Position: Development Assistant Reports to: Director of Individual Gifts Position Summary The Development Assistant plays a pivotal

role in providing support to the 6-person Development team in all fundraising activities including stewardship, cultivation and gift processing. The Development Assistant is responsible for all administrative aspects of the development department and participates in all fundraising activities including donor relations, direct mail appeals, database management and special events. Administrative Support

Processes donations into Archtics o Inputs information into the database, including address updates, new prospect/donor information, gift information, etc. o Prepares transmittal forms for finance and provides copies to respective director. Prepares acknowledgement letters, mail merges, and other correspondence according to established guidelines. Updates donor hard files as appropriate. Orders and maintains supplies. Helps schedule meetings, appointments and secures locations including coordinating catering and transportation as needed. Handles administrative details associated with meetings (i.e. schedule meetings, prepare and distribute minutes, etc.). Creates fundraising reports and other database reports as needed. Completes check requests for special events vendors, performers, and other services as needed.

Event/Individual Giving Support


Manages a portfolio of Apollo donors under $1,000 - Apollo Insiders - including activating benefits and fielding all initial membership inquiries Work with vendors/mail houses to implement direct mail appeals to move patrons from ticket buyers to donors including identifying and qualifying new prospects
Maintains guest lists, gathers and prepares registration materials and other duties for development events. Processes ticket purchases and coordinates ticketing with Box Office Assembles program and institutional packets for events and meetings. Assists with RSVP follow up when needed. Other duties as assigned

Qualifications include: - At least two years experience in an arts organization and/or fundraising department - Strong analytical skills - Fundraising database experience essential; ticketing system familiarity helpful - Bachelors Degree; degree in arts administration is a plus - Strong proficiency in Microsoft applications (Word and Excel required) - Collaborative spirit with a strong team ethic; flexible and good sense of humor - Strong written and oral communication skills - Strong organizational skills, time management, and attention to detail
