I truly appreciate my attachment supervisors Mr.Julius Misoi, the stores department ,Mr.Elphas Bett the office
division clerk,Mr.Emmanuel kiptoo,the accounts and finance clerk who ensured necessary skills and work ethics
are equipped on me so as to perform various tasks.They took an initiative to conduct personal training on me,
valuable guidance and ensured a conducive working space at the office

My appreciation goes to the management of Kaboswa estate who gave me an opportunity to do my attachment at
the firm. I thank all the staff at the firm who were accommodative and provided assistance in various occasions
both directly and indirectly.

I also thank my parents for ensuring I have done my attachment by paying attachment fee, looking for me an
attachment place, tracking my attachment progress, spiritual and moral support during the attachment. Finally I
would like to thank everyone who took an active part to make this project be successful.

ABSTRACT

Industrial attachment is an important stage to a student in his or her academic background which is undertaken
before the final year or after the final year before graduation and cultivates professionalism, adaptive skills, work
ethics and attitude to be used in real-life.

This report is about my attachment program I undertook from 4th July to 4th September 2022 at KABOSWA estate
in fulfillment of the requirement of the Degree of Bachelor of science (Mathematics and Business Studies with
IT)at Maseno University.

In this report, I have discussed majorly about the firm and its major aspects observed, inquired and that I perceived
during my attachment period at the firm and also the firm's policies, procedures and the different departments in
detail and what they entail. Also I have discussed the firm's vision, mission, core values, its history, structure,
activities and objectives.

As an attache, my major interest in this attachment was to apply theoretical concepts to practice, cultivate
professionalism, adaptive skills and work attitudes, exposure to work environment, gain skills and experiences of
what is expected at the job market.

This report gives a picture of my achievements, skills and experience I gained, my contribution in terms of duties
and responsibilities delegated to me by my seniors, challenges I encountered and how I overcame the challenges
during my attachment period. I have also discussed strong and weak areas of my attachment.

1.0 INTRODUCTION

Industrial attachment is included in the academic calendar of students before their final year or after their final year before graduation.

It is important since it enables the student to get real-life experience they are expected to work in when they graduate and get practical
work experience in their areas of specialization as a course requirement. Students apply theoretical skills learnt in class and put them
into practice at work place where employers evaluate the skills which the students possess.

My institution, Maseno University ensures every student goes for industrial attachment after third year or after the final year before
graduation and the university ensures the students are assessed in their different places of attachment so as to track their progress
during the attachment period.t

I did my attachment at KABOSWA tea estate from 4th July to 4th September so as to acquire real-life experience expected at work
place when I graduate, to expose myself into professional world, to cultivate professionalism, adaptive skills and acquire work ethics I
require in my field.

1.1 PURPOSE

I have written this report to give a summary of my attachment place, Kaboswa estate, activities, duties and responsibilities I carried
out at the factory.

It gives an overview of skills, experience gained, objectives of the attachment, challenges I faced and how I overcame the challenges
during my attachment.

This is due to the requirement of my course in partial fulfillment of requirements for the award of Bachelor Degree in Mathematics
and Business Studies.

1.2 SCOPE AND LIMITATION

This attachment does not cover only the field I pursue but also other fields, and I got to learn about activities of different departments.

1.3 KAKUZI PLC-KABOSWA ESTATE

1.3.1 History of Kaboswa estate

Kaboswa Tea estate consist of two divisions;Septon and Kaboswa.It is a tea production company which produces green leaves and
supply it to kepchomo tea factory for processing then markets and sell it to local customers and foreign on behalf of all estates that
supplies to it including local farmers

First farms were established in 1970 and now has 28acre of tea farms in each division producing approximately 640,000 per month.

1.3.2 FUNCTIONS OF KAKUZI PLC KABOSWA ESTATE

 Production of high quality tea


 Facilitates the sale of tea at the best possible prices through BOD.
 It ensures that all policies are communicated, implemented and maintained at all the relevant levels of the organization and
reviewed periodically for continued stability

 They are responsible and accountable for the governance of the company, and is mandated to conduct the business and
operations of EPK with integrity and in accordance with generally accepted corporate governance principles.
 They recruit employees.
 They formulate annual budgets and monitoring of financial statements.
 They provide policy direction in developing strategic business plans, goals and objectives.
 They evaluate management's performance in pursuing and achieving the organization’s goals.

SENIOR MANAGER

 Carrying out study time and audits for the firm y operations and ensuring implementation as per set plan.
 Reviewing and developing estate's policies, procedures and strategies.
 He is the Group Administrator (GA)
 Deputies the divisional Managers.
 Ensures optimum utilization of resources and creation of enabling environment with view of achieving quality, safety,
production goals and objectives.

 Monitoring production in all areas and ensuring that the product produced meets set quality standards.

 Supervising and appraising staff and identifying their training needs.

1.4 DEPARTMENTS

1.4.1 ACCOUNTING DEPARTMENT

 It is headed by accountant.
 Under this department there is Clerk and Store Keeper.

Duties of an Accountant

 Revenue and expenditure performance analyzation.


 Participation of budget preparation and control.
 Analyzing cost variances, investigating their causes and preparing reports as required.
 Submitting financial data to the Headquarter as per approved procedures.
 Ensuring the cash sales at the factory are properly accounted for and remittances done as per approved procedures.

Duties of an Accountant clerk

 Participating in and ensuring sound management of stores.


 Participating in periodic stock taking.
 Maintaining of proper books of accounts.
 Preparing monthly financial and management reports.
 Preparing timely and accurate reports as required.
 Preparation of staff payroll.
 Receiving and updating invoices for payments.

Duties Store Keeper

 Keeping records of sales and restocking the store according.


 Managing and training store staff.
 Ensuring the store is kept clean and organized.
 Preparing monthly stock take and valuation.

 Raising purchase orders to relevant department managers.
 Booking all receipts if spares and or purchases through stores
 Keeping track of stock levels and ensuring all are within boundaries.

1.4.2.INFORMATION TECHNOLOGY DEPARTMENT

 It is headed by the System Administrator (SA)


Duties of SA
 Assessing the adequacy of Information Communication Technology (ICT) equipment’s in the firm
 Monitoring and coordinating all new and existing ICT projects and initiatives at the estate.
 Database management and ensuring smooth data replication between the firm and head office.
 Backing up and restoring files and critical data by performing/verifying daily backup for recoverability.
 Working with users to analyze workflow, assess information and security requirements as well as designing system infrastructure.
 Responsible for the provision of ICT infrastructure services including desktop, laptops, tablets, Electronic Tax Register (ETR)
machine

1.4.3 FIELD SERVICE DEPARTMENT

 It is headed by the Field Service Coordinator (FSC).


 Under this department there is supervisors , Drivers, Tea/Tree workers

Duties of FSC

 Responsible for direction and management of on-site field crew.


 Manages procurement process and ensures material is ordered and sent to job sites on time.
 Maintains organization of and maintenance of field service vehicles and equipments.
 Develops written reporting procedure for all field service work performed.
 Ensures accurate records of all field service calls are maintained.
 Ensures continuous availability of quality green leaf.

Duties of a divisional clerk

 Updating yield register and analysis of production.


 Employment duty as directed by Manager.
 Keeping records of important documents.
 Files and keeps employees documents.

1.5 RIGHTS AND DUTIES OF EMPLOYEES

Eastern produce of Kenya assures her employees the following rights in their work place as expressed in chapter 16A of The
Employment Act, 2007.

The provision of Part V shall constitute basic minimum and terms and conditions of contract of service between EPK and her
employee(s).

 Hours of work

Every employee is entitled to fixed working hours, Eight hours from Monday to Friday and six hours on Saturday.

 Medical attention

Employee is entitled to proper and sufficient medication during illness incase of any mishappening or accident occurs within the work
place, the firm provides medical claim facilities.

 Housing

Every employee is provided with a reasonable housing not far from work places.q

 Water

Employee is entitled to sufficient supply of wholesome of water for use at the place of employment as well as within reasonable
distance of any housing accommodation provided by the employer.

 Sick leave

Employee is entitled to sick leave with full pay.

 Maternity/Paternity leave

A female employee is entitled to three months maternity leave with full pay.

A male employee is entitled to two weeks paternity leave.

 Annual leave

Employee is entitled after twelve months of service with his employer not less than twenty-one working days of leave with full pay.

CHAPTER TWO

2.0 OBJECTIVES OF ATTACHMENT

I did my attachment since I was aware there is stiff competition in the existing job market so as to gain skills, knowledge and
experience that will enable me to be more competitive and to be better than I was before my attachment.

My objectives include;

 To apply theoretical concepts and acquired skills in school to practice and real-life problem

During my three academic years at school, the lecturers have taken us through different concepts in different units which they
examine us at the end of the semester to see if we have understood the concepts. The concepts which are useful in professional
world of different fields.
Joining the firm, I aimed at applying the concepts I was taught during lecturers to practice at my attachment place. Where I
was able to apply the concepts at different departments I was positioned.
 To cultivate professionalism, adaptive skills and work attitudes
I joined the firm with the aim of cultivate my adaptive skills by allowing myself to grow and adapt changes at work place
where I was able to work in teams, handle criticism, work attitudes where I was able to learn that the different feelings towards
aspects of work environment which include job satisfaction and organizational commitment and also with the aim to cultivate
professionalism by joining the firm I was able to know the expected skills of a professional like integrity, respect and
emotional intelligence.
 To gain exposure employment demands, responsibilities and work place challenges

I aimed to gain exposure employment demands by gaining more competence exposure at the firm and to be exposed to
responsibilities assigned at work place. I also aimed to gain exposure on work place challenges, where I encountered work challenges
and I learnt how to overcome the challenges at work place.

 To acquire new knowledge, practical skills and experience in the organizations.


I joined the firm, by working alongside with the employees in different departments I was assigned to do work and I was able
to acquire new knowledge, practical skills and experience in the organization.

 To market my profession and occupational skills

Going to attachment, I aimed at to market the skills I have and other skills I will gain during the attachment period in my
professional field so as to attract future interest in the competitive market.

 To discover, learn and familiarize with organization’s discipline.

Going to attachment, I was able to discover, learn and familiarize with the firm's discipline, where I discovered, learnt and
got familiarized to the firm's rules, regulations, standards and procedures required to observe.

2.1 MY DUTIES AND RESPONSIBILITIES AT DIVISIONAL OFFICE CLERK

When I joined kaboswa estate,I was introduced to divisional office clerk who took me through my duties and responsibilities at the
office during my attachment period.

The following are the duties and responsibilities I undertook;

 Employment procedure

Filling of interview forms.These are forms to interview people in need of work.Iy contains personal details.

I entered employee’s details e.g. Full names, date of birth, ID number and residence place in the employment register and
forms.workers employed included tea pluckers, security guards and sanitation workers.

Filling out fixed term contract after employment that shows the policies of work, payments and the end date of contract with
employee’s details.

 Data organization

I organized employees work documents and put them in files according to division.

 Keeping daily records of documents

Each day I updated daily record of yield book register which carries the the history of all the fields, production register which contains
the quantity of tea leaves in kgs of each field, standard analysis book in which production was expressed in percentage form.

Filling of task sheet, this is daily work allocation document for each sanitation workers.

 Summary analysis of monthly returns

Updating monthly summary on standard analysis book, yield book register on production.

Updating overtime cards against task sheet, this contains total overtime hours worked for purposes of making payments.

 Filling the evaluation of service provider

This is based on rainforest Alliance sustainable agriculture standards .It is filled after completion of a contract and verification
afterwards payments are made if the contract meets standards.

2.2 MY DUTIES AND RESPONSIBILITIES AT STORES

 Receing goods from suppliers

I received goods from the suppliers and counter check them with reference to the Local Purchase Order whether they are of the same
price and quality as requested.

 Issuing goods to other departments

I was issuing goods to other departments and keeping records on the same. Goods like chemicals, paints etc. that are used outside the
firm,filling out gate pass was a must to allow those goods be taken out of the gate,gate pass must be signed by the manager and
person taking those goods and also the place of use. Filling of stores issue document is done before issuing items.

 Tagging stores equipments

With the help of trainer we tagged stores equipments and arranging them neatly.

 Updating stores documents

Updating stock book

Updating bin cards which contains the total quantities of stock issued on daily basis

Updating monthly returns of stock items eg fuels

 Dipping

We used to measure the volume of the fuels on daily basis,in the morning and evening to check if the physical stock is the same as to
what is in the stock book

 Filling vehicle performance template

Which contains total hours worked by tractor per day with kgs of tea leaves transported.Its standardized that a tractor should use
2.4 hours per litre to avoid losses.

Vehicle log sheet contains all work done by each tractor, litres of fuel used.

 Reading temperature and rainfall

There was a rain gauge and a thermometer in the firm's compound that I could collect the daily temperature lol rainfall which was
used on monthly basis to identify the effects their rate on production.

2.3MY DUTIES AND RESPONSIBILITIES ACCOUNTING DEPARTMENT

The following are duties and responsibilities that I undertook;

 Stock taking, stocks accountability and maintenance


I had to do a physical stock take on the inventory, giving a summary of their quantities and doing verification, where the
physical stock take is compared with the inventory unit or quantities in the firm's computer system.
Stock maintenance, we had to keep records of changes in the inventory in the system overtime.

 Receiving and updating invoices for payments

I received invoices from both suppliers, and other estates which I updated them into purchase register for record keeping

CHAPTER THREE.

3.0 MY EVALUATION OF ATTACHMENT PERIOD

My attachment period was two months from 4th July to 3th September 2022 when I succefully completed my attachment.

3.1 KEY ACHIEVEMENTS FROM MY ATTACHMENT

During my attachment, I was able to achieve a lot as set as per my objectives and I gained skills and work experience.

The following are some of the key objectives I achieved at the factory;

 Exposure to work environment

During my attachment period, at the factory it was important where I was able to gain exposure to work environment through
being exposed to employment demands, responsibilities assigned to me and also got exposed to work challenges which employees and
employers face at the factory.

 Application of theoretical concepts in real-life


I was able to apply some of theoretical concepts I learnt in class into practice like in Intermediate Accounting I, I was able to
the theoretical concepts of the account receivable, account payable, cash flow, Taxation I, I was able to apply the theoretical

concepts part of it, the statutory deductions, communication skills and telephone etiquette plus other theoretical concepts I
learnt in my three academic years which I applied during my attachment period at the firm.
 Creation of relevant links and networks
During my attachment, the seniors and trainers assigned me to perform some tasks as a team with other employees where we
interacted with them and I gained interpersonal and collaborative skills by working as a team at the factory.

 Meeting deadlines

All the tasks I was assigned, I had to work within certain deadlines and I was able to perform my tasks within the given
deadlines so as to achieve the firm's goals and objectives.

 Development of manual skills, experience and gain of background information

My stay at Kaboswa tea estate during my attachment period gave me an opportunity to develop manual skills required at
work place. Through the tasks assigned to me, I improved my typing skills since I had to type some information given to me in the
computer and print the information. I also developed experienced and gained background information of what is expected of me at
work place.

 Development of knowledge of potential careers


During my attachment period at Kaboswa tea estate, it enabled me to obtain knowledge of potential careers through interacting
and working with different departments at the firm like stores which is under the accounting department.

3.2 CHALLENGES ENCOUNTERED

During my attachment, I encountered challenges at the the estate. Some of the challenges I encountered include;
 Distortion of Information

At times the seniors were communicating information through some employees who were to communicate the information to
us but when they were communicating to us some important information was distorted or the information was communicated
in an untrue way.

 Language barrier

During my attachment, some employees came to be served but they communicated in different language which I did not
understand and I found it a bit difficult to service them due to language barrier.

 Confidentiality of information
It is one of the most important professional ethics which one has to practice and observe as a professional.
When servicing the employees at the firm some of them forced me to tell them some of the confidential information at our
office which in my position I was not able to tell since it is confidential.
 Time inflexibility
At times there was schedule inflexibility during my attachment which interfered with the time of some of the task assigned to
me, this made me to be a bit stressed on how I could meet deadlines given to me.
 Poor communication
At times some information was not communicated formally instead the information informally through grapevine, I found it
difficult at times whether to work with the information or not.
3.3 HOW I OVERCAME THE CHALLENGES

In spite of facing the challenges during my attachment period at the fiim, I got ways to

overcome the challenges while working . The ways include,

 Ensured I got communication from appropriate sources

This enabled me to avoid getting untrue information through distortion of information and getting confused on what
information to work on which was communicated.

 Requesting use of appropriate language

I communicated to the seniors to request the employees to communicate in an appropriate language which I understand and
able to serve them easily and as quick as possible without delays.
 Further consultation
I consulted from my trainers on what information to disclose to employees since some information was confidential so as to
avoid reactions from some employees.
 Temperamental control
I controlled my temper when it came to some employees who reacted to what I communicated to them that I was not in the
position to disclose confidential information.
 Work overtime
Meeting deadlines of the tasks I had been assigned made me to work overtime due to schedule inflexibility at times at the firm
since the schedule inflexibility interfered with the time I was to perform the tasks assigned to me.

3.4 SKILLS ACQUIRED

A skill is proficiency gained in carrying out tasks/acquired technical knowledge in doing work.

 Writing skills

By being given assignments for writing invoices, purchase books and contracts forms through my trainer's guidance and
writing my logbook enabled me to perfect my writing skills hence gave me an opportunity to increase on the writing skills.

 Analytical skills

This involved the ability to perform tasks with keenness through posting of monthly returns and invoices, since I had to
analyze the codes of different expense in the invoices.

 Communication skills
Different communication skills helped me to be positive and interact more with the employees and my trainers in the firm.
During lectures in class in the course units for Communication Skills and Business Communication Skills, I was taught more

on how to handle and communicate to people in a diplomatic and firm way hence the attachment helped me a lot increase the
skills. Attachment gave me an opportunity to improve on communication process especially giving feedback because I had to
give my trainers feedback on different tasks assigned to me.
 Typing skills

I used to type some information often; through this I improved my speed in typing so as to meet deadlines hence widening
experience and improving my typing skills.

 Listening skills
During my attachment, I had an opportunity to put into practice what I studied in Business Communication Skills. This greatly
improved my ability to listen carefully and understand what was communicated divisional managers, employees and visitors.

Interpersonal skills
During my attachment, I attracted with the firms's staff, supporting staff and various people where I learnt how to associate
with different social classes thus improving the interpersonal skills.

4.0 SUMMARY, CONCLUSION AND RECOMMENDATION

4.1 SUMMARY

Kakuzi plc -Kaboswa estate continues to offer more students place of attachment. It is known for its good work of imparting skills to
attaches hence making them marketable in the competitive job market which demands for prerequisite skills and experience for
employment.

I was privileged to have an opportunity to do my attachment at the division clerk's department, accounts department and stores
department.

My attachment period at the firm was successful where I developed as a person in various ways not just professionally, my skills
improved like interpersonal skills where I improved on how to interact with different social classes at the firm, my communication
skills improved especially the feedback process, writing skills and listening skills improved.

I was able to cultivate professionalism, adaptive skills and work attitudes, able to know the expected skills of a professional, I allowed
myself to grow and adapt changes at work place where I was able to work in teams and handle criticism. Work attitudes where I learnt
different feelings towards like job satisfaction and organizational commitment.

I was able to achieve objectives of the attachment, exposure to work environment, application of theoretical concepts in real-life,
meeting deadlines, creation of relevant links in the industry and development of manual skills, experience and gain of background
information at work place.

I faced some challenges during my attachment period but I got how to overcome the challenges so as to ensure a peaceful stay at the
factory.

4.2 CONCLUSION

The industrial attachment program was an excellent opportunity for me to get to the ground level and experience the things that I
would have never gained through going straight into a job. I am appreciative to Maseno University for giving us this wonderful
opportunity.

The objective of industrial attachment is to provide opportunity to undergraduates to identify, observe and practice how different
fields of specialization of their courses are applicable in the real industry. It is not only to get experience on technical practices but
also to observe management practices and to interact with fellow workers.

I got the maximum out of that experience. I learnt the way of work at the firm, the importance of being punctual, importance of
maximum commitment and the importance of team spirit. I gained a lot knowledge and experience needed to be successfulbin near
future.

In conclusion, I would recommend KABOSWA ESTATE management and staffs for being good ambassadors for EPK for the quality
trainings and services they offer to attaches during the attachment program to gain skills and experiences expected at work place.

Employees at the estate get adequate support, guidance and motivation. The supervisors and managers of each division work together
as a team with the employees under them so as to achieve the organization’s goals and objectives.

I can conclude that the estate provided a suitable environment for me to display my skills and acquire necessary skills for my future
career.

4.3 RECOMMENDATION

During my attachment at the firm, I was assigned different tasks at the account's office where I noted there was poor communication
between the suppliers and the account's department due to delay of payments which made the suppliers to visit the account's office to
follow up on their payments.

I would recommend the firm to ensure there is proper communication between suppliers and the account's department employees so to
avoid a lot of complains from the suppliers due to delay of payments and not to lose trust and loyalty from the suppliers.

Due to a lot application for attachment by attaches across all the branches of EPK, more facilities should be allocated to ensure enough
space for the attaches to acquire necessary skills and gain experience of what is expected at work place.
