Licenses
Each copy of the software must have its own (separate) license and be registered with Spectro
Scientific. You are not permitted to make copies of the software without first purchasing the
appropriate additional licenses. Individual software licenses are only valid when registered. This
license does not grant any reseller privileges.

Limitation of Liability
Except to the extent prohibited by local law, in no event will Spectro Scientific, or its employees
or officers be liable for direct, special, incidental, consequential or other damages (including lost
profit, lost data, or downtime costs), arising out of the use, inability to use, or the results of use of
the software, whether based in warranty, contract, tort or other legal theory, and whether or not
advised of the possibility of such damages.
Your use of the software is entirely at your own risk. Should the software prove defective, you
assume the entire cost of all service, repair, or correction.

Software Warranty
Spectro Scientific warrants to the Customer that commencing from the date of delivery to the
Customer and continuing for a period of 12 months:
(1) the media on which the Spectro Scientific Software is furnished is to be free of defects and
workmanship under normal usage and service and
(2) to conform in all material respect to the printed specifications for the Software, which have
been delivered to the Customer.
This limited warranty covers only the original Licensee of the Software.

Limited Warranty
Spectro Scientific warrants to the original purchaser only, that all Spectro Scientific portable
instruments will be free from defects in material or workmanship for a period of one year from
date of invoice.
SPECTRO SCIENTIFIC’S SOLE OBLIGATION AND YOUR EXCLUSIVE REMEDY under
this Limited Warranty and, to the extent permitted by law, any warranty or condition implied by
law, shall be the repair or replacement of parts, without charge, that are defective in material or
workmanship and that have not been misused, carelessly handled, abnormal conditions or
operation, accidents or acts of God, or mis-repaired by persons other than Spectro Scientific or
Authorized Service Provider.
To make a claim under this Limited Warranty, you must return the complete portable instrument,
transportation prepaid, to Spectro Scientific Factory Service Center or Authorized Service
Location.
The determination of whether any product has been subject to misuse or abuse will be made
solely by Spectro Scientific. If a hardware defect arises and a valid claim is received within the
limited warranty period, at its option and to the extent permitted by law, Spectro Scientific will

either (1) repair the hardware defect at no charge, using new parts or refurbished parts that are
equivalent to new in performance and reliability, (2) exchange the product with a product that is
new or refurbished that is equivalent to new in performance and reliability and is at least
functionally equivalent to the original product, or (3) refund the purchase price of the product.
Spectro Scientific may request that you replace defective parts with user-installable new or
refurbished parts that Spectro Scientific provides in fulfillment of its warranty obligation.
A replacement product or part, including a user-installable part that has been installed in
accordance with instructions provided by Spectro Scientific, assumes the remaining warranty of
the original product.

Disclaimer of Warranties
To the extent allowed by local law, this software is provided to you "as is" without warranties or
conditions of any kind, whether oral or written, express or implied. Spectro Scientific specifically
disclaims any implied warranties or conditions of merchantability, satisfactory quality, non-
infringement and fitness for a particular purpose.

General Disclaimer
Spectro Scientific neither assumes nor accepts any liability for any loss, damage, theft, misuse,
malfunction, etc. of your hardware or data or anything else that you may own regardless of the
cause or reason for any such misfortune.
Spectro Scientific, its officers, and employees will not be liable for lost profits, loss of business or
other consequential, special, indirect or punitive damages, even if advised of the possibility of
such damages, or for any claim by any third party. These policies, terms, and conditions may be
subject to change without notice.

Return Policy
Software (including but not limited to all exe, java, JBoss, exe, java, JBoss, html, asp, aspx,
graphic/image, and text files) that is not specifically referred to as "trial software" or "demo
software" cannot be returned for a refund. Should you experience a problem with any
purchased software, Spectro Scientific offers support services to assist with any technical
issues. There are no refunds on installation services or any software that has been installed,
downloaded, or emailed to you.

Manual Conventions
There are three types of special instructions that appear in this manual.

A process or procedure that carries a risk of personal injury, and/or damage to the
device, and/or a catastrophic loss of data and/or impact on the software and/or
databases.

A process or procedure that has a direct impact on fluid analysis and/or data
reporting and/or data analysis.

Any information that is of special note, such as information that amplifies previous

End User Licensing Agreement (EULA)
LICENSE AGREEMENT
BETWEEN
Spectro Scientific. ("SPECTRO SCIENTIFIC") AND
___________________________________________("LICENSEE")

1. Definitions
"Software” means computer programs provided to Licensee by SPECTRO SCIENTIFIC
directly or indirectly, and any related materials, including, but not limited to, Documentation
related thereto, and any subsequent revisions, improvements or updates.
"Documentation" means any information which is provided to Licensee in writing or fixed in other
tangible form, including, but not limited to, logic diagrams, manuals, lists, schematics, drawings
and marketing, development, maintenance, pricing and/or product information.
“Spectro Instrument” means the Spectro instrument on which Software is first installed or with
which the Software is provided by Spectro.

2. Scope of Authorized Use


2.1: Software is furnished under a personal, non-transferable, non-exclusive license solely for
Licensee's own use only on the Spectro Single unit ("Unit") on which Software is first installed.
2.2: Licensee shall not copy nor permit any party to copy Software. If Licensee is unable to
operate Software due to an equipment malfunction, the Software may be used temporarily on
another Spectro instrument during the period of equipment malfunction. Licensee shall not sub-
license, transfer or otherwise make software available to any third party. Licensee shall not
modify, de-compile, disassemble or otherwise reverse engineer Software.
2.3: Licensee shall allow SPECTRO SCIENTIFIC reasonable access to its premises to audit
Licensee's compliance with this Agreement.
2.4: Licensee agrees that any Software coming into Licensee’s possession shall be subject to
this Agreement, and Licensee shall pay applicable license fees, if any, including any Monthly
License Fees, to SPECTRO SCIENTIFIC for the use of such Software.

3. Title and Ownership: Confidentiality

Title to, ownership of and all patent, copyright, trade secrets and other intellectual
property rights in the Unit, Software or any of it parts shall at all times remain with
SPECTRO SCIENTIFIC.
Software is confidential and proprietary and Licensee shall observe the proprietary
nature thereof. Licensee shall not disclose, provide or otherwise make available Soft-
ware or any part or copies thereof to any third party. Licensee shall take action by

instruction or agreement with its employees who are permitted access to Software, to
protect the confidentiality of Software. Licensee shall keep Software and such mater-
ial secure, and prevent unauthorized access, copying, or use thereof. Licensee
agrees to notify SPECTRO SCIENTIFIC immediately of any unauthorized know-
ledge, possession, or use of Software or any such materials by any person or entity.

4. Payment, Shipment, and Risk of Loss


Licensee shall pay invoiced license fees, including tax on the license fee, for use of the Software,
within thirty (30) days after shipment.

5. Limited Warranty: Warranty Disclaimer

SPECTRO SCIENTIFIC warrants that all Software will substantially conform, for a
period of thirty (30) days from shipment, to SPECTRO SCIENTIFIC's specifications
prevailing at shipment. SPECTRO SCIENTIFIC does not warrant Software will be
error free or that all errors will be remedied.
SPECTRO SCIENTIFIC's entire liability and Licensee's exclusive remedy under this
warranty shall be for SPECTRO SCIENTIFIC to make reasonable efforts to remedy,
in a manner deemed suitable to SPECTRO SCIENTIFIC, any non-conformance
reported in writing within the warranty period.
NEITHER SPECTRO SCIENTIFIC NOR ITS THIRD PARTY VENDOR (IF ANY)
MAKE OR GIVE, AND SPECTRO SCIENTIFIC HEREBY DISCLAIMS, ANY
OTHER REPRESENTATION OR WARRANTY REGARDING THE SOFTWARE,
INCLUDING EXPRESS OR IMPLIED WARRANTIES OF MERCHANTABILITY,
FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT.

6. Limitation of Remedies

IN NO EVENT SHALL SPECTRO SCIENTIFIC OR ITS THIRD PARTY VENDOR


(IF ANY) BE LIABLE FOR SPECIAL, INDIRECT, INCIDENTAL OR
CONSEQUENTIAL DAMAGES OR ANY LOST REVENUES OR LOST PROFITS
ARISING OUT OF OR IN CONNECTION WITH THE USE OR PERFORMANCE OF
SOFTWARE OR UNITS.
LICENSEE ACKNOWLEDGES AND AGREES THAT THE SOFTWARE AND UNIT
IT OPERATES ON ARE BEING PROVIDED HEREUNDER FOR OIL ANALYZING
ACTIVITIES ONLY AND SPECTRO SCIENTIFIC HAS NO LIABILITY OR
RESPONSIBILITY TO PROVIDE INFORMATION OR DATA RELATED TO THE
OPERATION OR CONDITION OF EQUIPMENT OR MACHINERY BEING
OPERATED.

7. Infringement Indemnity
SPECTRO SCIENTIFIC disclaims all liability for copyright, patent or other infringement,
including any incidental or consequential damages.

8. Termination

8.1 Licenses shall become effective upon Software shipment and terminate at such
time as Licensee discontinues use of Software, or upon sale, lease or transfer by
operation of law or otherwise, of the Spectro Instrument.
8.2 If Licensee breaches any of the terms of this Agreement which are not capable of
cure, or if Licensee breaches any term of this Agreement that is capable of cure,
including failure to pay any required initial, monthly, or other license fees, and fails to
cure such breach of this Agreement within (10) days after receipt of written notice of
such breach , the license(s) for the Software related to such breach shall auto-
matically terminate.
8.3 Upon termination of any license, Licensee shall immediately terminate use of
such Software and immediately return or destroy at SPECTRO SCIENTIFIC’s dir-
ection all copies of such Software and other proprietary materials and certify in writ-
ing as to such destruction or return. Sections 3, 5, 6, and 7 shall survive termination
of this Agreement.

9. Miscellaneous

9.1 This Agreement shall be governed by the laws of the Commonwealth of Mas-
sachusetts, excluding choice of law provisions and Licensee agrees that the exclus-
ive proper venue for all actions arising under the Agreement shall be only in Boston,
Massachusetts, USA, provided that SPECTRO SCIENTIFIC may seek equitable
relief in any court of competent jurisdiction.. This Agreement states the entire under-
standing between the parties as to Software licensed hereunder.
9.2 Licensee agrees not to export Software, or re-export Software from or in country
of installation, without first complying with all applicable export laws and regulations.
9.3 This paragraph applies to all acquisitions of the Software by or for the United
States Government, or by any prime contractor or subcontractor (at any tier) under
any contract, grant, cooperative agreement or other activity with the United States
Government (collectively, the “Government”).
The Government hereby agrees that the Software and the Documentation are
respectively “commercial computer software” and “commercial computer software
documentation” within the meaning of the acquisition regulation(s) applicable to this

procurement. This Agreement alone shall govern the Government’s use of the Soft-
ware and the Documentation and shall supersede any conflicting contractual terms
or conditions.
If this Agreement fails to meet the Government’s needs or is inconsistent in any
respect with Federal law, the Government must return the Software and the Docu-
mentation unused to SPECTRO SCIENTIFIC.
The following additional statement applies only to acquisitions governed by DFARS
Subpart 227.4 (October 1988): “Restricted Rights – Use, duplication and disclosure
by the Government is subject to restrictions as set forth in subparagraph (c)(1)(ii) of
the Rights in Technical Data and Computer firmware and software clause at DFARS
252.227-7013 (OCT. 1988).”

1 Getting Started
Fluid Manager is a PC-based data management program that works with the Q5800 and
FluidScan Q1x -Series fluid analyzers.
Features include support for the following
• Multiple analysis devices
• Multiple databases
• Trend, Measurement and Asset Summary reporting
• Multi-level Asset Management structure
• Device software updates
• Additional data storage
• Fluid Manager and Device database updates

Installing Fluid Manager


The Fluid Manager software is included on a CD accompanying your fluid analysis device. You
must install the software on a computer running Windows 7 Professional on either 32-bit or 64-
bit systems.
For information on updating Fluid Manager, see Updating Fluid Manager on page 40
Follow these steps to install the software:
1. Insert the CD into your CD/DVD disc drive.
Wait a moment while the disc is read; then the AutoPlay window will open automatically:

2. Click the Open Folder to View Files button.


This will automatically open Windows Explorer to the Setup.exe file location.
3. Double-click on Setup.exe.

4. Follow the installation wizard prompts.
5. Click Finish when the installation process is complete.
Fluid Manager is now installed. A shortcut will be placed on the desktop:

Automatic Fluid Test Device Software Update


After Fluid Manager is installed, the "out-of-the-box" default action is to update the test device
with software that is included as part of the Fluid Manager installation package.
FluidScan Update
FluidScan software will always have a .fsu extension. By default, it is placed in the following
folder:
C:\ProgramData\Spectro Scientific\FluidManager\FluidScan\Updates
The Update Device Software screen points to this location by default:

Software file names often differ, but the .fsu extension will not. Use the Browse button to select
the latest <filename>.fsu file.
Press the Update Device Software button to begin the backup process.
By default, the device software is backed up to the following location:
C:\ProgramData\Spectro Scientific\FluidManager\<DeviceNumber> similar to the above
example.

An elapsed time indicator opens:

The device update will begin as soon as the backup process is complete.
Q5800 Update
Q5800 software will always have a .tsu extension. By default, it is placed in the following folder:
C:\ProgramData\Spectro Scientific\FluidManager\Q5800\Updates for TotalOil.
The Update Device Software screen points to this location by default.
Software file names often differ, but the .tsu extension will not. Use the Browse button to select
the latest <filename>.tsu file.
Press the Update Device Software button to begin the backup process.
By default, the device software is backed up to the following location:
C:\ProgramData\Spectro Scientific\FluidManager\<Q5800Device>.
An elapsed time indicator opens:

The device update will begin as soon as the backup process is complete.

Synchronize Database Alert


After installation, the Fluid Manager and test device databases are often at different revisions. If
they are, Fluid Manager will detect this and the Sync icon will flash red.
A notification will also appear in the green notifications bar in the lower left corner.
Press the Sync icon to continue the process.

Opening the Settings Menu


Follow these steps to access the options in the Settings Menu.
1. Open Fluid Manager from the desktop icon or from the Start Menu:

2. Press the Settings button to open the Settings Menu:

You can maintain multiple Fluid Manager databases, and you can switch between them at will.
1. Press the Browse button to locate the folder where the databases are backed up.
2. Select the database you want from a list of databases so the full path is displayed in the
Database field
3. Press the Switch Local Database button to load the database.
4. A dialog box will notify you if there is a database mismatch; press Yes to update the
database.

After an update, you need to check the Main Menu. If there are now any
items to sync, the Sync icon will be flashing red, and a message similar to
this example appears at the bottom of the screen:

Backing up the Fluid Manager database on a regular basis helps protect against data loss.
1. Press the Browse button to locate a folder that is used for backup files.
2. Create a name for the backup file.

Make sure the file is saved with the .sdf extension.

3. Press the Backup Local Database button.


4. A dialog box confirms the backup is complete.

Switch Language Button
Click the Down arrow in the User Interface Language drop-down menu and select your
language. Options are English, Russian and Spanish:

Press the Switch Language button and the GUI will display in your chosen language.

3 Devices Button
This section describes the following operations:

These operations are accessed by pressing the Devices button on the Main Menu.

Updating the Software on a Test Device


You can use Fluid Manager to update the software on any supported test device like a Q1x
FluidScan or Q5800.
1. Place the new software image on the desktop.
2. Connect the test device to the computer running Fluid Manager with a USB A-male to
USB A-male cable (supplied).
3. Power up the test device as described in the appropriate user guide and wait until it
opens at the Main Menu.

4. Open Fluid Manager from either the desktop icon or the Start Menu:

As soon as the devices connect, there will usually be some information to


synchronize and the Fluid Manager Sync icon will start flashing red. DO NOT
synchronize until after you have updated the device software.

5. Press the Devices button to open the Manage Devices screen. If Fluid Manager located
the test device, the connected icon will appear in the top left corner, like this:

If Fluid Manager cannot connect with the test device, you will see a red Disconnected icon
instead.
If this happens, allow 60 seconds for the connection to be made before restarting both Fluid
Manager and the FluidScan. If they still do not connect, contact Technical Support for
assistance.
6. Press the Update Device Software button.

7. Click the Browse button for the Software Location on Desktop field and browse for the
new software file. This will have a .fsu extension as for a FluidScan file, or a .tsu
extension if it is for a Q5800.

8. In the Backup Location on Desktop field, accept the default path to the program data
folder, as a timestamped backup will be created in the device-specific folder.
9. Click the Update Device Software button to start loading the new software.
Fluid Manager will stop the test device processes and start the backup process.
An elapsed time indicator will appear at the bottom of the Update Device Software
screen:

10. After the backup procedure, Fluid Manager will start updating the software.
11. Once the software update is done, Fluid Manager will restart the test device
automatically.
12. After the test device reboots, verify that the Main Menu appears as you expect it to with
any new menu options, then press the Sync button to start the synchronization process.
This can take up to an hour or even longer - the progress is updated in the green bar at
the bottom of the Fluid Manager screen.
13. Once the synchronization is done, the following message will appear in Fluid Manager
asking if you want to delete old test results:

Storage space on the test devices is limited, so deleting old test results you don't want to
export is generally a good idea. Deleting all the old files can also help speed up the CPU.
You can track the progress in the green bar until all files have been deleted:

Copying User Fluids to Another Device


User Fluids are fluids created in a test device based on the chemistry of an existing fluid with
parameters that have been customized to suit a particular customer. Refer to the user's guide
for the test device to find out more about how to create User Fluids.
Follow these steps to copy user fluids from one device to a second device:
1. Connect the first device to the laptop running Fluid Manager and sync it by pressing the
Sync button on the Fluid Manager Main Menu.
2. From the Manage Devices screen, press the Copy User Fluids button to open a list of
User Fluids similar to this example:

3. Press the User Fluid to select it. (Control-click to select multiple User Fluids.)
4. Connect the second device.
5. Press the down arrow in the Device drop-down box and select the device you want to
transfer to.
6. Press the Copy button.
7. If the transfer was successful, you will see a confirmation message:

Backing Up the Database From a Device

When replacing the database there could be compatibility issues if the database
version does not work with the software version. We recommend you update
your test device using Updating the Software on a Test Device on page 9.

1. Press the Backup Database from Device button.


2. Fluid Manager displays a message telling you that the test device is being shut down:

3. Once the test device is shut down, a timer will open while the device synchronizes with
Fluid Manager:

Do not interrupt this process to avoid any possible database corruption.

4. A dialog box now displays confirming the update completed successfully.

The Manage Devices screen message will change to one that the test device
processes are being restarted:

But, the restart process does not actually start until you click OK!

This database is now available as a backup file in case you should need to overwrite or replace
the database on the test device for any reason.

Replacing the Database on a Device

1. The most recent backup file is selected by default, or you can press the down arrow in
the Available Backup File drop-down menu and select the file you want to load on the

Creating Descriptor Levels and Asset Descriptors


This is a hierarchical structure with Descriptor Level 1 at the top and up to nine sub-levels for a
total of 10 maximum. We modeled a large mining operation with multiple sites that only uses six
levels. Many operations use fewer.

It is imperative that you plan your asset structure carefully. Once you start testing
fluids associated with physical assets you will be able to add or delete Descriptor
Levels, but you will not be allowed to make any changes to a Descriptor without
deleting all the assets associated with it - which means losing stored test data.
If you try to import assets that do not have exactly the same structure as the one
you create, you will see the following error message:
Imported descriptor structure conflicts with existing structure;
therefore, this import is not allowed.
If you try to copy an asset from one device to another from the Manage Assets
screen and the two devices have different asset structures, you will see the
following error message:
The descriptor structure of the following asset(s) conflict with the
existing structure on the selected device and they cannot be copied.

This example will use a three-level structure that readers might already be familiar
with: Area\Equipment\Point or A\E\P.
Level 1 for this example will be Area.
Level 2 for this example will be Equipment.
Level 3 for this example will be Point.

This section describes how to create descriptor levels on the default device.

The default device is "System."

1. Open Fluid Manager and press the Assets button to open the Manage Assets screen:

activate the Manage Asset Descriptors button (if it was not already active).

Descriptors screen, but to add the descriptor levels, the focus is just on the left side of the

This section describes how to add the following asset descriptors for this example:

A descriptor level can support an unlimited number of asset descriptors.

At this time, look at the top of the Manage Asset Descriptors screen. The small arrow icon
indicates that the descriptors to be added will be applied to Level 1:

On the Descriptor side, there is a default entry: N/A. Do not attempt to delete or to
rename it - N/A is an option at every level if you do not want to select a descriptor.

1. In the Add New Descriptor field, enter Level 1. In the New Descriptor field, enter
Bulldozer and press the Add New Descriptor button to add the Bulldozer descriptor:

2. Do the same to add the Excavator descriptor:

3. In the Existing Levels side, click the gray box next to the Equipment Level to move the
arrow indicator down. This also changes the level number on the Existing Values side to
2 so you can add the Level 2 descriptor - Engine:

4. Do the same for Level 3 - Point and add the descriptor Drain Plug.
5. Press the OK button at the bottom of the screen to return to the Manage Assets screen.
Notice that the asset descriptors are displayed and the Add button is now active ready
for you to create some assets:

button to display the descriptors as shown in this screen:

Adding Assets to Asset Descriptors


Adding assets or measuring assets is something of a misnomer. What you are measuring is fluid
that has been taken from a physical asset that can be tracked by a unique identifier such as a
serial number - like an engine.

You can create an infinite number of assets with the same name as long as they
are created with a unique identifier like a serial number.
Deciding on a meaningful naming scheme is part of creating an effective asset
structure.

The results are typically used to help assess the operating condition of the physical asset with
less emphasis on the condition of the fluid itself.
So far the asset structure looks like this:

In this example, the bulldozers all use the popular D-10 diesel engine. All the excavators use the
popular D-8 diesel engine.
6. Press the down arrow in the Device drop-down menu and select System.
7. Press the Add button to open the Asset Editor screen:

Assets are created on the left.


8. In the Asset Name field, enter D-10.
9. In the Serial Number field enter the serial number for this particular D-10: 123.
10. Click the down arrow in the Area field and select Bulldozer:

You now need to select the fluid associated with this asset:

The asset you created appears in the Selection field in the lower left corner:

Get into the habit of making sure your device is selected from however many are in
the Device drop-down menu, and always press the Update Asset List button (or
select the Auto-Refresh check-box) after you add assets.

Details of the asset you just created are displayed in the Current Asset Information field:

This information is grayed out and inactive, indicating that you can't edit the asset
from this screen. If you want to make edits, you need to select the asset and press
the Edit button (which is inactive until an asset is selected):

Searching for an Asset


You can search for assets by entering all or part of the asset name and pressing the Search for
Asset button. Or you can search by entering all or part of the asset serial number and pressing
the By Serial No./Share ID button.

Share ID is not used for this application.

For this example, suppose you want to see a list of all Cummins engine assets.
1. Enter Cummins in the search box:

2. Press the Search for Asset button to display a list of all Cummins engine assets along
with the serial number and the full descriptor path similar to this example:

3. Select the asset and press the Select button to populate the Manage Assets screen with
information associated with this asset.

Editing an Asset
1. Select the asset from the list and press the Edit button:

2. The Asset Editor will open; modify all properties as required.

Click OK when you are done otherwise your changes will not be saved.

Reset Selected Descriptors Button


Suppose you have a new location codenamed Argonne and you need to start creating assets
using the same A\E\P structure, where for this example the Area will be "Argonne."
1. Create your first sample for Argonne.
2. Press the Reset Selected Descriptors button.
3. Press the down arrow for the Area; Argonne will be listed similar to this:

4. Select Argonne and press the Update Asset List button to see the asset(s) associated
with this Area:

5. Now create an asset for a new Area codenamed Black Forest.
6. Press the Reset Selected Descriptors button and press in the Area drop-down menu.

Importing Assets
You can use the Import command to automate the process of synchronizing asset descriptors
and assets from multiple devices to Fluid Manager.
1. Create the import template file using an Excel template.

There is a sample template included with the documentation disc

2. Save the Excel template as a tab delimited text file - AssetImportList.txt


It is saved to Spectro\Fluid Manager\Data by default.
3. In the Manage Assets screen, press the down arrow in the Device drop-down menu:

4. Select a device. This will activate the Import button.


5. Press the Import button. If there are already any assets in your database, the following
dialog box will open asking you to confirm if you want to add more assets:

If the import process finds a match for an existing serial number, then that data will be
overwritten. Otherwise, the assets will be copied and added.
6. Press Yes to continue with the import.
7. Browse to the folder holding the AssetImportList.txt file.
8. Highlight the AssetImportList.csv file and press Open.
9. Press the Update Asset List button to populate the Manage Assets screen with the
imported data.
Exporting Assets
You can use the Export command to automate the process of synchronizing assets from Fluid
Manager to one or more FluidScan/Q5800 test devices.
1. In the Manage Assets screen, press the down arrow in the Device drop-down menu:

2. Select a device.
3. From the asset list, select the asset(s) to export.
4. Press the Export button. Windows Explorer opens to a default location.
5. You can name the file anything you want, or you can accept the default file name, but
you must save it with a .csv extension - a file you can open and edit with Excel similar to
this example:

Copying Selected Assets to Other Test Devices
You can copy an asset and all its properties to one or more test devices.
1. Select an asset or assets from the Asset List. This will activate the Copy button:

2. Connect the test device to be updated to the computer running Fluid Manager.
3. Press the down arrow in the Device drop-down menu and select the test device.
4. Press the Copy button to transfer the data.
Retiring an Asset
Follow these steps to retire an asset:
1. Select the asset from the asset list and press the Retire button.

2. The asset disappears from view, and the Retire button becomes inactive.
To see this asset, press the Retired button or the All button below the Asset List:

Reactivating a Previously Retired Asset
To reactivate an asset, you need to press either the Retired button to see a list of retired assets,
or the All button to saee a list of assets including retired ones.

1. To reactivate an asset, select it and press the Reactivate button.


2. The asset disappears from view, and the Reactivate button becomes inactive.
In order to see this asset, you need to press the Active button or the All button below the
asset list.
Deleting an Asset
1. From the asset list, press the asset you want to delete (the asset is highlighted in the
GUI, but the red box is added for extra clarity).
2. Press the Delete button. You will be prompted to confirm you want to delete the asset:

3. Press OK to delete the asset or click Cancel to return to the Manage Assets screen.

Alarm Limit Editor


Alarm properties are set based on a particular fluid, but you can update alarms set against a
particular asset for an individual physical property. For example, you could raise the low alarm
threshold for the amount of soot in a sample before it is flagged as an alarm.
You can set the check-boxes to select the following options for each property:
• Whether you receive no alarms

• Whether you receive alarms at the low threshold but not the high threshold
• Whether you receive alarms at the high threshold but not the low threshold
• Whether you receive alarms at both the low and high threshold
To change the alarm value,
1. Select the asset for which you want to set alarm limits, and then press the Edit button.
2. Press the Alarm Limit Editor tab:

3. Make any changes and press OK.


4. Click OK when you finish to save alarm limit settings.

Click OK when you are done otherwise your changes will not be saved.

If you make any changes and save them, if anyone resets your changes to
the factory defaults using the Reset to Factory Default Limits button, you
will be able to reload the last user-specified limits with the Reset to User
Specified Limits button.
Be aware though - your limits might not be the "last user limits" that were
saved!

5 View Results Button
You can view measurement results for fluids that were assigned to a physical asset like an
engine based on an asset identifier like a serial number.
Measurements when you are only interested in the condition of the fluid itself and not the
physical asset can be viewed by sample date.
This section provides information about the following:

View Results Screen


1. Open Fluid Manager.
2. Click the View Results button to open the View Results screen.
By default, this screen opens with the most recent 30 test results visible, regardless of whether
they are results associated with a physical asset or not:

• Blue indicates the currently selected row.
• Red rows indicate a high alarm has been exceeded; yellow rows indicate the
measurement falls between low and high warning alarms.
• Measurements sort with the most recent on top. For results displayed in the top half of
the screen, scroll to the right to see all columns.
• Results in the lower half are the alarm conditions for the selected upper row. FluidScan
results display Fluid Chemistry alarms only; Q5800 results display Fluid Chemistry plus
Viscosity and Elements.
Toggle Selection button: this switches between a single row and all rows and back again.
Delete Selected Measurements button: select row(s) to be deleted and press this button,
then confirm you want to delete the rows by pressing Yes in the dialog box. This button deletes
the corresponding records from the device, but they will remain in Fluid Manager.

Search Filters
At the top of the screen are the search filters:

• Search by all or part of the asset name.


• Search by serial number.
• Search by date or date range. The date option is for searching for results that were not
bound to a physical asset. Click the down arrows to open a calendar and press the
Refresh button.
Follow these steps to filter results by resetting the Asset Descriptors.
1. Press the down arrow in the drop-down menu in the Device field and select a device.

"System" refers to the Fluid Manager database. All other device names are
specific to the device that it synced with

This will open the descriptors associated with that device similar to this example:

For this example, suppose you want to change to a different component type.
2. Press the Reset Selected Descriptors button to clear the selections.
3. Rebuild the descriptors with a different Component Type from the drop-down menu:

Follow these steps to filter by Asset Name:
1. Click the down arrow in the Device field.
2. Either
Select the asterisk and press the Update Asset List button to display a list of all assets.
Or
Select a single Device ID and press the update button to display assets associated with
this device as in this example:

Generating Reports
Follow these steps to generate a variety of reports based on measurement results.
4. Open the Main Menu and click the View Results button.
The Reporting options are in the lower left corner of the View Results screen; they are
inactive by default:

5. Select the measurement(s) you want to report on by clicking on a row to select a specific
measurement, or shift-click to select a range of measurement rows.
6. Optional: On the Reporting tab, click the Select by Date check-box and then select your
date range using the From: and To: drop-down lists.

6 Updating Fluid Manager
C:\ProgramData\Spectro Scientific\FluidManager\Data\FluidManagerDB.sdf
contains all your measurement data.
Take care not to delete it!

1. Uninstall all previous Fluid Manager software for a clean installation. Uninstalling
software will not remove either data files or configuration settings.
2. Save the software package to a place you have access to like a folder on a computer or a
network drive or a data stick, for example.
3. Open the folder and double-click on the Setup icon.
4. Follow the prompts in the installation wizard.
5. When the update is done, click Finish.
6. If you are prompted to synchronize the Fluid Manager database with the device
database, click Yes.
