Hotel Availability Options

Options can be added to the hotel availability display to restrict the search to those options
chosen. Options can be added in any order to the end of the availability entry.

/RT- Room type (number of people)

/FC- Currency (the default is local)

/SR- Special rate code WKD=weekend, RAC=standard,


PRO=promotional, TVL=travel agent,
COR=corporate, FAM=family, ROH=run of
house, STP=stopover package, PKG=package,
GOV=government, MIL=military

/HN- Hotel name


/HN-*P Hotel name starting with specified letter

/AR- Area A = Airport, D = Downtown, R = Resort, N = North of city,


E = East of city, S = South of city, W = West of city

/CO- Chain code (for multiple chains, separate each with -)

Flexible Location Search


You can now search for a hotel by location name using the entry /LOC-. The options
available depend on whether or not the search is within a geo coded city/country (for
a full list of geo-coded countries use the entry HE DRP.610 from the help pages).

Geo-coded country/city search options include Landmarks, place names or hotel


property names whereas for non geo-coded country/cities the only option available is
by place name.

It is now possible to display availability and book more than 1 room at a time at properties of
approximately 160 hotel chains using the /NR- entry. For a list of the chain codes enter
GGHTLSPEC then GPMRB.

Closed to Sale Hotels

Hotel Availability searches will only return properties which have rooms open for sale. Hotels
which are fully booked or who have closed out the rooms for sale will not appear. It is possible
though to include hotels which have been closed for sale in your search using the /ST-ALL
entry.

for the date requested. Add the /ST-ALL entry as prompted to check if

True Rate Range

When you make a multi-property availability request with multiple rate codes using the /SR-
entry, 1 rate range only is returned which contains both the special rates plus all public rates.

Points of Reference

A point of reference (POR) is a building, monument, or any other type of landmark


considered important enough to be used as a criterion when searching for and booking
hotels. Each point of reference is assigned to a category according to its nature. For
example: an airport, a university, a sports stadium, or a tourist attraction.

You can search for hotels that are less than a certain distance from the point of reference. If
you know the name of the point of reference but not the city, you can use the state or country
in your search, even if you only know part of the name.

Room codes consist of 3 characters: room type, number of beds and bed type,

The second character represents the number of beds in the room (an asterisk indicates that

Where the information in the display comes directly from the provider‟s system (access levels
! and +), the codes may differ from the standard ones listed above. For more information,
check the hotel pricing page or the hotel chain‟s own GG page – GGHTLxx (where xx is the

Hotel Pricing

A hotel pricing display provides detailed information about a specific room rate. You can
request a hotel pricing display from a single-property hotel availability display. The pricing
information is broken down into categories, each of which is assigned a key letter.

Hotel Features

Hotel features displays give information about a hotel, such as the address and telephone
number, features, policies, and services. The features are broken down into categories,
each of which is assigned a key letter.

HFx Display hotel features from multi property display (where x is

Hotel Modifications

You can modify or cancel a hotel segment provided that:

 The guest has not already checked in (for example, you cannot add an extra night to
an existing booking after the guest has arrived).

 The segment is not a past-date segment. Hotel segments are defined as 'past' when
the check in date is the day before yesterday or earlier.

The word 'past' is placed after the check out date in the hotel segment, which remains
on the face of the PNR. The number of services remains in the segment. For
example:

Note: if you ignore a pnr after you have changed hotel segments, the changes are ignored
and the segments are restored to how they were at the last end of transaction.

Critical and Non-Critical Options

Before making any changes, be aware that a change may result in the segment being
cancelled and rebooked. There are two types of option; critical and non-critical. The following
applies for companies with complete access (/) or complete access plus (+):

 Critical options: when you enter a critical option, Amadeus tries to book a new
segment. If the new request is accepted, the old segment is cancelled. If the new
request is rejected, the old segment is retained.

 Non-Critical options: these add information to an existing reservation - they modify,


but do not rebook the segment.

Which options are critical and non-critical varies from company to company. To see which
options are "critical" for a company, enter: HEHOTELxx (where xx is the company code)

The following options cannot be modified for hotel complete access plus (+) chains: /RO-,
/SR-, and /RT-.

When cancelling a hotel segment, the hotel will return a cancellation reference which will
appear as a remark (RM) in the PNR. Once the PNR has been saved, the hotel segment will
be moved to the PNR history but the remark will stay in the face of the PNR.

Hotels Plus
Amadeus Hotels Plus is a web-based graphical hotel reservation tool. It can be accessed by
clicking on the Hotels Plus tab in Selling Platform.

Hotels Plus provides arrows at the top of the screen showing the steps of the hotel booking
and where you are in the booking process.

Clicking on F1 at any time will take you to the online Help pages for Hotels Plus.

Search

Use the search page to specify the location of the hotel, dates of stay and any other search
criteria.

You can use one of three options:

 City or Airport

 Address or Landmark

 Property

Search by City or Airport

Yellow boxes are mandatory. In the city or airport tab, start to type in the name. Once you
have typed 3 letters, you will see a list of cities and airports beginning with those letters.
Continue typing until your location is displayed then click on its name. Alternatively, arrow
down until your location is highlighted then press enter. Fill in the check in date and either
the check out date or number of nights. For more search options, click on „more search

entered the required information, click Search.

Start to type in the destination. Once you have typed in three letters, a list of addresses and
registered landmarks beginning with these letters is displayed. Continue typing until the
location you want is displayed then click on its name. Alternatively, arrow down until your
location is highlighted then press enter. If the location you want is not displayed
automatically, continue typing until you have entered the full address. Fill in any additional
search criteria and click on Search.

Note – if the destination is geo-coded, the results will be displayed in the Map View tab. If
the destination is not geo-coded, the search will revert to the nearest IATA location and will

Hotels

The hotels page displays a list of hotels that match your search criteria and have rooms
available for the dates that you requested.

Three views are provided:

 Listing view, giving you all relevant information in a condensed view

 Detailed view, providing photos and other more detailed information

 Map view, allowing you to display hotels on a map or aerial photo. This view is only
available for geo-coded countries.

Listing View

This displays a condensed list of hotels that meet your search criteria. For each hotel,
information is displayed, including hotel name, distance from the city centre and icons
indicating the main facilities.

Show more results

To reduce response time, a certain number of hotels that match your search criteria will be
displayed first, while the search for more hotels continues in the background.

As soon as the More Hotels button on the left-hand side of the screen becomes available,
you can click on it to add more hotels to the list.

Detailed View

This displays each hotel with photo, facility and rate information. You can click on a hotel
name to display the most detailed information on the hotel, including real-time room and rate
availability. All the information you find in the single hotel display is provided by the hotel
itself.

Summary tab
Provides an overview of the hotel‟s services and facilities.

Hotel Details tab


Provides comprehensive information about location, category, extra charges, check in and
check out policies, guarantee conditions, facilities, rooms, etc.

Photos tab
View the hotel‟s photo gallery (only available if provided by the hotel).
Location and Map tab
Shows the hotel on a map and provides information on distances to airport and tourist
attractions (only available for geo-coded countries).

Rooms and Rates tab


Displays real-time information for rooms and rates. From here, you can check the conditions
for each rate and book a room. A message will inform you if no rooms are available on the
requested dates. The amount of pricing information displayed in the hotel conditions
depends on the provider.

Map View

This displays all hotels in the results list on a map. This tab is only available for geo-coded
countries. If you want to book a room from this view, click on a hotel name in the hotel list to
check for availability.

The map view provides the following options:

Road Map view – displays the hotels on a normal road map. This is the default view.

Aerial view – displays an aerial photograph of the location

Bird’s eye view – displays the hotels in 3D aerial photographs. This button is only enabled
if the necessary data is available for your location.

Compare hotels

From any of the 3 views, you can choose a selection of hotels to provide a comparison for
your customer. Just tick your chosen hotels then click Compare on the right-hand side of the
screen. A screen will display showing the hotels side-by-side for direct comparison. This
screen can be printed or e-mailed to the customer.

Booking a hotel

From the Listing or Detailed view, click on the View Rates or Check Rates link for the hotel
you wish to book. The first three rates returned by the hotel are displayed. Click on More
Rates to display all available rates.

From the Map view, click on a hotel name to open the Single Hotel Details then click on the
Rooms and Rates tab.

Click on Conditions below the estimated price to display the terms and conditions that apply
to a rate. Click on Book alongside the room and rate that you want to book.

Traveller information

When you have booked a room, the Traveller page is automatically displayed. If traveller
information is already in the PNR, the related fields are automatically filled in.

Enter the main traveller details along with any optional information such as frequent guest
number and preferences. Click on Go to Payment to display the Payment page.

Payment

The Payment page details your hotel and rate information. If the room type requires a
guarantee or deposit, enter all the necessary information. When completed, click on Send
Reservation Request.

showing all the details of the hotel booking.

Confirming the PNR

A PNR is created containing the hotel segment. A name element is also added if it was not
already there before you started the hotel booking. Your booking will only be fully confirmed
once the PNR has been completed and saved. You can do this in either the PNR module
(graphic) or the command page.

To complete the PNR in the command page

Go to the command page and enter the remaining mandatory PNR elements. Save the PNR
using either ET or ER to confirm the hotel reservation.

Note. When you have booked the hotel in Hotels Plus but not yet ended the Amadeus PNR,
if you wish to cancel the hotel segment, it is recommended that you use the XE entry ie XE2
then IG the PNR.

To complete the PNR in the PNR module (graphic)

Go to the PNR module. Enter the remaining mandatory elements and save the PNR using
either the save changes and redisplay or save changes and remove options.

Before you modify a confirmed hotel reservation, read the hotel‟s conditions to check if any
penalties apply. Modifications must be made through the PNR. Retrieve the PNR in the
PNR module and double-click on the segment to display the modification window. Make the

Options can be added to the car availability display to restrict the search to those options
chosen. Options can be added in any order to the end of the availability entry.

/ARR- Arrival time or arrival and return time (separated by - )

/BS- Add booking source information (IATA or TIDS) to view any


special rates agreed between your office and the provider)

The car rate features display contains features that are related to a particular rate. These
include a breakdown of the estimated total price, surcharges, tax information, insurance
coverage, vehicle type information and advance booking information. This display is
available for car providers in complete access plus. The information comes directly from the
car provider‟s central reservations system.

Car Modifications

You can add, modify or delete any fields in a car segment except the booking status.

You can make the following changes to a car booking:

Use a new option to add a new field

Use a previous option to modify an existing field

Use a previous option to delete a field and its contents

Some options cause the booking to be cancelled, while others merely change the booking
without forcing a rebooking: which options cause a rebook varies between providers.

Note: if you ignore a PNR after you have changed the car segment, the changes are ignored

Car e-Vouchers

A car e-voucher is a value document issued by the travel agent for the customer. The e-
voucher is used as a full-payment or partial payment method for a car rental. A car e-voucher
is issued only upon the approval of the respective car provider.

Cars Plus
Amadeus Cars Plus is a web-based graphical car reservation tool. It can be accessed by
clicking on the Cars Plus tab in Selling Platform.

Cars Plus

Arrows at the top of the screen represent the consecutive steps of a car booking and show
you at any time where you are in the booking process.

Clicking on F1 at any time will take you to the online Help pages for Cars Plus.

Search

Use the search page to enter details for your car availability search including pick up and
drop off location, dates and car rental provider.

You can use one of three options:

 City or Airport

 Address or Landmark

 Rental Station

Find Car Providers close to an Airport or City

Yellow boxes are mandatory. In the city or airport tab, start to type in the name. Once you
have typed 3 letters, you will see a list of cities and airports beginning with those letters.
Continue typing until your location is displayed then click on its name. Alternatively, arrow
down until your location is highlighted then press enter. Fill in the pick-up and drop-off
locations and dates. For more search options, Click on „more search options‟ at the bottom

of the screen to complete any additional criteria. Once you have entered the required
information, click Search.

Note. If you enter a location that is not found, you cannot use this search option. Use the
Address or Landmark option instead. If you only want to search in a specific area, select an

Find Car Providers close to an Address, Landmark or Non-IATA Location

Start to enter a full address, landmark name or city or airport name. As you type a list of
addresses and landmarks beginning with the letters you type in is displayed. Continue typing
until your address is displayed then click on its name or press enter. Alternatively, arrow
down until your location is highlighted then press enter. Enter the radius around the selected

address or landmark within which you want to search for car rental stations.

Note. This search will only find geo-coded rental stations. This may limit your search results
as some car providers have not yet geo-coded all their stations.

The Station Locator window opens, showing all car rental stations associated to the selected
location, both in a list and on a map. Select the rental station from the list or map then click
on Choose Station to save the selection and return to the search page.

Repeat or Modify a Previous Search

Each time you search, your search criteria are automatically stored in the Select Search list.
To repeat previous searches, open the Select Search drop-down list and select a search
from the Favourite Searches or Last Searches list. Click on Search or modify the criteria. To
mark a search as a favourite, select it and click on the star icon. To start a new search using
different criteria, click on the Reset button on the search page. All fields will be cleared.

Cars

The Cars page shows a list of car rental offers that match your search criteria. From here
you can use one of three different displays to select and book a car:

 Listing view, giving you detailed information matching your search criteria. For each
offer, detailed information is displayed, including provider information, car details and
price.

 Category view, giving you search results listed by car category (such as economy,
compact etc).

 Map view, giving you a road map, aerial or bird‟s eye view of the rental station
location.

This displays the offer with the lowest estimated total price for each provider.

the car rental stations shown in green to the list of search results.

This displays the search results in a table that shows the rates of the car rental providers for

The cheapest offer for each car category is shown with a green flag. To see more car
categories, click on the arrow icons at the top.

To display more information on car providers and policies, click on the logo or the address
link of a car provider.

To check rate rules, rate details and policies, click on a Conditions link.

To book a car from this display, select a rate and click on Book.

Map View

This displays a map or aerial view showing the car rental stations. This tab is only available
if at least one geo-coded car rental station is found at the selected location.

On the right, a list of all car rental stations and their best rates is shown. To display more
information on car provider and policies, click on the logo or the address link of the provider.
To check the rate rules, rate details and policies, click on a Conditions link.

To book a car from this display, click on Book next to the rate you want to book.

If no traveller details are present, enter the title, last name and first name. If travellers are
already present in the PNR, select one from the list.

Request special equipment if required. Enter up to 3 equipment names or codes separated

Payment

Entering payment details for a Corporate (non-prepaid) Rate

You only need to fill in payment details in the Payment page if you collect the payment or if a
guarantee is required.

If your agency collects the payment, select the form of payment. This information is sent to
you agency‟s mid or back-office system.

If a guarantee is required (check the Rate Conditions), select the guarantee type. This
information is sent to the car provider.

Fill in any other fields required. For help about a specific field, hover over the field to see a
tooltip.

Click on Send Reservation Request.

When the booking has been confirmed, the Confirmation page is displayed, showing the car
provider‟s confirmation number.

To confirm the car reservation, you now need to enter all required PNR elements then save
the PNR.

Entering payment details for a Leisure (prepaid) Rate

For Leisure Rates, you need to specify the form of payment:

If your agency collects the payment or guarantee, select Yes and select the form of payment.
This information is sent to your agency‟s mid or back-office system.

If the car provider collects the payment or guarantee, select No and fill in the customer‟s
credit card details. This information is sent to the car provider.

Fill in any other fields if required.

Click on Confirm.

Issuing an e-Voucher during Payment

Note: E-Vouchers can only be issued with non-prepaid rates.

From the Payment page complete the Form of Payment and other fields as necessary.

Specify either a Booking Source or Billing Number for the car provider.

Complete by entering the Voucher Value.

Tick the box to confirm and issue e-Voucher. Click on Send Reservation Request

Note: Before confirming the e-voucher you must ensure the PNR can be end transacted by
checking that all the mandatory elements in the PNR are complete.

When the booking is successful, the Confirmation page is displayed, showing the car
provider's confirmation number along with the PNR Record Locator. A summary for the e-
voucher is also displayed.

If for any reason the e-Voucher issuance is unsuccessful, you can issue at a later point (see

Confirming the PNR

When you have successfully completed a car reservation, a car element is added to the
PNR.

If you created a new traveller during the car booking, a name element is also added to the
PNR. Your booking will only be fully confirmed once the PNR has been completed and
saved. You can do this in either the PNR module (graphic) or the command page.

To complete the PNR in the command page

Go to the command page and enter the remaining mandatory PNR elements. Save the PNR
using either ET or ER to confirm the reservation.

Note. When you have booked the car in Cars Plus but not yet ended the Amadeus PNR, if
you wish to cancel the car segment, it is recommended that you use the XE entry ie XE2
then IG the PNR.

To complete the PNR in the PNR module (graphic)

Go to the PNR module. Enter the remaining mandatory elements and save the PNR using
either the save changes and redisplay or save changes and remove option.

Car Modifications

Before you modify a confirmed car reservation, read the conditions to check if any penalties
apply. Modifications must be made through the PNR. Retrieve the PNR in the PNR module
and double-click on the segment to display the modification window. Make the modifications
required and click on Modify.

Car e-Vouchers

A car e-voucher is a value document issued by the travel agent for the customer. The e-
voucher is used as a full-payment or partial payment method for a car rental. A car e-voucher
is issued only upon the approval of the respective car provider.

e-Vouchers are market and provider specific and are currently supported by 8 providers:

Europcar
Hertz
Sixt
Avis
National
Alamo
Atesa
Budget

You can issue an e-Voucher from the Command page or through the Ticket and Documents
tab

Issue an e-Voucher from the Command Page

CVD/S3 Display a car voucher for segment 3 of the PNR

CVP/S3/ET Issue an e-Voucher for segment 3 of the PNR

CVP/S3/ET/P1 Reissue an e-Voucher for segment 3 of the PNR (must be


passenger related)

Once the e-Voucher is issued, an Amadeus sequence number (/CK-) and an electronic
voucher number (/EVN-) will be added to the car segment.

Issue and e-Voucher through the Ticket and Documents tab

Click on the Ticket and Documents tab and select the Car e-Voucher check box in the
Issuing tab. Fill in the fields as required. Click on Issue.

voucher number (/EVN-) will be added to the car segment.
