RE: UNIT 2 - TASK 3 – MANAGING WAREHOUSE OPERATIONS
One of the main issues in managing the warehouse in Mugla has been the control of deliveries coming
into the warehouse.
1. Can you please write a process document to show how you would control the
incoming deliveries in the new warehouse at Jumna, including who you would work
with to ensure the process works?
-In the process of receiving the incoming delivery at Jumna warehouse I need to have a
printed copy of the consignment order that will enable me to compare with the goods
delivered that are listed on the bill of lading accompanying the delivery. I have to check for
the specifications and quantities of goods delivered.
-I must carry out the quality control, inspection of all the goods delivered to determine the
condition and quality of the goods delivered and to also see so if they are as per the
requested order, I must also check out for any defects and expiry dates especially on food
and medical stuff. Goods offloaded must be recorded and taken to planned storage position
and label all locations where the goods are stored for easy access during picking and re-
packing making ready for dispatch and the stock sheet must be updated.
-To make sure quality control is achieved I must work hand and glove with the health
personal especially on receiving, inspection and control of especially the food stuff and
medical products and equipment. For the receiving process to take place I will also need
some manpower of skilled, semi-skilled and general hand personal to be part of the
receiving and working in the warehouse.
Can you present a diagram of the new warehouse and include the flow of goods plus
identify where the different items are to be stored?
-To answer the above question please find at the bottom I presented a diagram of a new
warehouse and its flow of goods.
Please note this warehouse diagram is of a U flow form with the goods flow labeled
according to the demand of the product being labeled as follows W.X.Y.Z these goods
moves in the same order of arrangement either inbound side or in the out bound side for
easy access and quick dispatch.

2. You should also describe the resources needed and the working methods that you
would use in each of the working areas, including appropriate precautions for safety.
-At this new warehouse I will need the manual labor, warehouse equipment such as
warehouse handling equipment and I will prefer the stacking method. In all the methods I
will need the Sack Trucks to help in moving especially the loose bags for such a cereals,
rice maize and other bags and goods not pelleted and Handling pallet trucks for use
especially to move goods which are pelleted and this type of resources are reliable, easy to
use and cheap both in terms of running and maintenance, efficient and flexible and they do
not occupy larger space for storage in the warehouse. I will also need materials for writing
and labeling the goods and their locations.
For the safety and security of the members of staff and good, the warehouse must be
equipped with fire extinguishers and all safety precaution written and labeled in the
language which can be understood by everyone working in at the warehouse
-I must plan accordingly my working methods to avoid confusion and improve productive
time.
On put away-Once the goods are off loaded and checked goods must be taken right away
to the planned storage area thereby decongest the receiving area and allow for smooth
work flow and managing un for seen risks which can lead to damages, injuries and
congestion. Once the goods are in the warehouse their safety must be guaranteed and
their locations recorded for easy access when needed for dispatch.
Picking-To manage any delays for the transportation of the good to the beneficiaries, I
must make sure that the activity for picking of good on dispatch list is done and organized in
time allowing quality and efficient work, I must also make sure that the two activities being
the put away and the picking are not carried out at the same this will possibly create a
congestion in the goods area causing a slow operations and possibly create unsafe working
environment which will increase health and safety risks to the warehouse staff.
Goods Dispatch- Bearing in mind that in a warehouse operation this activity is one of the
most critical activity which will see the goods delivered and received in time to the to the
place and location where the beneficiaries are in need.
Therefore the timing of goods dispatch operations must be linked to the secondary
transport schedule there is great need to have a good timing of goods picking activity since
these two activities and other activity above depend on each other. If these activities are not
properly timed there is a risk of congestion in the vehicle parking area and in the in-bound
and out-bound area especially at U-Flow warehouse.

3. How would you modify planned activity to cope with contingencies that may arise?.
I have to be innovative to make sure that planned activities are not disrupted by employing
un-usual mechanism that will promote progress even in a tight situation (for example in an
emergency situation or high demand).
In this situation bearing in mind that we are may have demands, certain procedures will be
set aside and face and deal with what is very critical and important at that particular time
this is the only time where some procedures can be a bit modified to achieve the intended
results.
I may consider the hiring of extra labour and handling equipments to cushion the demand
and
I must also consider to have at least an extra stock products of 10% of each fast moving
product that will help to attend to the un-foreseen demand that may arise.
