Semester Registration FAQs

Please write to WILP Registration Cell at [email protected] with BITS ID Number | Student Name
in the Subject Line of mail for any queries / issues pertaining to Semester Fee Payment & Semester
Registration procedures and processes.

1) When / How can I register for the upcoming semester?

Registration for the WILP programmes happens twice in a year – (1) July session (for the First Semester of the
Academic year) & (2) January session (for the Second Semester of the Academic year).

Once the semester-registration is opened, the Registration Cell will send an official communication to your BITS
Mailbox with the details of the registration process, fee payment and other important instructions. An announcement
regarding the commencement of the Registration for the upcoming semester will also be posted on the eLearn portal
homepage. You must complete the semester fee payment & registration on the ERP Portal before the deadline.

2) Why have I not received Registration Communication mail?

Registration is opened only for continuing students (who have already taken exams for the previous semester). Newly
admitted students are not required to register separately on the ERP. Their registration is completed during admission
process only. If you were on a break in your previous semesters and want to continue from this semester, please drop a
mail to Registration cell [email protected] mentioning the reason of absence.

3) I am in my 3rd semester, however, the registration commencement mail is for 2nd Semester 2024-2025.

One Academic Year has two Semesters – the first semester (July to December) and the second semester (January to
June). Your individual semester could be different from the Academic Year semester for which Registration has been
opened.

4) I have recently admitted in WILP. Where Can I register now?

Registration is opened only for the continuing students (who have already taken exams for the previous semester). Newly
admitted students are not required to register separately on the ERP. Their registration is completed during admission
process only. Newly Admitted students can refer to their Admission Offer letter to check the four-courses in which they
have already registered for their First Semester.

5) Where can I get the list of elective courses for the coming semester?

The list of Electives for the courses is available on elearn portal. Once you have paid the semester fee successfully, the
options for choosing the electives will be visible on ERP system and student may choose the desired combination of
electives as per academic requirements during registration on ERP. You can also download the Performance sheet for
your programme which is now available on the ERP portal. Track your academic progress in your programme using the
Performance Sheet and also plan your Registration for the next semester accordingly.
Keep a track of your completed and pending core courses as well as elective courses in the programme and only choose
the remaining courses as per your academic requirements while registering for the next semester.

6) The Electives I wish to register for are not listed in the Sheet.

Only the electives offered for the upcoming semester will be listed on the ERP portal.

7) I am not able to login my ERP Account or I am getting 403 error.

Kindly clear your cache and cookies and try to access ERP Portal on Microsoft Edge or Google Chrome.

8) I forgot my BITS Mail ID ([email protected]) Login Password.

Write to [email protected] for re-setting your BITS Mail ID password.

9) Tell me more about the Semester Fee Payment mode and procedure.

There are two options for competing your Fee payment:


Option-1: One Time full Fee payment can be done directly on ERP through Net banking / UPI / Wallets / Debit
Card / Credit Card based 03-months zero-cost EMI options. Click here to refer to the WILP ERP Registration
Manual for the detailed user manual containing screenshots of the steps for completing the semester registration
process on the ERP portal. PS : Kindly do not make full payment via Tech Process option.

10) I am getting the error message as “Hold on Record” on ERP while validating the courses on ERP.

The first step in the semester registration process is ‘Fee Payment’. If you have not paid the semester fee yet or your
payment is not successful yet then you will get error message - ‘Hold on Record’ on the ERP Portal while validating
the courses. If you have already made the fee payment then login after a couple of hours to complete the next steps
in the registration process. If you face this issue even after a few hours, please write to [email protected]
pilani.ac.in with your concerns.

11) I have made the payment but not able to add courses on ERP.

Fee payment can take 04 to 24 hours to reflect in your account on the ERP portal. You should re-login with your
BITS Mail ID & Password in the ERP portal three to four hours after the fee payment to complete the registration
process for your next semester courses.

In case you are opting for making the Registration Fee payment using easy EMI Option through our FinTech
partner, please visit the EMI link mentioned in the Registration commencement mail sent by the Registration Cell.
The successful setup of EMI on the system may take 72 working hours. Once your EMI gets disbursed / approved
successfully, you can proceed with your course selection on ERP.

12) I have done my payment and it is debited from my account but the payment transaction details are
showing as transaction Failed.

If your amount has been debited and transaction status is reflecting as Failed, then contact your Bank.

13) The payment got deducted twice from my Account.

In case the fee payment has been deducted twice from your account, the duplicate payment made shall be tracked
and credited back to your account within the next 2-3 weeks’ time. Write to [email protected]

14) Payment is getting rejected.

Payment may be rejected due to incorrect Bank Account / Card details / Net Banking login credentials. Check the
information you have provided and try again. If the problem persists, contact the Card issuing bank.

15) I have applied for EMI LOAN OPTION and have queries related to Loan.

Reach out to the concerned Mail ID / Contact No. of the FinTech Partner / EMI Loan Service provider mentioned in
respective Loan Service Provider EMI Manual. (Refer to the registration email shared by WILP Registration Cell)

16) What is my semester fee?

The Fee payable will be mentioned on the payment page link for Registration. The fee payable is the same as the
semester fee that you paid for your earlier semesters. Check your earlier fee receipts / earlier bank statements for the
semester fee paid.

17) Where can I get the Semester Fee Receipt?

The fee receipt will be available online for download from the eLearn portal three-weeks after the commencement of
your classes.

18) I am a Company Sponsored student, but the system is asking me to make the fee payment.

We have not received your name from Company under Company Sponsored Students List. Reach out to your
Company In Charge / WILP Business Development Team for addressing this issue.

19) Why I am getting “You owe Rs xxxxx” message on ERP portal even after making the fee payment.

Please note that you are getting this error because you have made the EMI payment and not one-time full payment,
however, you can ignore this message and it will be removed automatically after sometime when our reconciliation
process gets completed. You can proceed with your semester courses selection.

20) I am trying to enroll for Dissertation / Project / Project Work, however, I am getting some error.

As per Institute’s academic regulations, students need to fulfill the minimum academic requirements of the CGPA
with passing grades in all prescribed courses before registering the final semester Dissertation / Project / Project
Work. If the academic performance of the student falls below the minimum requirements, student will be required to
re-register in some courses in a subsequent semester and clear them before registering for the Final Semester
Dissertation / Project / Project Work.

21) I am getting conflict / clash error while validating.

ERP portal will not allow you to register with the courses which have exam clash. Try to register with another set of
courses.

22) I am not able to validate courses on ERP even after adding them on ERP.

Add the courses in Shopping Cart and not your Planner. Please refer to the manual for the process steps.

23) I am not able to add courses on ERP even after successful payment transaction.

24) I have added and validated my courses on ERP, however, I haven’t received any confirmation regarding my
registration.

You can login into the ERP Portal and check the courses registered for the upcoming semester.

25) I have registered for my courses on ERP Portal, however, they have not been updated on eLearn Taxila
LMS / MS Teams.

Updating of Semester Courses on eLearn Taxila LMS & MS Teams will be completed only after the completion of
Semester Registration Deadline and your registered courses will be visible on these portals before the Semester Class
commencement date.
However, If you are not be able to view your courses on eLearn Taxila LMS & MS Teams before the Semester Class
start date, kindly drop a mail at [email protected].

26) How can I know my completed/pending courses?

You may check your Academic requirements on ERP system and register accordingly for the pending courses. You
can also download the Performance sheet for your programme on the ERP system. Track your academic progress in
your programme using the Performance Sheet and also plan your Registration for the next semester accordingly.

27) How do I know my latest/current CGPA?

You can download the soft copy of your grade sheet from the elearn portal. You can also check the course history
and grades on the ERP portal after login.

28) How can I change my electives after registration?

Change of electives is not allowed after registration. Students may contact us during registration for substitution of
courses without an exam date conflict. Write to us at [email protected] with your request. The
decision on accepting the elective change request will be taken by WILP Registration Cell after careful
consideration of your request. The decision taken by the WILP Registration Cell is final in this matter.

29) Where I can get the course handouts before selecting the electives for coming semester registration?

You will be able to see the Course Handouts for the registered courses only after the completion of semester registration
process. You can refer to the Course Description mentioned on eLearn Portal.

30) When will my registered courses be listed on eLearn portal?

Registered courses will be updated on the eLearn portal & MS Teams before the Semester Class commencement.

31) How do I register for my previous semester backlog course(s)?

Students are allowed to register for a maximum of four courses in one semester. If you have any pending backlog
courses, the duration of your programme shall be extended by one semester even with a single backlog course and
you will be required to pay the full semester fee for that semester registration.

32) Can I register for next semester four courses with backlog course?

Student cannot register for more than four courses in one semester. The duration of your programme shall be
extended by one semester even with a single backlog course and you will be required to pay the full semester fee for
that semester registration

33) Can I register in final semester (Dissertation / Project / Project Work) with backlog course?

The Dissertation / Project / Project Work will be assigned only after fulfilling the minimum academic course
requirements. You cannot register for the final semester Dissertation / Project with pending Backlog subjects. If you
have any backlog courses, you will have to take up additional semester(s) and clear the pending backlog subjects
with a valid grade and then proceed to register for the Final Dissertation / Project Semester of your programme.

34) What is minimum CGPA required for final semester registration?

Please note that for the First degree (B. Tech, B.Sc. and M.Sc.) programmes require a minimum CGPA of 4.50 and a
Higher degree (M. Tech and MBA) programmes require a minimum CGPA of 5.50 without any E Grade in any of
the courses to register for Final Semester Dissertation / Project / Project Work

35) My previous semester CGPA is less than required. Can I register for next semester?

You will be able to register for the subsequent semesters (except for Dissertation / Project Semester) and you can
improve your CGPA in the coming semesters to ensure that you are meeting the minimum academic requirements of
your programme..

36) What is the last date for registration & when will the classes start?

Check the email sent by WILP Registration Cell to your BITS Mailbox for details related to deadline & registration
process. You can also check the same in the announcement made on the eLearn portal. The Semester Class Start
Date are announced on the eLearn portal before the commencement of the Semester Registration. You will also
receive a class commencement email from WILP.

37) I do not wish to register for this semester. How can I drop or break in a semester?

You can request to drop/skip the semester at the time of registration after submitting valid reasons. If you do not
intend to register for the upcoming semester and take a break / drop, then send us a mail at [email protected]
pilani.ac.in with the subject : DROP (Take a break) in the upcoming semester.

38) Do I have to pay any additional fee on Semester Drop?

In case you have chosen to drop a semester during the registration process you need not pay the semester fee.
However, in case you have registered for a semester by paying the fee and then you choose to withdraw midway
then the semester fee paid will not be refunded. The fee paid will also be not carried forward to a subsequent
semester. You will have to register again for the same semester when you return to complete your programme and
will have to make the complete semester fee payment again. If you have paid your fee using EMI and dropped a
semester midway, you are required to make the remaining EMI payments to the FinTech Partner and close the loan
as per the set EMI repayment schedule.

39) Can I drop after registration?

Once you have confirmed your registration and paid the applicable semester fee, your registration stands confirmed
to the semester. You will not be able to drop / skip the semester midway. In case you decide later to leave the
semester midway, then the semester fee paid will not be refunded nor carried forward to another semester. Dropping
the semester after making the semester fee payment is termed as “Withdrawal”.

40) I am not able to add courses even after successful payment.

You need to choose exam location after semester fee payment and before course selection on ERP, as without
choosing the exam location, you will not be able to add courses on ERP.
