Notice Writing

Format
The Notice Writing Format should include NAME OF THE INSTITUTION / ISSUING
AUTHORITY / NOTICE / TITLE, DATE, and WRITER’S NAME WITH DESIGNATION.
A notice should contain all the necessary details such as:

i. Name of the issuing agency (school, etc)


ii. Date of issue/release of the notice
iii. Title/Subject of the Event (what?)
iv. BODY-Date/time/duration/Place/Venue (when and where?)
v. Authorized signatory: Name and signature (contact details)

Remember the following

1. Do not cross the word limit to avoid the penalty of marks. The prescribed word limit
is 50 words.
2. Repetition of any information should be avoided.
3. Always enclose the notice in a box. Make sure you draw the box with a pencil.
4. Keep your notice short, crisp and to-the-point.
5. Highlight the word “NOTICE” and “TITLE”. It can be either bold or underlined.
6. The title should be captivating and eye-catching.
7. Don’t make hypothetical information and facts. Make use of what’s given in the
question.
8. Make sure you do not mention your personal information.
9. Make use of all the available information in the question.
10. Your answer shall include answers to all the 5 W’s – What, Why, When, Where and
Who.

Article Writing

An article is an expression of one’s thought on an issue or a subject logically and coherently


written in meaningful paragraphs.

Important Points: Give a title that catches the attention of the reader. Begin with a striking
opening sentence which addresses the readers and gets them interested in the topic. Present a
strong argument for your ideas supporting it with evidence or elaboration.

Use linking devices (‘however’, ‘therefore’, ‘although’, ‘even though’, ‘in order to’) to make
the composition appear a whole. Introduce a new point at the beginning of each
paragraph that follows to strengthen your ideas. Develop your ideas as much as you can to
make them interesting and substantial. Conclude with your strongest point. Use passive
voice, humour, emotive language, rhetorical questions to provide a specific effect.

1. Advertisements have become a big business. They are promoted by celebrities drawn from
various fields like films, sports, etc., leaving their influence on all people specially the young.

The advertisement industry has a tremendous impact on the younger generation. As citizens
of the modern world, advertisements have become a part of the daily lives of youngsters and
they have got used to being bombarded with numerous advertisements over the course of
their day.

Advertisements have become so common for them that they often do not even realize that
they are hearing or viewing them. So, they have a persistent influence on the youth. In the
ever-expanding world of consumerism and advertising, companies are constantly looking for
new ways to sell their products to the youngsters by making their commercials and
campaigns more memorable, to leave an impact on their minds. The younger generation has
become their prime target because they have more spending power than ever before and
increased avenues at their disposal. Therefore, companies spend enormous amounts of money
to rope in popular film stars, cricketers, musicians etc. to endorse their products.

This helps to ensure popularity and early brand loyalty. In the last decade many super-brands
have looked towards new and outrageous ways to capture young audiences through appealing
campaigns as these youngsters are cognitively and psychologically quite defenceless against
advertisements.

Clearly, advertisements represent ‘big business’ and has a significant effect on young people
who need to be educated about the effects of advertising, that is, media literacy. This will
prove to be helpful in mitigating the harmful effects of advertising on youngsters. Let’s open
our eyes to everything around us.

2. The present-day youth are greatly stressed due to cut-throat competition and commercial
culture. Write an article in 150-200 words on the causes of the stress on the modern

The psychologist centers are full of cases, reason being the high levels of stress one goes
through. The main cause of stress on the modern generation is the cut-throat competition and
industrial culture prevalent in our society. This always puts them under pressure of efficiency
and productivity.

The modern environment is highly competitive and calls for relentless effort on the part of
each youngster. To achieve the goals, they have to devote all their time and capacity, without
rest. So, they have no time to care even for their own selves. They have no time for relaxing
or to pursue something of their own interest sounds like a luxury to them. The effects of this
stress on the youth also visible in their physical being whereby they have increased pulses
and a lot of tension in their muscles.

With increased professionalism and specialisation there seems no practical and suitable
solution for this stress due to the competition.

In this age of consumerism, it is not surprising that the youth of today are also constantly
vying to outdo each other in acquiring material things. But now it is high time each one of us
sat back in quiet introspection to contemplate where we are actually heading in this high-
speed pace. Our health and well-being will have to be our primary concern for, as they say, “a
healthy mind lies in a healthy body”. Let us stop living like robots. We are humans and have
to behave likewise and not like machines which are our own creation.

Report Writing

A report is a written account of something that one has observed, heard, done, or
investigated. It is a systematic and well-organized presentation of facts and findings of an
event that has already taken place somewhere.
Reports are used as a form of written assessment to find out what you have learned from your
reading, research, or experience and to give you the experience of an important skill that is
widely used in the workplace.
Newspaper report or a Magazine Report.

A newspaper report is the one which is published in a newspaper and magazine report is
generally written for a school magazine.

A well-written report must possess the following traits:

1. adherence to the specifications of report brief,

2. analysis of relevant information,

3. structuring material in a logical and coherent order,

4. presentation in a consistent manner according to the instructions of the report brief,

5. making appropriate conclusions that are supported by the evidence and analysis of the
report.

It is very important to follow a proper Report writing format.

Magazine Report Format:

1. Heading- A title that is expressive of the contents of the report,

2. By line- Name of the person writing the report. It is generally given in the question.
Remember, you are not supposed to mention your personal details in your answer.

3. The opening paragraph (introduction) – It may include the '5 Ws' namely, WHAT,
WHY, WHEN, and WHERE along with WHO was invited as the chief guest.

4. The account of the event in detail- The proper sequence of events that occurred along
with their description. It is the main paragraph and can be split into two short paragraphs if
required.

5. Conclusion- This will include a description of how the event ended. It may include quote
excerpts from the Chief Guest's speech or how did the event wind up.

Newspaper Report Format:

1. Headline- A descriptive title that is expressive of the contents of the report.


2. By line- Name of the person writing the report along with the designation. It is generally
given in the question. Remember, you are not supposed to mention your personal details in
your answer.

3. Place and date of reporting- It is generally not mentioned in a magazine report


separately, but here, it is.

4. Opening paragraph- It includes the expansion of the headline. It needs to be short as it is


a general overview of the report.

5. The account of the event in detail- It is generally written in two parts: First, complete
account of what happened in its chronological sequence (preferably) and second, the witness
remarks.6. Concluding paragraph- This will include the action that has been taken so far or
that will be taken. It is the last paragraph.

A few valuable tips for you:


Make sure you use language which is suitable for the audience you are addressing. The usage
of complex vocabulary for addressing children is not advisable.
Make sure you write in paragraphs. Practice previous year question papers. Read as many
samples as you can. It will give you an idea as to how they are actually written. Read the
question at least twice and highlight the important information. It is very important to
understand the question and read between the lines.
Plan before you pen. Just make a list of all your important points on the rough sheet (last
sheet of your answer booklet) so that you do not forget relevant points while writing. This
also helps you in maintaining a sequence, which is very important. The presentation is very
important. Make sure you double-check for grammatical accuracy and spellings. They carry
marks. Leave an adequate number of lines between paragraphs to make it look clean.
Underlining the main points is important.
Make small sentences. It restricts the scope of grammatical inaccuracies.

Example: Cultural Society Sunshine Public School, Nellore organized an adult literacy camp
in its neighborhood. Write a report in 150-200 words on the camp for your school newsletter.

An adult literacy camp was organized by Cultural Society Sunshine Public School, Nellore in
the school neighborhood on 15th January 2021, extending educational options to those adults,
who have lost the opportunity and have crossed the age of formal education.
The activities of the camp were carried out by the cultural society of the school and there
were a total of 25 volunteers. The camp began with the welcome speech for the chief guest,
Mrs. Kavita Naik, a renowned social worker. 400 people were a part of the camp. They were
divided into different groups in accordance with their competencies.
They were taught the basics of being able to read and write. Free books and stationery is
being provided for quality education. All the arrangements including desks and blackboards
were done in advance.Apart from educational needs, special care was devoted to hygiene and
sanitation. They were taught the basics of cleanliness like types of wastes and their
management. Refreshments were also provided to the participants. The immense enthusiasm
and zeal in the people to learn was the main driving factor.
The chief guest praised the organizations’s efforts and distributed the certificates of
participation among the volunteers. The camp ended on a positive note. There was an
atmosphere of learning and growing together.

works for the welfare of animals by preventing cruelty to them. Recently you visited
Mahatma Gandhi Animal Care Home. You were pleasantly surprised to see the good
treatment given to the animals. Write a report in 150-200 words on your visit.

– all very well cared for – well-equipped medical room – veterinary surgeon – green
surroundings.

Animal Lovers Club was recently invited by the Mahatma Gandhi Animal Care Home for a
visit where an opportunity to oversee the working of the organization was given.
It is home to abandoned pets, rescued animals, and the ones injured on the streets. There were
many old animals as well. It was astounding to see the quality of care the animals are being
given. They have a family-like environment for them. This helps them to heal faster and stay
happy.
The animal home has all the facilities ranging from a well- equipped medical room to a
veterinary surgeon. Regular check-ups of those unwell by a team of veterinary specialists are
carried out.
The surroundings are animal-friendly as well. They are not being ruthlessly kept in cages.
They have green surroundings with enough space for them to play and nurture.
Mahatma Gandhi Animal Care Home is doing a mind-blowing job by understanding and
fulfilling the needs of those who can’t speak for themselves. The experience was an
overwhelming one.

Conservation’ as part of the World Water Day Celebrations on 13th August, 20xx. The main
aim of this seminar was to remind us all about the need to save the government and the non-
governmental organisations in providing help water as it is a precious source imperative for
our survival.

Distinguished environmentalists and eminent personalities were our guest speakers and they
reiterated the need not only of conserving water but also spoke at length on how to conserve
water by stressing upon the fact that each drop of water is precious. Dr. Yashraj, an eminent
environmentalist, suggested rain-water harvesting as one of the best ways to conserve water.

Using visual aids to highlight his discourse, he suggested that to ensure availability of water
for the future generations the withdrawal of fresh water from an ecosystem should not exceed
its natural replacement rate. The seminar concluded on the note that water conservation is the
most cost-effective, environmentally sound way to reduce our demand for water and so each
one of us must do our bit towards improving water management to enhance optimum use of
water.

students. A wide array of items such as candles, greeting cards, jewellery boxes, wooden
handicrafts had been prepared by talented students.

The students were really encouraged by the positive feedback they got from everyone
present. The principal too was personally present there all the time interacting with everyone.
He appreciated the students’ hard work and creativity and announced that the money
collected from the sale of items would be donated to an old-age home in the vicinity of our
school.

Mr Rajesh Kapoor, principal also decided that such initiatives would be taken up by our
school more frequently to motivate the creative students and to help a noble cause.

floats and how you enjoyed the occasion.

INVITATIONS

To invite someone for an occasion, we use the written form Invitation.


Invitations are generally printed cards through which we invite our guests on some auspicious
occasions like wedding, birthday, wedding anniversary, house warming, the inauguration of a
shop/factory, etc.

Two types of Invitations - (i) Formal and (ii) Informal. These can be printed on cards or can
be drafted in the form of letters.

Main Features: - An invitation is a complete information. It answers the questions: who,


whom, when, where, what time and for what. The important components of an invitation,
therefore, are: - 1. Occasion, 2. Name(s) of the invitee(s), 3. Name(s) of the host(s), 4. Date,
time and venue, 5. Name(s) of the chief guest or special invitees, in case of an official
invitation.

Format - Formal Invitations:

Formal invitations, each of the following is written in a separate line with fonts of varying
sizes. i) Names of the hosts, ii) Name of the invitee (in case of a formal letter of invitation),
iii) Formal phrase of invitation, for example:- Request the pleasure your benign
presence/company Seek your auspicious presence, Solicit your gracious presence on the
auspicious occasion, iv) Date, time and venue of the event, v) Occasion/ reason of the
invitation.

Characteristics of Formal Invitations:


1. Meant for a lot of invitees: i) These are written in the third person, ii) In case a VIP is
invited as the chief guest, the name of the VIP must appear prominently, iii) Name of the
invitee is not to be included. The addressee’s address is to be written only on the envelope,
iv) Simple present tense is to be used, v) The date of writing is not to be given, vi) There is
no signature of the host, vi) The abbreviation RSVP i.e. ‘Please reply’ is written below on the
left side with name(s), address and phone number of the host(s), vii) Put the invitation into a
box, viii) Do not exceed 50 words.

2. Meant for an individual (a formal letter of invitation): i) Include the name of the
invitee, ii) These are to be written on run-on lines. The sentence is not broken into different
words/phrases, iii) Other details are similar to the mass-scale invitations.
Writing Informal Invitations:
Informal - Written in a letter form, in an informal format. Such letters are very persuasive in
nature.

Main Features: Written in the first person, Salutation is ‘dear + name’, Complimentary close
‘Yours sincerely’, Date of writing the invitation is given, Sender’s address appears on the
left-hand side, Various tenses used to suit the sense,

Replies: Replies Accepting or Declining


Formal Follow a set formula: formal words: ‘kind invitation’, ‘great pleasure’, ‘regret’, etc.,
Use third person (‘they’) instead of first person (T, ‘We’), Address of the writer and the date
to be written,

Informal – Accepting or Declining: Like an ordinary letter, Do not use any formal
expressions, but use informal words and expressions, Use first person (‘I’, ‘We’).

Question: As Secretary of the Literary Club of St. Anne’s School, Ahmedabad, draft a
formal invitation in not more than 50 words for the inauguration of the club in your school.

Letter to the Editor


A Letter to the Editor may be written to the editor of a newspaper or a magazine. It is
written to highlight a social issue or problem. It can also be written in order to get it
published in the said medium.
As it is a formal letter, the format has to be followed strictly. Only formal language can be
used i.e. abbreviations and slang language should be avoided.
A letter to the Editor is a formal letter and, in the examination, students are asked to write a
letter to the editor.
The format of a letter to the editor of a Newspaper is as follows:

1. Sender’s address: The address and contact details of the sender are written here. Include
email and phone number, if required or if mentioned in the question.
2. Date: The date is written below the sender’s address after Leaving one space or line.
3. Receiving Editor’s address: The address of the recipient of the mail i.e. the editor is
written here.
4. Salutation (Sir / Respected sir / Madam)
5. Subject of the letter: The main purpose of the letter forms the subject. It must be written
in one line. It must convey the matter for which the letter is written.

6. Body: The matter of the letter is written here. It is divided into 3 paragraphs as follows -
Paragraph 1: Introduce yourself and the purpose of writing the letter in brief.
Paragraph 2: Give a detail of the matter.
Paragraph 3: Conclude by mentioning what you expect from the editor. (For example, you
may want him to highlight the issue in his newspaper / magazine).

The people have been demanding a Water Treatment plant. The authorities have not yet

Job Application

Letters seeking jobs are often subjected modifications and are customised. These letters are
written to get a job. It is the primary means of introducing the job seeker to the employer.
Through the job application, job seeker offers his or her labour and service for a return.
Therefore, the application for employment acts as a personal advertisement.
Job application contains appeal for the job along with the job seeker’s personal data (Bio-
data, C.V) like name, address, qualification, and experience.
Bio data refers to a person’s life, experience and achievements. It should be representative of
all your personal and professional details in a specified format. It is generally divided into
four parts: 1. Personal Details, 2. Qualifications, 3. Experience, 4. References.
In the class 12 CBSE English examination, choices will be given to attempt any one
question out of the given two questions – Letter to the Editor / Job Application - to be
answered in 120-150 words.

A job Application consists of two parts- 1. the Cover Letter (appeal) and 2. the
Bio-Data/CV.

i. Cover letter

The format for the covering letter is similar to the format of a Formal letter. It goes on like-
SENDER’s ADDRESS- The sender’s address is usually put on the top left-hand corner.

DATE- The sender’s address is followed by the date just below it. This is the date on which
the letter is being written. It is to be written in expanded form.

RECEIVER’s ADDRESS- Make sure you write the official title/name/position etc of the
receiver, as the first line of the address.
SALUTATIONS- This is where you greet the person you are addressing the letter to. Bear in
mind that it is a formal letter, so the greeting must be respectful and not too personal. The
general greetings used in formal letters are “Sir” or “Madam”.

SUBJECT- Then we sum up the purpose of writing the letter in one line. This helps the
receiver focus on the subject of the letter in one glance. It is important to underline the
subject.

BODY- This is the main content of the letter. It is either divided into three paragraphs or
two paragraphs if the letter is briefer. The tone of the content should be formal. Do not use
any flowery language. Another point to keep in mind is that the letter should be concise and
to the point. And always be respectful and considerate in your language.

 PARAGRAPH 1- Begin the body of the letter by mentioning the source (from where
you got to know about the job) of information about the job (e.g., newspaper) along
with the day, date and advertisement number. Also mention the post you wish to
apply for. (‘wh’ questions to be taken care)

 PARAGRAPH 2- Here, you are supposed to offer your candidature by briefing about
your qualifications, achievements, previous experiences and your strengths. In other
words, this paragraph should be an answer to the question: ‘How are you the perfect
candidate for the job?’.

Keep in mind that it should be to the point and clear. You should not sound boastful.

 PARAGRAPH 3- In this part of the body, you are supposed to make a reference to the
photograph (passport-sized), Bio-data or curriculum vitae and other detailed
documents that you have enclosed. You can also appeal for a one-on-one interview.
End the body on a promising note, e.g., Looking forward to your positive response.

COMPLIMENTARY CLOSE- At the end of your letter, we write a complimentary closing.


The words “Yours Faithfully” or “Yours Sincerely” are used.

SIGNATURE- Here finally you sign your name. And then write your name in block letters
beneath the signature. This is how the recipient will know who is sending the letter.

(NOTE- Mention the name given in the question paper. Do not mention your personal
details.)

ii. Bio-data

After signing, you are supposed to mention the heading “ENCLOSURES” which will include
the name of the documents and testimonials attached along with the cover letter. They MAY
include the following: 1. Photograph (Passport-sized), 2. Bio-data or CV, 3.Copies of
certificates, 4. Any other.
