Reservations

UPDATES (as of 03/13/25)

Due to recent theft of our equipment, people reserving Gilmore 207 need to check out the keyboard and mouse in Gilmore 116 if they intend to use the technology in this room. The person in charge of the reservation is expected to pick up and drop off the equipment during our office hours (M-F 8am-12pm & 1pm-5pm) in a timely fashion. Some form of collateral may be held at the front desk (ex. OSU ID) in order to check out the equipment.

At the present time, BEE is only supporting in-house meetings in either the Annex conference room or Gilmore 207. Gilmore 116 conference room is not available to be reserved.

Reservation Instructions

We have updated our reservation system and are now using a shared Outlook calendar to manage Gilmore Hall's room reservations.

Faculty, staff, and grad students within the Biological & Ecological Engineering department will be granted access to the "GILM 207" and "GmAn 101" shared calendars. If you are a member of one of these groups and don't have access to this calendar, please contact Ally Lanz. BEE undergrad students who wish to reserve one of Gilmore Hall's spaces should email Ally with their reservation request.

Rooms and equipment available to reserve:

  • Gilmore 207 Conference Room
  • Gilmore Annex Conference Room
  • Projector
  • OWL Camera

To reserve one of Gilmore Hall's available conference rooms or equipment, follow these instructions:

1) Create an appointment/event on one of the shared calendar during the time and date the space/equipment is needed. Do not double book the space. If there is already an appointment for the room or piece of equipment you need, then please find a different time and date. It is acceptable to book a room or piece of equipment at the same time as another appointment as long as it is for a different room or piece of equipment.

2) In the appointment title, please include the room/equipment you are reserving, the subject, and the name of the person reserving. Ex: GILM207 - Staff Meeting - Ally Lanz

Reservations with incomplete information are subject to cancellation.

Room Reservation Policies

The BEE conference rooms are available to students and faculty of BEE for committee meetings, presentations, etc. They are not available for study group sessions. Please use one of the many spaces on campus for group study and collaboration. There are many available study spaces in other buildings, such as the Library, LINC, KEC and Johnson Hall.

Please return the room to the original condition and furniture arrangement after you are finished.

Faculty bookings have priority over student bookings, so students may be required to find another location if a faculty member requires the room at the same time.

Equipment

The department owns equipment that BEE/EcoE folks can borrow, free of charge.  Please note that if any item is returned damaged, then borrower may be subject to replacement cost.

These items can be picked up in Gilmore Hall, Monday through Friday, 8am-11:45am and 1pm-4:45pm. 

(students will be turned away if they come at noon or at 5pm)
