3. In the area where the ships are listed, the delayed modules are shown. Double click to go to the desired
module.
2.2 Maintenance Module
2.2.1 Today

1. This is the section where the latest status of the equipment monitored with working hours is displayed.
2. The list of jobs in PMS that are overdue or in warning can be viewed. By double-clicking on any line on the
list, the relevant job in the PMS tree is automatically accessed.
3. This is the section with extra menus.
When the desired section is right-clicked, the working hours of the section (Enter Section Total RHs) or the
desired equipment (Enter Total RHs) are given.
After entering the desired equipment with the "Enter Total RHs" option, enter the working hours on the screen
that appears and click the "Enter RH" button.
Click on the desired section with the “Enter Section Total RHs” option. On the screen that appears, all
equipment belonging to the entire section is selected or the desired equipment is selected. TotalRH is entered
and the total time is entered for the section by clicking the “Update” button.
2.2.1.1 Postpone
It is accessed by clicking the "Postpone" button from the menu on the right side of the Maintenance Today
screen.
The tracking of jobs to which a postpone request has been sent is done on this screen.

2.2.2 Treeview
In the Maintenance module, click on the treeview button from the top heading.
In this section, the Ship is opened. Department, Section, Group and Item are added to the opened Ship.
2.2.3 Management
The Management page is the section where ships' tree structures and related works, additional files,
instructions and similar works are viewed and closed.

2.2.3.1 Add Work
Right click on the grid where the work list is located and click on the “Add” heading. (Figure: 1)
The list of previously added jobs will appear on the screen that opens by default, at this stage you can
select a job from this list and add it by entering the period etc. information below, we continue by
right-clicking here and clicking on the "Add" title and creating a new job. (Şekil: 2)

2.2.3.2 Work Execution and Closure
To close a job, right-click on the job and press the "Enter Date" button from the menu that appears.

If the risk assessment needs to be filled out before the job is closed, the “Critical Equipment Warning” screen
above will be displayed.

From the “Generic Template List” screen that appears, we can make a selection from the options opened with

on the “Critical Equipment Warining” screen becomes active.
When we click the “Continue” button, the Spare Part, Personnel, Attachment and General selection screen
appears within the “Enter Date” screen.

The closed job is automatically added to the history of the jobs. Some jobs may require approval from a higher
authority. These jobs are displayed on the “Approve Job” page.
After the person approves a job that requires approval in the Waiting List, the job line will go to the
Approval List section. By right-clicking on the approved jobs, the “Enter Date” progress steps will
appear again, as in the planned maintenance management screen. After these processes are
completed, the job will automatically appear in the history section.
2.2.3.3 Add Document:
To add additional documents later, right-click on the latest revision in the history section and select
“document” to add additional documents.
2.2.6 Add Deficiency:
1. Deficiency can be added in two ways.
2. 1. Right-click on the equipment section in Management and select the “Input Deficiency” option from
the menu that opens.
3. It is entered by clicking the "Deficiency" button from the menu on the right side of the Maintenance
Today screen.
And right click on the “Maintenance Deficiency” screen that opens and select the “Add” option.
Fill in the necessary fields on the “Add New Deficiency” screen that appears, click the “Add” button and save.
2.2.7 REPORTS:
When you click on the reports tab at the top of the Maintenance module, there are some reports
about the jobs underneath.
Here you can see reports about jobs that are overdue or upcoming, completed, to be done, etc.
For example, when we click on the overdue/warning list, fill in the necessary parameters on the
screen that opens and then click the preview button. (Figure: 1)
Then, on the screen that opens, we will be presented with a preview of the report, you can
download the report by clicking the download button on the top right. (Figure: 2)
2.2.8 COPY / MOVE WORKS:
We may want to use the work in an item in another item. At this stage, instead of entering the same
work again in the place we want to use, we can copy the relevant work and transfer it to the place
we want to use. We can copy and transfer it if we want, or we can move and transfer it. For this,
Click on the settings title at the top of the Maintenance module. Click on the “Copy / Move
Works” title from the tabs that open. (Figure: 1)
First, enter the parameters related to the source where the jobs to be copied are located on
the screen that opens. Then, enter the parameters related to the location to be copied.
Then, select whether these jobs will be copied or moved and click the “COPY” button.

2.3 CERTIFICATE MODULE

When you want to perform any operation on the certificates, you can perform the desired operations from the
options that appear when you right-click on the selected certificate.

Right-click on the grid where the certificate is listed and click on the “Add” tab. (Figure: 1)
The item detail screen will appear. Right click on this screen again and click on the “Add” tab. (Figure:

The added item will be shown in the item detail grid, after entering the period type and amount
information and inserting, the certificate will appear in the list. (Figure: 5)
2.3.1.2 Enter Date
Right click on the relevant certificate and click on the “Enter Date” heading. (Figure: 1)

2.3.1.3 Edit
If you want to make changes to a certificate, right click on the certificate. Then click on the "Edit" button from
the menu that opens.

Right click on the relevant certificate and select the “Document” tab. (Figure: 1)
Then, click on the browse button on the screen that opens and add and upload the document. (Figure:

Then, you can click on the documents you added and view the document you clicked on the screen
that opens on the side. (Figure: 3)
You can also right-click on the relevant document and delete or download it in the tab that opens.

2.4 SPARE PART MODULE

2.4.2 Management
When you right-click on the selected part on the Spare Part management screen, the above operations can be
performed.
When the “Add” option is selected, you can add a new part. The “Insert” button is used to add the newly
opened part under the equipment.
The following screen appears to add a new track with the “Add” option.
The spare parts whose stocks will be updated or entered are processed by right-clicking on them and selecting
the "Stock Entry" option.
Enter the amount to be entered from the “In” section and the amount to be subtracted from the “Out” section
and press the “Save” button.
2.4.2.1 Enter Serial No, Spare Book Name, Maker, Type in
the Stock Section
Go to the management screen from the Stock menu.
In the tree structure section, right click on the Section you will be working on and select “Insert Subsection” to
create a new subsection.
Fill in the relevant fields on the “Subsection” screen that appears and save with the “Update” button.

2.5 Training & Drill MODULE
TRAINING & DRILL
Training & Drill section is the section where the training and drills received by the ship personnel are kept..
2.5.1 TRAINING
You can fill in the details about the training on the “Add Personnel Training” screen that appears, save the
training with the “Save” button, or exit the screen with the “Close” button.
2.5.2 DRILL
To add a drill, click on the “Add Drill” button and then go to the step in the 2nd picture to create a new drill.
You can fill in the details about the Drill on the “Add New Drill” screen that appears, save the drill with the
“Save” button, or exit the screen with the “Close” button.
2.6 VOYAGE MODULE
VOYAGE
To open a new voyage in the operation module, enter the sections on the screen below and click the "Save"
button. If there is missing information in the fields, click the + button and enter the missing information.
2.6.1 Today
It shows the coordinates of the ship according to the location given in the operations entered.
2.6.2 Management
The “Add” button is used to add a voyage.
After clicking the "Add" button, the following section opens and the necessary fields are filled in. After that, the
registration process is completed with the "Save" button.

After adding the Voyage, click on the “Add New Operation” button to enter an operation and select the
desired operation type from the options that appear.
After clicking the "Add New Operation" button, the "Bunker" button opens the Bunker filling section. After
filling in the fields, the bunker entry is saved by clicking the "Save" button..
After clicking the “Add New Operation” button, the Departure filling section is displayed by clicking the
“Departure” button. After filling in the fields, the Departure entry is saved by clicking the “Save” button.
For example, the necessary data is entered on the “Departure” screen that opens and the “Save” button is
clicked. If you want to open a “Statement Of Fact”, the relevant button can be clicked and the necessary
information can be added.
Other operations can be completed in the same way.
If you want to add a Sefer Noon Report, you can do so by clicking the "Add" button on the "Noon Reports" tab
on the screen.
For example, the necessary data is entered on the “Noon Report” screen that opens and the “Save” button is
pressed. The fuel and oil expenses on the ship are entered. ROB is calculated automatically. If you want to
open a Statement Of Fact, you can press the relevant button and add the necessary information.
2.6.2.1 Add Port Operations
To add Port Operations or edit a port operation added by the office, click the "Add Port Operation" button, fill
in the necessary data and click the "Save" button.
2.6.2.2 Add Distribution
If you want to add a distribution, double-click on the list in the "Distribution" tab on the screen, fill in the
necessary information on the screen that opens, and press the "Save" button.
2.7 Document Management Module

2. This is the area where you can view and read the document.
3. This is the section where you can check whether it has been read or not.
On the screen that opens, you can see the tree structure on the left side where your manuals are located.
Those with asterisks on the tree structure indicate that there has been a revision to this document and that it
has not yet been read by the ship.
To read the document, click on the revised form (left click) and then right click on the form and select “Edit
Doc. Reading” from the menu that appears. Find your own rank on the screen that opens and save it using the
Check mark.

2.8 ONLINEISM MODÜLÜ
ONLINE ISM
The Online ISM Module enables the necessary international safety management code forms to be filled.
Today, which has the ISM menu, is the screen where it is monitored whether the ISM forms are filled in and
checked regularly.
The Management section is the screen where forms are uploaded, filled and ship-office controls are provided.
The right section is the section where time alarms are controlled.
Overdue: To show expired forms.
Warning: This is to show forms that have a short time remaining when they enter the 30% time frame or the
last 30 days remaining.

the list automatically navigates to the relevant job in the PMS tree.
3. Section where you can get the list of Overdues and Warnings
This section is used for the ISM forms to be checked and read by the office..
The form filled in on the ship is first sent to the master control and approved..
Unfinished forms can be saved as drafts. To continue filling out the form, we can complete and save the form
by entering the draft list in the image below.
By right-clicking on the form to be filled, the form is filled with the “Fill Form” option. If the form needs to be
revised, the “Set Reference” button should be used.
After filling out the form, you can track whether the filled forms have been checked or not from the history
section. Approved forms are green and unapproved forms are red.
Right click on the saved form and select “Fill New Form With This” to bring in a previously filled form. Instead
of filling out the form from scratch, you can bring in the filled form and make a few changes before saving it.
2.8.1 Set Reference
When you want to change the desired form, right click and click "Set Reference" and the Reference Files
section below opens. From here, if we want, a new form can be added to the system or we can assign an
existing form to the form we have selected.
2.9 WORKING HOURS MODULE
WORKING HOURS
Working Hours is the module that tracks the working and rest hours of employees.
To enter working hours, right click on the employee name in the employee list on the left and click on the
“Edit” button.
2.9.1 Fill in Working Hours
In the 24-hour time period in the lower right part of the edit screen, the white areas are rest areas and the
black areas are work areas. The work time is selected by holding and dragging the mouse over the time period.
As long as the background of the day is green on the left side, it indicates that there is no problem. If there is
any inconsistency, it turns red and the reason is shown in the middle part.

2.10 PERSONEL MODULE

When the personnel button is clicked, the today screen appears. The personnel whose contracts are ongoing
or have ended are listed on the today screen. When clicked on the personnel, their overdue certificates are
displayed.
2.10.2 Management
In the personnel management section, the information of the personnel selected in Section 1 comes to Section
2. The overdue transactions of the currently selected personnel are indicated in red in Section 3.
To open a new contract for an employee, select the employee from the Crew section, click on the "Contrats"
button, right click on the screen that appears, and then click the "Add" button.
After clicking the “Add” button, a new “Personnel Contract” opening screen appears. After filling in the
necessary information, the new contract will be opened by clicking the “Save” button.
2.11 PURCHASING MODULE
PURCHASING

In order to make a new purchase, right click on the "New Request" button in the requests section and select
Ship to open a new request. After selecting the ship, click on the "New" button.
On the screen that opens, the list on the right side is updated by selecting from the catalogs on the left. The
detail screen for the selected product opens with the button, you can add information and description and
click the "+ add" button to add it to the purchase list.
The products with details entered are listed below. If the work will be continued after the products are
entered, they can be saved with the “Save” button and then continued with the “Edit” button.
After it is completely finished, the purchase request is completed by the ship with the “Approved” button by
the ship captain. The next purchase procedure is carried out by the office.
After the purchasing process is completed by the office, in order to receive the products from the ship, the
“Edit Request Form” option is selected from the menu that opens by right-clicking on the purchasing request.
Then, in the listed purchasing requests in the Catalog tab, the number and details of the products received are
entered by clicking the “pencil” button.
After entering the details for all products, go to the stock tab and click on the "Items Received" button..
These details are automatically entered into the inverter without the need for any further processing.
2.12 RUNNING COST MODULE
2.12.1 INVOICE & PURCHASE
You need to right click in order to perform Add, Edit, Delete and Attachment operations in the Invoice and
Purchase section.
After filling in the fields in the “Add Invoice” section, the information is saved by clicking the “save” button.
After filling in the fields in the “Add Purchase” section, the information is saved by clicking the “save” button.
3. FREQUENTLY ASKED QUESTIONS
3.1 – I cannot see the data I added in the modules
Right click on the relevant grid where the data is listed and select “clear filters”. The data
may have been filtered, in which case the data you add will not appear if it does not fit the
filter.
