INTRODUCTION:
Rotation plan or duty roster is generally something we talk about in terms of the workplace.
But wherever tasks and situations need scheduling, using a rotation system may be prudent.
When ward -in-charge want to manage the time of her staff better or want to divide tasks
between workforce. Whatever the reason, a rotation plan can be a time-saving device that
allows to allocate important or mundane tasks with ease. It is required to manage the time of
the staff better or to divide tasks between the workforce. But setting up a roster can be tricky.
And ensuring it includes everything it needs to be efficient is difficult.
DEFINITION:
A list or plan showing turns of duty or leave for individuals or groups in an organization.
Rotation plan is a systematic representation of available nurses’ distribution round the clock
for various shift in the hospital in order to render a qualitative patient care.
A rotation plan is a way to divide time into various tasks. These can then be allocated to
individuals. It often takes the form of a calendar-like table, which is split into days of the
week and individual times on the two axis. In charge can then slot tasks into the individual
timings this creates.
IMPORTANCE OF A ROTATION PLAN:
There are a few reasons for creating a rotation plan:

PRINCIPLES IN PLANNING CLINICAL DUTY ROTATION PLAN:
• Duty roster plan must be accordance total curriculum
• There should be one well prepared instructor in her field.
• Selection of area should precede simple to complex.
• Each student must be provided experience in each block
• 1 styear student posted where they get maximum supervision.
• Over-crowding of different group should be avoided.

TYPES OF ROTATION PLAN:
Workplace duty rosters come in a variety of different formats.
1. Paper-based system : If In-charge need a simple rotation plan that governs only a few
tasks and individuals , a paper-based system might suffice.
2. Spreadsheet : If the rotation plan is more in-depth or needs changing often, then a
spreadsheet is useful.
3. Tabular Rotation plan : Microsoft Excel is a great program for creating rotation
plan because of its tabular format.
4. Rotation plan software : If the rotation plan is for a large business that juggles lots of
tasks, then dedicated rotation plan software is available.
There are many software applications available for creating duty rosters. Some are free and
others cost a one-off fee or a monthly subscription. The one used will depend on the needs of
the individual. The general benefits of duty roster software are:
✓ It makes setting up a rotation plan incredibly easy and will include templates for many tasks.
✓ Changing a rotation plan is as easy as moving a task around.
✓ It will store individuals’ details, making it easier to attach them to tasks.
✓ Some electronic duty rosters are cloud-based, allowing access them from anywhere.
CAUSES AND CONSEQUENCES OF POOR ROTATION PROCESSES:

NEED OF STUDENT IN CLINICAL AREA:

o To develop knowledge and skill in human relation.

Analysis of how the days are used for making a duty roster:
Days in the year – 365 days
Days off /week – 52 weeks
Casual leave - 14 days
Privilege/ Earned leave - 30 days
Public Holiday - 21 days
Total nonworking = 117 days
Sick leave = 10 days
Total = 127 days
Total working days = (365-127) days = 238 days
Average absence on account of sickness among nursing staff is 14 days/yr.
Example: Suppose one female surgical ward is having 63 patients, nurse-patient ratio is 1:3;
calculate the nursing staffs in that ward.
As the no. of patient is 63, and ratio is 1:3, so total nursing staffs are required 21.
1 nurse= 238 working days per year
21 nurses = 238×21=4998 days/year
To complete the roster nurse available per day= 4998/365= 13.69 or 14 in round figure.
And 33% will be in leave reserve that means 6.9 or 7 in round figure
If 14 nurse in each week and 8 hours per day, they may be assigned as follows:
• Day shift= 46%= 6 As the ratio is 46:30:25.
• Evening=30%= 5
• Night=25%=3
This will show the following ratio of nurse—
✓ Morning shift= 6 nurse in 63 patients= 1:11
✓ Evening shift =5 nurse in 63 patient =1:13
✓ Night shift =3 nurse in 63 patient =1:21
From the average amount of time available per patient within 24 hours period may be completed as
follows:
• Morning shift ratio is 1:11
Minutes available =1×8×60 =480 minutes/11=43 min 38 sec (approx).
• Evening shift ratio is 1:13
Minutes available =1×8×60 =480 minutes/13=37 min 12 sec(approx).
• Night shift ratio is 1:21
Minutes available is 1×8×60=480 minutes/21=23min 15 sec (approx).
Time available per patient in 24 hours period =43 min38 sec +37 min 12 sec +23 min 15 sec=1
hr 03 min 65 sec.

In addition to the 10% reserve as per existent rules, 45% posts may be added for offs also where
services are provided for 365 days in a year
Conclusion:
Human resource management via an effective rotation plan is about more than just listing the
working hours of each employee. Done properly, rotation plan can be vital for scheduling
how people operate within the organization.
Creating an effective rotation plan may seem challenging at first. Ensuring the right types of
skills required to fit proper roles for the right shift can be daunting, especially once we take
workplace health and safety into account as well as the availability of employees (which
employees are on leave) at any given moment.
