1. PURPOSE
The purpose of this procedure is to establish a unified numbering system for all drawings and
documents developed by the CONTRACTOR or COMPANY during Greenfield projects. Any new
drawing/document shall comply with this procedure.
This procedure shall be followed to facilitate the storage, tracking, sorting or retrieval of
document/drawings plant-wise, project-wise, discipline-wise, etc. Numbering system remains the same
for all phases of the project, with only change being the project number which changes from FEED to
EPC.
2. SCOPE
This procedure specifies the requirements of numbering system for all drawings and documents.

Manufacturer, Vendor, Supplier
The exceptions being the documents that are solely for the internal use of one of the parties and the
updating of certain “Brownfield” documents that relate to existing facilities, which must retain their
current plant document numbering format. For drawings/documents generated for modifications
within the existing plant, the existing plant numbering procedure shall be followed.
3. DEFINITIONS / ABBREVIATIONS
CONTRACTOR The party(s) which carries out all or part of the design, engineering,
procurement, construction, commissioning or management of the

existing drawing
PROJECT MANAGER COMPANY’s representative who directs, leads, controls and manages

In line with ISO requirements all procedures are reviewed annually and if required updated accordingly.
However the schedule for revision of procedures is every three (3) years. Prior to this time-line the
procedure users, if deemed essential, may submit a proposal (written request) for revising this
PROCEDURE through their line management to VP (TE), who will review the requirement and decide
about considering it for revision or issuing an amendment to the Procedure till its scheduled revision.
The revision or updating of this procedure is implemented only upon approval of VP (TE).

6. RESPONSIBILITIES
PMTC / Project manager shall ensure that this procedure is implemented by the CONTRACTOR on
all drawings/ documents of COMPANY projects
CONTRACTOR carrying out work for the COMPANY shall follow this procedure for the numbering
of new drawings and documents.
COMPANY discipline engineers are responsible to ensure that, this procedure is implemented in
the works handled by them where applicable.
7. NUMBERING SYSTEM
7.1. DGS AND STANDARD DRAWINGS NUMBERING
Numbering of Design General Specifications (DGS) and Standard drawings shall be as per the
COMPANY procedure TE-PR-066 (Procedure for Design General Specifications, Standard Drawings
Identification and Numbering).
Preparation and handling of Specification Change Request (SCR) and preparation of COMPANY’S DGS
shall be as per the COMPANY procedure TE-PR-065 (Issue & Revision of Design General Specifications).
During execute phase of a project (EPC phase) all vendor drawings and documents shall be numbered
as below:
Numbering format of Engineering drawings and documents shall be as the below table, (during Pre-
FEED, FEED and EPC stages). Respective contractor logos shall be inserted in title block based on stage
of project. When status of project is changed, revision numbering shall be modified.

1. Project No: The project number shall be identified by 5 digits or as directed the COMPANY. This shall not
be changed by EPC contractor unless otherwise directed by Company.
2. Plant Name: Plant name shall be identified by two alphabet letter/digit (See Attachment-4)
3. Unit No: Unit numbers shall be identified by 3 digits, see note 3 below
4. Drawing Type code: Contains three parts. First 2 digits are for Discipline code, second two digits are for
the drawing type and last 3 digits are Serial number or sequence number (See Attachment-2)
5. Drawing Size: Identify the drawing size; ISO Standard sizes A4, A3, A2, A1 and A0 shall be used (See
Attachment-3)
6. Drawing revision: 2 digits, see note 2 below
7. Sheet Number: 2 digits, depending on number of sheets no. of digits may vary (applicable only for group
drawings like isometrics, loop drawings etc.)

Notes
1. Demolition drawings shall be identified by adding a suffix “D” to the serial number.
2. During the project development phase revision number A, B, C…….shall be used for review cycles of
Drawing issuance like for review/comments, approval etc. Revision number 0, 1, 2….shall be used for Final
issue and subsequent revisions.
3. For projects that are located at areas where there is no unit number e.g. Administration area, Residential
area, General items/areas, etc. “Unit 01” shall be assigned with COMPANY’s approval
4. Cad file names/numbers will be identified on the drawing, outside of the drawing title block and within
the drawing border in the bottom right hand corner.
5. Isometric file number is the same line number with hyphens stripped.

1. Document nature/Prefix: 3 digits indicating the nature of document e.g. specifications, data sheets,
reports, material list etc. Refer Note 5 below (See Attachment 5)
2. Plant Name: Plant name shall be identified by two alphabet letter/digit (See Attachment-4)
3. Project Number: The project number shall be identified by 4 digits or as directed the COMPANY.
4.Unit No: Unit numbers for the new projects should be identified by 3 digits, see note 4 below.
5. Document Type code: Contains three parts. First 2 digits are for Discipline code, second two digits are for
the document type, and Last 3 digits are Serial number or sequence number (See Attachment-2). For
addendums to DGS numbering philosophy, see note 1 below
6. Document revision: 2 digits see note 2 below.
Notes:
1. Addendums to DGS shall be numbered as Project number-ADD-existing DGS number (without writing
DGS) e.g., Addendum of DGS-1300-010 will be numbered as 5678-ADD-1300-010.
2. During the project development phase revision number A, B, C…….shall be used for review cycles of
Drawing issuance like for review/comments, approval etc. Revision number 0, 1, 2….shall be used for Final
issue and subsequent revisions.
3. Documents shall be prepared in the approved file format, e.g. MTO in excel, reports in MS word etc.
4. For projects that are located at areas where there is no unit number e.g. Administration area, Residential
area, General items/areas, etc. “Unit 01” shall be assigned with COMPANY’s approval
5. Titles of documents e.g., reports, specifications, philosophies, manuals, exhibits etc., shall be indicated on
the main/cover page centre in bold letters and footers of each page.
6. Titles of documents like data sheets, equipment or material specifications, etc. shall appear on the cover
page as well as on each page header or top of the page. No document shall have more than one title
and no document shall be without a title.

This shall be updated on project to project, equipment to equipment and request relevant vendor
drawings, documents and deliverables.

2 The first issue date specified is the latest that is considered acceptable, The Bidder/Supplier
is to complete the Vendor Document Register / Supplier Document Schedule (VDR / SDS
- Code A01) with the agreed issue dates.
3 The quantity of documents required with the Bid, at first and final issues are indicated by
the numbers within the ‘with Bid’, ‘first issue’, ‘final issue’ and 'as-built' columns adjacent
to the document. The specified number of copies of the Certification Data Book (K01) is
inclusive of 1 (one) original, i.e. "red stamped" copy.
4 An ‘X’ within the ‘Within Manuals’ column indicates those documents (Certified Final issue)
that are required to be included within the Certification Data Book and/or Installation,
Operating and Maintenance Manuals.
6 An 'X' in this column indicates that an Electronic Copy is required with Final submission.

When paper copy documents are the only format available the Supplier is responsible for
