FORMAT FOR PREPARATION OF SUMMER INTERNSHIP REPORT

1. OBJECTIVE
A summer internship report is a documentation of the original work done by the student during
the Summer Internship tenure of 8-10 weeks. The objective of this document is to provide a set
of guidelines that help the student to prepare the report to satisfy the requirements of internship
report.

2. PAGE DIMENSION AND BINDING SPECIFICATIONS:

The dimension of the intern project report should be in A4 size. The project report should be
bound using hard cover of the thick light blue art paper.

3. PREPARATION AND FORMAT:

A. Title Page – The title of the report should be selected in such a way that it should reflect
the work carried out by the student. Therefore, student should select most appropriate
title for the work carried out during summer internship. Format of title page of the intern
report is given in Page 8.

B. Certificate – The Certificate shall be as per format given in Page 9. The content should
have one and a half line spacing using Times New Roman Font Size 14. The certificate
shall have details such as name of the student, register no, title of the summer internship
report, duration, etc. The above details should be certified by the concerned supervisor
under whom the work was carried out. Details such as name of the supervisor,
designation, place and date should be furnished at the end as per the given format. The
certificate should be printed on the letter head of the organization and signed by the
faculty guide.

C. Declaration- The student must declare that the works done by him during the SIP is
authentic. A format for the same is given in Page 10.

D. Acknowledgement- Student should acknowledge his gratitude to the supervisor,


organization and others who have helped for the successful completion of the summer
internship (one page).

E. Executive Summary– Synopsis of the work carried out during the summer internship
(200 to 300 words) should be presented under this heading. For most of the students,
internship has two parts (i) Training provided by the organization on facility/system
available during initial period of the internship and (ii) Task/problem assigned/selected
by you to solve it. In such cases, Executive Summary should include introduction to the
summer internship training undergone, type of facility /system that was explained,
purpose of it, etc. This should be followed by the information on task assigned to
you/task selected to be explained briefly along with major findings/results, discussions
and conclusions.
Font Style should be Times New Roman and Font Size 12 with one and half line space.
Make the page settings of your word processor to A4 format; with the margins: bottom
1.5 cm (0.59 in) and top 2.5 cm (0.98 in), right/left margins must be 2 cm (0.78 in).

F. Table of Contents – The table of contents should list the contents of the report. One and
a half spacing should be adopted for typing the matter under this head. A specimen copy
of the Table of Contents is given in Page 11.

G. List of Tables – The list should use exactly the same captions i.e how it appears above
the tables. One and half line spacing should be adopted for typing the matter under this
head.
H. List of Figures – The list should use exactly the same captions, i.e how it appears below
the figures. One and half line spacing should be adopted for typing the matter under this
head.

I. List of Abbreviations – One and a half line spacing should be adopted or typing the
matter under this head. Standard symbols, abbreviations etc. should be used. The sample
is presented in Page 13.

J. Chapters – The summer internship report can be submitted in two forms (i) Research
Report or (ii) Learning Report. In both the cases the first four chapters remain same.
There is a difference in the last two chapters. In case of learning report, there should be a
rich learning to justify your 8-10 weeks of learning. Text should be in Times New
Roman 12-font size with one and a half line spacing. Each chapter should start on a
new page.

CHAPTER I: INTRODUCTION

Under this chapter, student should write, briefly, about the general introductory to the
facility/system that was explained to them, its functions, need, benefits, scope of the facility to
undertake for problem solving, etc. in 2 to 4 pages (maximum).

CHAPTER II: COMPANY PROFILE

This chapter aims to give a detailed briefing about the company. It should start with industry profile
(if you are with SBI, then typically you need to present profile of Banking industry). Following
that oorganisation profile (History of the company, Vision, Mission and so on), about the
branches, the products / services offered by the company and so forth.

CHAPTER: III REVIEW OF LITERATURE

Purpose
A literature review is a collection of critical, unbiased, and comprehensive evaluation of
published information in a chosen and specific area of study of interest. It gives a general
understanding of findings of the research work, conclusions, and recommendations and thereby
brings out their strengths and weaknesses. This helps in identifying gaps, scope for further work
and generalized concepts in the existing body of knowledge. A number of sources of information
on literature can be obtained from textbooks, journals, conference proceedings, project theses,
manuals, encyclopedias, bibliographies, government publications, publications by industrial
organizations, e-databases, worldwide web (www) etc.
Under literature review chapter, student should write about the theory related to the facility/
system on which training was provided. Working principle, advantageous and limitations of the
system, applications of the system, Other types of systems available (advanced) and their merits
and demerits, etc. Technical papers/books/conference proceeding/ worldwide web should be
referred in order to write and explain about “Other types of system available and their merits
and demerits”.
At the end of the chapter, summary on the review of literature should be provided.
There should be separate sub-heading for each topic of the literature can be adapted.

NOTE: students are advised to access TSM database for peer-reviewed articles for literature

review. Minimum number of articles that should be reviewed is 10.

CHAPTER IV: …………………………………………….

Proper title should be given that must reflect your core conceptual background of your report.
This chapter will contain domain information. For ex: if your project is based on effectiveness of
performance appraisal, then typically you should be discussing in detail all the concepts relating
to performance appraisal. This chapter requires you to make use of library (text book and
journals). This chapter can have Flow chart, diagrams, data to support your statements.

CHAPTER V: RESULTS AND DISCUSSION / LEARNINGS AND
APPLICATIONS

Various procedure/ methods available to solve the task/problem undertaken should be mentioned
from the review of literature under this chapter. For this, a few technical papers and web sources
should be referred and the same should be cited in the text in appropriate place. After this,
methodology adopted to solve the task to be explained followed by procedures, flow charts,
calculations, etc to be reported. From the work carried out, the results obtained should be
provided in the form of tables and figures under this chapter and each of these should have
caption. Proper reasons and justification for the trends observed in the results should be provided
under discussion of the results. In case of learning and application, convert your learning in the
following parameters – schematic diagram, relevance to industry, relevance to society, relevance
to academics/theory, and if possible, convert the learnings in a quantitative manner for better
analytic prospects.

CHAPTER VI: SUGGESTIONS AND CONCLUSION / SUMMARY OF


REPORT

Conclusions is a broad generalization that focus on answering questions related to the internship
objectives. They are condensed pieces of information derived from the findings that
communicate the results of the study to the reader. Conclusions take the form of descriptive
statements generalizing the results, not necessarily the numbers generated by any statistical
analysis. Suggestions are generated by critical thinking. The task is one where the intern must
critically evaluate each conclusion and develop specific areas of applications for strategic or
tactical actions. Suggestions must focus on how the organization can solve the problem at hand
so as to create a competitive advantage. In case of learning-oriented report, summary should
elaborately summarize the work done by you during 8-10 weeks.

REFERENCES

Reference should start on a new page. The listing of references should be typed 4 spaces below
the heading “REFERENCES”. The reference material should be listed in the alphabetical order
of the first author in single spacing left – justified. American Psychological Association (APA)
style should be adopted to present references. Please refer APA guidelines before writing
references. This can be done with the help of reference managers such as Mendeley, End note,
Zotero, Google Scholar, etc.

APPENDICES

Appendices are a collection of supplementary material appearing at the end of a report. It


includes questionnaire / interview schedule or any developed tool to collect data.
 Appendices should be numbered using Roman numerals, e.g. Appendix I, Appendix II,
etc.
