Company Structure:

- Business Group

Oracle General Ledger


We need to define a Ledger so we have first to configure the 4 C’s

Chart of Accounts Calendar Currency Accounting Convention ‘SLA’

1) Chart of Accounts Key FlexField


We need to go to the following Navigation path: then click enter

We need to query the Key Flex-field as per the following Information: by clicking the F11

Application: General Ledger

Flexfield Title: Accounting Flexfield


Then Click Ctl+F11

In the Structure Block we need to add new row by clicking on green icon

Write the Structure Code, Title and your description then click on Segments button
Enter the Segment Number , Name and window prompt and Select the Column Number on the
same Order Segment number 1 = column segment1

You can define up to 30 Segment but the main Segment which must be available

Balance Segment, Natural Account and Cost Center

So we have to click on Flexfield Qualifiers button

To assign the Qualifiers

The Company segment ----- segment qualifier is “Balancing Segment”

Accounts----- segment qualifier is “Natural Account Segment”


Cost Center----- segment qualifier is “Cost Center Segment


After define the segmentation, we need to define the value set for all segments

So we need to click on the Value set button

Value set Name, Value set type “list type”, Format Type and the Max size

One for Each Segment

The Company Value Set, the Accounts Value Set and the Cost Center Value Set

Then Assign these List of values to the Segments

By selecting the Value list name in front of its segment


Now after selecting the value Lists Click on Save

Allow Dynamic Insert FLAG, it is give me a dynamic inserts for the accounts combinations

And freeze your structure by selecting it, and check the check box called “Freeze Flexfield
definition” then click Ok and Save ---------this freezing to allowing you use it.
Enter Values

Go to the following Path:

If you couldn’t able to select any values, so we need to grant the ability for adding
Grand the security rule:
Log in by sysadmin user:

2- select the user function under User Management Responsibility


Search for your user’s name and click GO then Click on Update Icon

Then Click on Assign Role


And Select the Following Role: “Flexfield Value Set Security: All privileges”

Write any Information in Justification Field

Then Click on apply Button


Now we can add Values

Application: General Ledger

Title: Accounting Flexfield

Structure: YOUR STRUCTURE NAME

Segment: EACH SEGMENT SEPERATED


Enter The Value Code and Description for all segments

First Segment is Company

Same for all other Segment


For the accounts Values we need to make sure the Segment Qualifiers be assigned

(Assets, Liability, Ownership/Stockholder's Equity, Expenses and Revenue)

Then we need to define the child ranges by click on define child ranges for all Parent Values
You can check the hierarchies by Click on
2 ) Define the Currency “ Enable”

Click on F11 to find your Currency then Ctl + F11

We need to make sure that our currency is enabled


3 ) Calendar

For the normal Months and Number of Months we can select Year type as “Calendar”
Any up normal scenarios we need to select the year type as “Fiscal”
We can define our Calendar by

Click Current

Then you must check the output of this report

From View > Request then Click Find


Make sure it is Completed Normal
LEDGER

Click on Create Accounting Setup

Now Click on Create Legal Entity


Click Apply
Now Click on Green Icon to select your Legal Entity
Then click next

Now we need to define our Primary Ledger


Give it name and select the Ledger 4C’s then Click Next
It is showing the overview of your setup then Click Finish

Click the Define accounting Options to complete your configuration


Your Ledger name is InProcess

Now Click on Update Balance Segment Value to select your company value
Click on Add Balancing Segment Value

After Select you Company Value now Click on Apply

Now we need to update the Ledger Option

To view you setup and 4 C’s now Click Next


 Administration

You need to open the Sysadmin user

System administrator: Security > User > Define


To define a new user or modify

System administrator: Security > Responsibility > Define


To define a new Responsibility or modify

System administrator: Security > User > Define


To assign the Customized Responsibility

System administrator: Profile > System Using the profile option


“GL Ledger Name” to assign the Ledger name to your responsibility

- GL : Setup > Open/Close


To open the period to enter your entries
- Create Journal Categories
GL : Setup > Journal>Categories

To assign the Category as a default category


System administrator: Profile > System using the below Profile options
Journals: Default Category

New Journal Entry

GL: Journals > Enter


You can find any journal by enter the criteria and click on Find
Or
Select New Journal / New Batch
Journal

- Enter Journal Name


- Enter Journal Description
- Select your Ledger
- Select the Open
- Select the Effective date
- Select Currency
- If Foreign Currency we need to select the rate
- Then in Row Block
- You need to need the row number and the accounts and amount Dr/Cr
- Be sure the debit and credit matched “Balanced”

Batch

Click on New Batch

Enter the Batch name

Select the period name

Enter the control Total -------to control the total of the entire journals

Then Click the Journals to start entering your journals

This message telling me the total control not match with total of entire Journals
This screen for the batch showing that total of Journals entered is 21000 which not matched
with the total control

This your decision now you can update the total control

Posting

- You can click the post button which available on the Journal window or the button which
available on the batch screen
- GL: Journals > Post
Find the batch for posting by selecting the Period or Batch name then click find
Select one batch or many batches for posting and click Post

Check the Account Balance


GL : Inquiry > Account
Enter the Period name
The Currency
The Balance Type
The Account

Then Click on Show Balance


You can click Journal Details to see the original Journals of this balance
Journal Sources management

GL: Setup>Journal>Sources

To freeze the source or allow the Journal approval

Journal Wizard

Then Click Create Document.

Encumbrance Journal
To enter Encumbrance journal

GL: Setup>Journal>Encumbrances
To define new Encumbrances Type
To open the Encumbrance Period

Then click on Open next Year

Summary

GL: Setup >Accounts>Summary


First you must make sure the segment which need to be
included in summary as T,
Have the T value as parent without any child
-
Enter the Name
And select the ledger
Enter the template
D for detail
T for Total
Then select the earliest period to start
And click save

Make sure the request of addition is completed

Now you can select it from Summary Template


Suspense
To activate this option

While entering the journal if the journal not Balance


At the posting time the system will add the Suspense row.

Sequence
GL: Setup > Financials > Sequences>Document > Define

GL: Setup > Financials > Sequences>Document > Assign

System Administrator : Profile > System


" Sequential Numbering "

Reverse
GL: Setup>Journals>Autoreverse
To define new Criteria set

GL: Setup > Financials > Accounting Setup


Manager>Accounting Setup
To assign the Autoreverse Criteria Set to Ledger
System Administrator : Profile > System
GL: Launch AutoReverse After Open Period

Auto Post
GL: Setup>Journals>AutoPost

Recurring Journal

GL: Journal > Define > Recurring

Skelton-----------without amount (debit or Credit)


Standard-----------with amount (debit and Credit)
Formula
GL: Journal >Generate>Recurring

PTD------Period to date
YTD------Year to date

Mass Allocation Journal

- You must have the STAT Journal


- You must make sure the Total value available
- Create the Mass allocation Formula
GL: Journal>Define>Allocation
After save you need to validate
Currency

1- Journal Foreign Currency


GL: Setup > Currencies > Rate >Type
To define your rate type

GL: Setup > Currencies > Rate >Daily


To define the Currencies daily rates
Or Just Click on Enter by date range

Now we can test our entry


2- Translation
Just to translate you balances- it is perfect with reports
GL : Currency> Translation
So we have to enable that option to our ledger from Ledger
Option

Now you can do it by selecting the Target currency and the proper
period then click on Translate

Now you will find the new Translated Ledger


3- Revaluation
To re-evaluate the current balances
GL: Currency>Revaluation
Now the automatic journal has been created to update the rate

You can check the balance after posting the journal


4- Reporting Currency
The main benefits is seeing copy of the detailed transactions by
different currency
- Find your Ledger

- Click on update Icon

Click on update Icon on front of the Reporting Currency


Then Click on Add reporting Currency

- You must assign the new ledger to another responsibility


So I added new responsibility
Then assign this responsibility to your user name
Now we need to assign the new ledger to the new responsibility

Do not forget to open the period in the new responsibility


And assign the rate for the new ledger
Now you can enter any Journal by EGP and see it by SAR

Budget
1- Define the Budget
-

-
- Enter name and starting period to end period
- Then Click on Open Next Year
-

- Make sure completed normal

2- Define the Organization


The accounts ranges
To control the Budget
You have to enable budgetary Control
From ledger option
Repeat the step number 2 define Organization
Now after enter the range click on Budgetary control

Also you can define the Budget Control


And assign by the blow Profile Option:
Budgetary Control Group

Now enter the budget amount


Click on Create Journal
Give it name and select the category

Click on Check Fund then Ok


Click on Reserve Funds then Ok
Then Done
Make sure the journals have been created

Now find the Budget Journal for posting


And select
Then Post

You can check the budget and actual

Cross Validation

Make sure the Flag available on your Structure


Find your structure then click Ok
Give it name
Give the Error Message
Include all Values
Then Exclude only what you need

Now we are testing


Security
The List of Value must have the option of security
Then after saving you can Enable the security on Segment

Now we will define the security


Now Assign
