Overview
OneDrive is the Microsoft 365 service
that enables users to access, share, and
collaborate on files from anywhere.
OneDrive lets users view files within a
browser, share and find content, and
sync that content so they can access it
offline. It empowers your organization
to control, secure, and retain that content
when necessary.

(through office portal)
Go to your browser
and search
portal.office.com.
Sign in using your
DepEd account.
Click this 9-Dot Icon
here to see more

Choose OneDrive.

OneDrive. Easy, eh?

2. Creating Files and


Folders
To create a new file or
folder (from scratch)
click this “Add new”
tab.

shall we? Now, let’s click
Folder.
Now, this is fun!
You can now
assign a color for
your folder.

This is perfect to
better organize
your files based
on specific
classifications or
purposes.

of your folder.

You may not find your newly
created folder on the home
page right away.

Relax. You will find your folder and


file here in My Files page. All the files
created and uploaded by you will be
placed here.
It’s important to take note that when
you create or upload a file into
OneDrive by default it is only available
to you.
Yey! It’s here. In My Files page, you
will see all the files and folder created
and uploaded by YOU.
You will also see important details
about the files like the FILE NAME.
The date (or time) it was modified.
The author’s name or the name of the
person who modified it last.
File size differs depending on what is
selected. If it’s a Folder, file size
indicates the number of items or files
inside the folder.

If it’s a File, file size indicates the


byte size or how much space or
storage it consumes.
Are you worried that you may use
up all the storage or space in your
OneDrive account? Worry no more!
Microsoft 365 A1 gives you 1TB (one
terabyte) of total data storage by
default.
That means you can store:
•250,000 photos taken with a 12MP
camera OR
•250 movies or 500 hours of HD video
OR
•6.5 million document pages,
commonly stored as Office files, PDFs,
and presentations.
So, what are you waiting for? Take
hundreds of selfies now and store
them all in your OneDrive.

Just kidding. This is strictly for


education purposes only.

You can also check if the file has been
shared or not. It shows Private if you
have not shared the file and Shared if
you have sent it to others for sharing or
collaboration.
Now, let’s try creating a File. What
do we click to create a new file or
folder?

Add New tab and choose the type of
file you want to create.

3. Uploading Files and


Folders
To upload a folder or file, we need
to click the Add New tab.
Click Files Upload if you wish to
upload or store one or multiple files.

Click Folder Upload if you intend to


upload or store a whole folder.
Let’s try uploading files.
Your File
Explorer will
open. Browse
until you find
the file/s you
want to upload.
Select the file or the files
that you want to upload.

Then click Open.


We have now uploaded 6
files into our OneDrive.
Since we did the
uploading directly on the
My Files page, all the files
are stored here.
If you want your files to be
uploaded into a specific
folder in OneDrive, select
and open the Folder.
Then follow the same
steps we did a while ago.
Do you remember those
steps?

4. Searching files easily


through the new features
On the screen is the Home
view of OneDrive. This is
the first page you’ll see once
you open your OneDrive.
Here you can find the “For
you” section.
The For You section will display AI-
powered file recommendations at the top
of the home view. This is a collection of
files that OneDrive suggests based on
your history.
OneDrive also introduces
new easy ways to browse
through your files. The
Browse Files by People and
Browse Files by Meetings.
Browsing Files by People will let you
easily browse through files sent by specific
people. You will see here a list of people
who shared files with you along with the
files they sent.
Browsing Files by Meetings will let you
easily browse through files sent during an
MS Teams meeting. Let’s listen to the demo
to learn more about it.

1. Managing file sharing


and permission
Collaborating is something that is very
common for educators like us to do. Using
OneDrive, collaboration has been made
possible through File Sharing.
Let’s say, you need to share a file or a
folder to your colleague. First thing you
need to do is to select the file (or folder)
you intend to share.
Then click Share. You can click
either of the two buttons.
This popup window will appear. Here you can
manage the people who can access your file and the
type of permission they get.

From this view,


you can now send
your file to specific
people. Just type
their name, group

2. Co-authoring files in
office online
First, select and open the file
that you shared for
collaboration. You may check and
manage the access you
have given by clicking
the Shared button.
Here, you see the People who
have access to your file. The
owner and the contributor.
If you click on the Links, you will see the
generated link to your file that you can
share if you wish to grant access to more
people.
Now I have opened the file. It is
important to take note that this is an
ONLINE VERSION. Some features in
Word Online are not available in the
offline version.
This is called The Collaboration Corner.
Let’s see what these buttons are for.
When you click on the Comments button,
you will see the comments left by your
contributors.
You can highlight a comment and see which
part of the document is receiving a comment
on.
Let’s take this as an example. My
collaborator wants me to omit the
highlighted part.
I can make a reply to Ken, and he will be
notified on the reply I made.
Or I can omit that highlighted part and
resolve the problem. You must notice that
that particular comment has been removed
from the comments section since the issue
has been supposedly resolved.
You can click Catch Up in a
document to show activities
made by your collaborators.
It is supposed to allow you
to track the changes or
comments made by your
collaborators.
To get more details on the
changes made in your file,
you may click the Version
History button. Here you
will see the original version
of the file and the different
versions created by the
collaborators.
This is Version History. To
fully comprehend the parts
and importance of this
OneDrive feature, and to
learn more about
collaboration using Folders,

3. Exploring the difference


between OneDrive and
SharePoint
Speaking of collaboration,
here is an easy way to
check the files you shared
and shared with you. Just
click the Shared tab.
With You page consists the
files that were shared with
you.

Now, what if you want to
check the files that were
shared within your group,
team or organization?
You can easily find and
select your groups here at
the Quick Access area to
check the files shared
within the group.
I selected the DEPED NCR-1 Team Site, and it led me to
the documents uploaded and modified by different
people in my organization.
In case a certain group or team or
organization is not shown on this
interface, click More Places to see
other groups.

In case you want to create a new group from
scratch, you can do it from here. All you have
to do is to click Create Shared Library button.
Creating a Shared Library will
allow you to create a shared
location to store team files.
Let’s not create a Shared Library for now since
we have existing groups to check out. If you
want to see and modify details about your
groups, you can go to SharePoint.
The billion-dollar question is,
WHAT IS SHAREPOINT?
SharePoint
SharePoint is a platform that lets you
share and manage content, knowledge,
and applications across your
organization. SharePoint in Microsoft
365 empowers teamwork with
dynamic and productive team sites for
every project team, department, and
division. You can share files, data,
news, and resources through
SharePoint.

Files

1. Restoring a file from the


recycle bin
For example, you are in the
middle of deleting some old files.
You highlight the files you think
you no longer need and click on
the Delete button.
Yep, you click it. You want
them gone.
The Class Records Folder is now empty.
Suddenly, you remember you need to
keep the template file so you can have a
guide for the next quarter.
Good thing. Unlike other things in
life, some things we decide on letting
go here in OneDrive can still be
retrieved. Thanks to Recycle Bin.
The Recycle Bin is a feature in
Microsoft 365 that allows you to
recover files that were deleted
from your OneDrive.
To restore a file, select the file
you want to recover then click
Restore.
Once you restore a file, it will be
found on its original location.
If you wish to permanently
delete a file or files, highlight
them and click Delete. By doing
so, you can never recover these
files. Ever.
Or you can just wait for 93days. Recycle Bin
automatically deletes files from the bin
93days from the time they have been
deleted.
Nothing much to discuss here really.

1. Installing and Setting up OneDrive In


your device​
You might want to
check first if you
have OneDrive
installed in your
device. Go to your
Search bar and
search OneDrive.
If you do have
OneDrive
already installed,
all you have to
do is to Set Up
OneDrive by
signing in.
In case you have not installed
OneDrive yet in your device, you
can download the app using your
DepEd Microsoft account.

Just click this 9-Dot icon again.


And go back to the Home page of
your Microsoft 365 portal.

Or simply add a new tab and go


to https://portal.office.com
On the Home page, click Install
Apps. Then select Microsoft 365
Apps.

Then Office apps will be installed


in your device. For free!

DepEd account.
There, you have

2. Modifying files on-demand


Files on-demand
Now, I have synched my
OneDrive to my device. Files in
my OneDrive are now accessible in
my device, BUT it does not
necessarily mean that they are
saved in my PC.
Take a look at the Status of the
files. Each icon means different
availability or access of a file.
This, for example, is an Online-
Only File or Folder. This kind of
files does not take up space on
your device because you can only
access them when you are
connected to Internet.
This is an On This Device File.
This means that once you open a
file to edit it, it becomes available
on your device. Changes you make
in the file will automatically be
saved in your OneDrive.
This file is Always Available. This
means that you choose to
download the file in your device to
make it available even when you’re
offline. This takes up space on your
PC.

1. Creating a File Request


Sharing a Folder to other people
to add contributors is a good way
to store and collate files.
However, sometimes the
contributors might intentionally
or accidentally delete or edit files
in our folder.
To avoid that, let me introduce
to you the File Request feature
of OneDrive. File Request allows
other people to upload files in
your folder without seeing and
accessing its contents.
To Create a File Request, click
the folder where you want your
request files to be uploaded.
Then click Request Files.
Then Write a
Description of the
files you are
requesting. You Unfortunately,
