Communications Management Plan


The Plan is to determining the methods of communication that will be
required for the project and what protocols will be utilized amongst the
project team. The plan should always be thought-out to how the manage
communication will be structured on every project. When you have a wellstructured communications management plan most of the project issues
dealing with communication will be avoided.
Management Plan:

Communication the roles of the project team

What information will be communicated

Determine how the communication to be broadcast

What is the time frame information be distributed

Who will facilitate the communication

Determine who should be receiving the information communicated


When working on larger more complex projects, the Communications
Management Plan should contain separate documents that are part of the
Project.
This plan establishes the communications process for this project. It will
become the sort of standard operating procedure for the duration of the
project and will be updated, as information changes. This plan will identify
the roles of project team members as it pertains to the communications
network. We will also have a communications matrix, which act as a
directory while providing communication protocols for this project, and any
other forms of communication. A project team directory is also included to
provide contact information for all stakeholders directly involved in the
project.
The Communications Matrix will be used as the standard or as a guide when
it comes time to communicate what information, how it will be
communicated and who will receive the communication.

The Project Manager will distribute a meeting agenda invite at least 1 week
prior to any scheduled meeting and everyone is expected to review the
agenda prior to the meeting and bring necessary updates and documents to
the meeting. All project meetings will be documented as meeting minutes
and distributed following the meeting to all participants and those who were
unable to attend. Very important during every meeting that all cell phones
are muted, to avoid any distractions during the meeting.

Project should be one of the main forms of communication during the project.
All documents related to the project should be in one of the organizations
shared drivers and adhere to established company formats. If there is an
issue, it must be determined how it is to be broadcast and to whom,
depending on the issue, it will be necessary to provide a recommendation to
correct the issue. The Project Manager should be included on all emails
pertaining to the Sales Web-Based Account Management System Project.
Risk Management Plan
Plan risk management will be the first things to look at, for instance
identify the baselines and the scope of work to be performed along with

schedule and cost. The organization will need to create project charter, which
provides a high level description of the project and requirements.
Stakeholders would be identified and the roles and responsibilities will
be defined as to who will over see which aspect of the project going forward
and provide detailed updates of those specific processes during the project
phase.

Analytical techniques are used to provide a complete understanding of the


over all risk management process giving a sort of grade to the various parts
of the process so the resources can be allocated affectively.
There are many ways to identify risk, within the project team you must
rely on all members to identify risk during the project if there is a potential
for it. The organization must rely on the subject matter experts, past
experience with similar projects, documentation from lessons learned. Create
a process of identifying risk and what is the course of action when identified.
Scheduled management plan provide insight to the project schedule and
expectations. Activity cost estimates provides a sort of identifier for the
project due to the fact that a budget was set in place in the scoping of the
project. When you start to exceed that cost this would be a trigger of risk of
insufficient funds to complete the specific activity.
Risk register is another useful tool that becomes a master document
with in put form project team members along with the stakeholders, it will
become a risk log of identified issues and actions taken during the project,
sometimes the input of end users become vital to this document also.
Risk will affect all aspects of a project, budget, schedule, and quality of
work being performed. The organization should eliminate the threats before
they happen to decrease the impact or threat. Always keep a contingency
plan in place so the organization is able to respond in a timely manner. The
responsibility also is to eliminate threats before they happen.
