
The Investigations Team will collect and evaluate all available evidence,
including screenshots, logs, and witness statements.
4. Hearing and Review
A formal hearing may be conducted, where the accused will have an
opportunity to provide their defense. The Investigations Board, consisting of
at least three impartial senior members, will deliberate.
5. Resolution and Action
A decision will be made within 7-10 days of the initial complaint, and
consequences will be issued based on the severity of the violation.
6. Final Report
A written summary of the investigation and resolution will be filed and
stored for record-keeping.
§6 DISCIPLINARY ACTIONS
1. Strike - A formal warning issued for minor or first-time offenses.
2. Demotion - A reduction in the member's role or responsibilities as a
consequence of misconduct.
3. Termination - Immediate removal from the group for severe or repeated
violations.
4. Temporary Suspension - A member may be suspended for 1 week, 2 weeks,
1 month, or 3 months, depending on the nature of the offense.
5. Public Blacklist - A public notice that the individual is no longer allowed to
participate in the group.
6. Private Blacklist - A private notice, typically seen by staff only, informing
them that the individual is not allowed to participate in any activities.
§7 MEMBER APPEAL PROCESS
1. Filing an Appeal - A member can submit an appeal in writing to the
Presidential Team within 7 days of receiving the disciplinary action.
2. Review - The Presidential Team, alongside the Board of Executives, will
review the appeal, considering all available evidence and any mitigating
factors.
3. Final Decision - The decision of the Presidential Team is final. If the appeal is
successful, the disciplinary action will be reversed or adjusted accordingly.
§8 ROLE HIERARCHY
1. Presidential Team - President, Vice President, Presidential Advisor.
2. Executive Team - Executive Director, Executive Assistant, Senior Executives,
Executives, Board of Executives.
3. Hosting Team - Managed by the Hosting Department, responsible for event
planning and group activities.
§9 APPOINTMENT AND REMOVAL OF LEADERSHIP
1. Leadership appointments and removals are handled by the Presidential
Team and Executive Director based on performance, adherence to bylaws,
and demonstrated commitment to the group’s objectives.
2. An appeal process is available for members who wish to contest leadership
decisions within 30 days of the announcement.
§10 DISPUTE RESOLUTION
1. Disputes between members or between members and staff should be
directed to the HR Department or the Executive Team for resolution.
2. Disputes will be reviewed impartially, with the goal of reaching a fair and
prompt resolution.
3. The decision of the HR Department or Executive Team is final.
§11 ATTENDANCE POLICY
1. Members and staff are expected to maintain regular and punctual
participation in group activities.
2. Repeated absences or unexplained inactivity may result in demotion,
suspension, or removal from the group.
§12 ROLE OF HUMAN RESOURCES
1. The HR Department is responsible for overseeing the enforcement of
bylaws, handling reports, and ensuring compliance with group rules.
2. HR is also responsible for resolving disputes and providing support to
members and staff when needed.
§13 ROLE OF PUBLIC RELATIONS
1. PR will maintain a positive image of the group by promoting our values and
principles through public communications.
2. PR will support the HR Department and leadership in managing external
communications, handling crises, and maintaining public perception.
§14 AMENDMENTS TO BYLAWS
1. Amendments to the bylaws require approval from the Presidential Team
and the Board of Executives.
2. Any proposed amendments must be submitted in writing, reviewed, and
discussed during a meeting of the leadership team.
§15 TERMINATION OF MEMBERSHIP
1. Membership may be terminated for repeated violations of bylaws,
misconduct, or failure to comply with group expectations.
2. Termination decisions will be made by the Presidential Team and Executive
Director, with the option for appeal.
§16 MEMBER ONBOARDING AND TRAINING
New Member Orientation
All new members must attend an orientation session conducted by the Hosting
Team or designated staff to familiarize themselves with the group's policies,
expectations, and activities.
Training for Staff
Members promoted to staff positions must complete mandatory training
provided by the Human Resources department. Topics include moderation tools,
conflict resolution, and bylaw enforcement.
Leadership Development
Leadership roles require advanced training modules, focusing on team
management, decision-making, and strategic planning.
§17 RECOGNITION AND AWARDS
Member Recognition Program
Members demonstrating exceptional contributions, such as organizing events or
resolving disputes, may receive commendations from the Presidential Team.
Staff of the Month
Outstanding staff members will be recognized monthly with special roles,
shoutouts, or in-group rewards.
Long-Term Service Awards
Members who have served in leadership or staff roles for over a year are eligible
for long-term service recognition.
§18 EMERGENCY PROTOCOLS
Server Breach Protocol
In the event of a Discord server breach, all administrative permissions will be
restricted, and affected accounts will be immediately removed. A post-incident
review will be conducted within 24 hours to address vulnerabilities.
Major Incident Response
For incidents such as mass doxxing, harassment, or collusion, the Executive
Director and Presidential Team will convene an Emergency Response Meeting to
determine immediate actions.
§19 PARTNERSHIPS AND AFFILIATIONS
Partnership Requirements
Potential partner groups must meet Sawe’s standards, including a code of
conduct, active management, and aligned values.
Affiliation Termination
Partnerships may be terminated if the affiliate violates any major bylaw or fails to
maintain agreed-upon standards.
Public Relations Oversight
The Public Relations department will manage communications with partners,
ensuring professionalism and consistency in external messaging.
§20 DATA AND PRIVACY POLICY
Data Collection
Member data, including activity logs, will be collected solely for operational
purposes and will not be shared without consent.
Data Breach Response
In the event of a data breach, affected members will be notified within 72 hours,
and corrective actions will be implemented immediately.
Right to Access
Members may request access to their stored data and can appeal for its removal
under specific conditions.
§21 EVENT MANAGEMENT GUIDELINES
Event Proposals
All events must be approved by the Executive Team. Proposals should outline
objectives, logistics, and expected outcomes.
Event Moderation
Events must have at least one moderator or staff member to ensure compliance
with the bylaws.
Post-Event Reports
The Hosting Team or the Executive Team must submit a summary of event
performance and feedback to the Executive Director within 48 hours of event
completion.
§22 RESOURCE MANAGEMENT
Asset Ownership
All group assets, including logos, scripts, and designs, are the exclusive property of
Sawe and cannot be redistributed without written approval from the Presidential
Team.
Asset Development
Members contributing to group projects must acknowledge that all creations are
owned by Sawe.
Resource Requests
Members may request access to group resources through the appropriate
Executive Team department.
§23 MEMBER WELLNESS AND SUPPORT
Conflict Resolution Services
The Human Resources department will provide mediation services for member
disputes, aiming to resolve issues amicably and professionally.
Support Hotline
Members experiencing harassment or distress within the group can contact a
confidential support hotline managed by Human Resources.
Community Wellness Initiatives
Regular initiatives, such as mental health awareness events and team-building
activities, will be organized to promote a positive environment.
§24 AMENDMENT PROCESS
Proposal Submission:
Amendments to the bylaws must be proposed by a member of the Board of
Executives or the Presidential Team.
Review and Voting
Proposed amendments will be reviewed and voted on by the Board of Executives.
A two-thirds majority is required for approval.
Member Notification
Approved amendments will be communicated to all members via
announcements within 48 hours.
