Bank transaction using a ledger account as an offset account


1.1. Bank fees, salaries, contributions, taxes, payments in advance for vendors, payment of expense reports, other transaction
General ledger menu > Journals > General journal
In the Journal window use Ctrl+N keys > select HB in the Name field > add Description > click Lines button in the right menu
In the Journal voucher window add Date > select Account type (Bank) > in Account field select Bank account
Add Transaction text > add amount in Debit field or in Credit field > add Offset account (Ledger) > add Cost centre (if necessary) > click Post in
right menu > select Post > Close window
1.2. Bank transfers
For bank transfers the Offset account is 5811000 (first and last transaction in example)
For bank accounts in EURO in General tab change the Exchange rate with the exchange rate negotiated with the bank for the transfer

1.3. Payment of VAT for customs import declaration


In the Journal voucher window add Date > select Account type (Bank) > in Account field select Bank account > add Transaction text > add amount
(VAT) in Credit field > add Offset account (Ledger) 4426200 > select General tab
In VAT menu select VAT code for 24% acquisitions 110_24
Click Post in right menu > select Post > Close window
2. Ledger transactions
2.1. Other ledger transactions (small objects of inventory given in use, provisions, accruals, VAT collected for nondeductible expenses,
correction of transaction for VAT and exchange adjustment expense and revenue accounts, income tax, legal reserve, distribution of
profit, other transactions)
General ledger menu > Journals > General journal
In the Journal window use Ctrl+N keys > select HB in the Name field > add Description > click Lines button in the right menu

In the Journal voucher window add Date > in Account field select Ledger account > add Transaction text > add amount in Debit field or in Credit
field > add Offset account (Ledger) > add Cost centre (if necessary) > click Post in right menu > select Post > Close window
2.2. Using a previous voucher for posting a ledger transaction (booking of expenses from 4710000 account, consumption of meal tickets,
accruals of meal tickets and reversal, reallocation of 22000, 23000 and 24000 cost centres, booking of payroll and salary
contributions, transfer of 5% from functional cost centres to 15000 cost centre, others)

In the Journal window use Ctrl+N keys > select HB in the Name field > add Description > click Lines button in the right menu
In the Journal voucher window DO NOT fill in any information > click Functions button in the right menu > select Load ledger transactions
In the Load ledger transactions window click the Select button
Fill in the Voucher and Date in Criteria column > click OK > In the Load ledger transactions window click the OK button
Change Date > delete unnecessary lines > change, add or delete Accounts > change amounts in Debit or Credit column
Click Post in right menu > select Post > Close window
3. Booking of petty cash transactions
General ledger menu > Journals > General journal
In the Journal window use Ctrl+N keys > select KB in the Name field > add Description > click Lines button in the right menu
In the Journal voucher window add Date > in Account field select Ledger account (5311100 or 5314100) > add Transaction text > add amount in
Debit field or in Credit field > add Offset account (Ledger) > add Cost centre (if necessary) > change Currency (EUR for petty cash in Euro) > click
Post in right menu > select Post > Close window

4. Reversal of ledger transactions


General ledger menu > Chart of accounts
In Overview tab click right on Ledger account column > Filter By Field

Type first numbers of the searched ledger account with * key at the end > OK
In Overview tab click on the ledger account > click Transactions button in right menu
In Account transactions window click on the transaction > click Reverse transaction button in right menu

The Reversal posting date is set automatically to be the same with the transaction date (change date if necessary) > click OK
5. VAT closing
General ledger menu > Journals > General journal
In the Journal window use Ctrl+N keys > select VAT in the Name field > add Description > click Lines button in the right menu

In the Journal voucher window add Date > in Account field select Ledger account (4426100 – account set as VAT account) > add Transaction text >
add amount in Credit field > add Offset account (Ledger) 4427000 or 4424000 (always use as offset account) > click General tab
In VAT menu select VAT code for VAT closing reduced rate ClosRED
In the Journal voucher window add Date > in Account field select Ledger account (4426200 – account set as VAT account) > add Transaction text >
add amount in Credit field > add Offset account (Ledger) 4427000 or 4424000 (always use as offset account) > click General tab
In VAT menu select VAT code for VAT closing Closing
Click Post in right menu > select Post > Close window
6. Closing of P&L accounts
6.1. Closing of P&L accounts (automatically)
This transaction can be used ONLY ONCE a month!!!
General ledger menu > Journals > General journal
In the Journal window use Ctrl+N keys > select INCHID in the Name field > add Description > click Lines button in the right menu

In the Journal voucher window DO NOT fill in any information > click Closing button in the right menu > select Propose transaction
In the Dialogue box fill in From date and To date > Posting date appears automatically > fill in Closing account (1210000) > fill in Cost centre
(99999) > click OK
Click Closing button in the right menu > select Post
Close the dialogue box > Close window
6.2. Closing of P&L accounts (manually)
General ledger menu > Journals > General journal
In the Journal window use Ctrl+N keys > select INCHID in the Name field > add Description > click Lines button in the right menu

In the Journal voucher window add Date > in Account field select Ledger account (1210000) > add Transaction text > add amount in Debit field or
in Credit field > add Offset account (Ledger) > add Cost centre (always 99999) > click Closing in right menu > select Post > Close window
7. Exchange adjustments
General ledger menu > Periodic > Exchange adjustments
In the Exchange adjustment window fill in Account (161000, 5124*, 5314100) > fill in Date (From and To) > fill in the Currency code > click OK

8. Transactions with fixed assets


8.1. Monthly depreciation
General ledger menu > Journals > Fixed assets
In the Journal window use Ctrl+N keys > select AN in the Name field > add Description > click Lines button in the right menu
In the Journal voucher window DO NOT fill in any information > click Proposals button in the right menu > select Depreciation proposal

In Depreciation proposal window fill in To date > click OK


ALWAYS check the transaction and the amounts > click Post in right menu > select Post > Close window
8.2. Fixed assets disposal - sale
General ledger menu > Journals > Fixed assets

In the Journal window use Ctrl+N keys > select AN in the Name field > add Description > click Lines button in the right menu
In the Journal voucher window add Date > select Transaction type (Disposal - sale) > in Account field select Fixed asset code > add Transaction
text > DO NOT fill in amount > DO NOT add Offset account (Ledger) > click Post in right menu > select Post > Close window
8.3. Fixed assets disposal - scrap
General ledger menu > Journals > Fixed assets
In the Journal window use Ctrl+N keys > select AN in the Name field > add Description > click Lines button in the right menu
In the Journal voucher window add Date > select Transaction type (Disposal - scrap) > in Account field select Fixed asset code > add Transaction
text > DO NOT fill in amount > DO NOT add Offset account (Ledger) > click Post in right menu > select Post > Close window
9. Statement 394
General ledger menu > Periodic > Romania > Declarations > Statement 394
In Statement 394 window select Statement type (Monthly) > fill in Year > select Month > click Transfer button in the right menu

Mark exclude transactions that don’t have to appear in the statement (invoices booked wrong and reversal, receipts, invoices from previous months
that will be added in the revised statement from that period)
Add new transaction (sale invoices for scrap Sales - V, sale invoices Sales - L, invoices that need to be added in the revised statement from that
period Purchase – A) > fill in Customer/Vendor, Fiscal identification number, Base amount, Tax amount, Voucher, Date, Document date, Invoice,
Number (ALWAYS 1), Year, Month
Click Export button in right menu > select XML
In Statement 394 dialogue box select Responsible (9482 – for Stojan Stojanovic) > click OK
