Rules and Regulations for Messaging Users
• The e-mail accounts are provided to the employees by the Company primarily to assist them is carrying out the official business
communications only and not as a general privilege.
• The Company has the right to access, review, and copy or delete any message sent, received and stored on the e-mail system.
• Incidental and occasional personal use of the electronic mail may be allowed.
• Email users will be given fixed 100MB of disk quota and it will be user’s responsibility to maintain his mailbox within this limit.
• E-mail password should be memorized and kept secret and should be changed periodically. E-mail users are fully responsible
for maintaining their own passwords. By Default system will force you to change password after every 90 days, failing which will
attract penalty period of 48 hours.
• Employee owing the e-mail account is fully responsible for the content of the e- mail originated, replied and forwarded from their
account to other users outside or within the Company.
• Employee should restrict themselves from originating, forwarding personal mails, jokes, bulk mails, unsolicited broadcast mail,
chain mail or any kind of unofficial emails. For any such misuse e-mail account of any employee will be disabled without prior
notice and will attract a penalty period of minimum 7 days to maximum 3 months.
• Users should restrict themselves from sending and receiving email with attachments of more than 15MB. Users are requested to
send their attachments in zipped formats where ever possible.
• By Default access of emails from internet is restricted. If business requirement arises then user can get Internet based access
approved from his head of department with proper authorization and justification.
• Email administration team will have full authority to decide or rename the email account name and internet address in case of
any duplication or conflicts with existing users. In case of any conflicts email administration team decision will be final.
• Email account with short names or nicknames or without HOD /HR authorization will be rejected.
• Email id creation will take maximum of 24 hours generation.
I have read the adjoining above mentioned rules and regulations for messaging users and I will abide by the same. I will
be responsible for my mail box to prevent from the misuse.
