CMAC Huancayo provides financial products and services in different modalities to individuals,
micro and small businesses, allowing it to position itself as one of the main microfinance
institutions and is a leader in two regions of the country. Among the products and services it
provides are:
CMAC Huancayo has a main office, located at Calle Real N°341- 343 – Huancayo. Its expansion
vision has continued year after year. In 2019, 15 agencies were opened, which by October 2020
reached 174 agencies, so in 2021, 180 agencies were reached, located in the 25 regions of Peru,
which is distributed as follows:
The problem found in the logistics area is the cost of printing documents in some processes, so
there is a proposal to integrate a file manager to better optimize the costs of the resources used
and reduce warehouse rentals, which will help users to be more efficient when searching for
documentation.

In the graph you can see the current problem, which is the cost, where the areas involved
in the problem are the contracting area, infrastructure and maintenance area, and
heritage and warehouse area, where the contracting area is concerned about costs and
profitability in the digitalization of documentation, which is made up of cost optimization,
software transfer, user satisfaction, user adaptation, and legal value in documents, at the
same time the infrastructure and maintenance area is concerned about costs, which are
made up of warehouse, a lot of time is spent searching for documents, and finally we
have the heritage and warehouse area, which is also concerned about having good
logistics for goods.

responsibilities in our organization through our operational excellence, we are
committed to meeting the needs of our users.

The concern is the cost generated in the processes of the logistics department has the
objectives of establishing a framework of activities and responsibilities where it is composed
of a framework that must be oriented to the user, then there is the objective of increasing
profitability where it is made up of a restriction that the conditions that exist must be at least
5%, the objective of reducing the costs of storing documentation is made up of a restriction
that the cost must be below the budget.

When implementing a file manager, there is a testing process, user training processes, and a
logistics process. When expanding the digital documentation network, there must also be a
logistics process and a documentation review process.

The documentation review process begins with the event that the user area presents its
requirement where the process of receiving the requirement destined for the logistics
manager begins, then a charge is issued and delivered to the person in charge at the same
time the date the charge is delivered is recorded then the logistics manager forwards the
requirement to the person in charge (assistant or auxiliary) the requirement is printed then
the person assigned to the requirement must see that it meets all the established
requirements in order to proceed with the quote where all the suppliers in that area are
evaluated then it is awarded to the supplier that meets all the terms of reference and has the
lowest cost, it continues with the order of the contract, the contract is sent to the logistics
manager or administrative manager so that he can sign it, then the contract is sent to the
supplier and to the user area for follow-up and finally the user area must issue us a charge at
the same time the documentation review process has the requirements service that is in
charge of an auxiliary or assistant.

The documentation review process begins with the event that the user area presents its

the person assigned to the requirement must see that all the established requirements are
met and the requirements already established in the module must be reviewed in order to
proceed with the quote where all the suppliers of that item are evaluated then it is awarded
to the supplier that meets all the terms of reference and has the lowest cost, the order of the
contract is continued, the processes of sending the contract to the logistics manager or
administrative manager are eliminated so that they can sign, sending the contract to the
supplier and to the user area for follow-up and the user area must issue us a charge, they are
replaced by the processes of evaluating the contract by the manager or head of logistics
where it will be signed electronically, then the contract will be sent to the supplier and the
user area for follow-up by email and finally it will be closed with the process that the user
area must issue us a digital charge with an electronic signature, at the same time the
documentation review process has the requirements service that is in charge of an assistant
or auxiliary.

In the processes of issuing the digital charge, evaluating the contract by the manager or head of
logistics and signing electronically and the user area must issue us a digital charge with an
electronic signature, they are made up of the electronic signature service that is associated with
the electronic signature software and in the process of sending the contract to the supplier and to
the user area for follow-up through email, where it is made up of the storage software, the
organization's website allows us to send it to the organization's users.

The duplicate data process is integrated by the filing system and is associated with the
management of stored data, which continues with the storage service by sending it to the cloud,
which is linked to the storage software. The event has an interface to update the data every 2
years. The risk management device is specialized in the digital signature service, including the
storage software, and finally, there is the industrial communication network, which is integrated
with the software. The messaging service and the claims service in the organization are made up
of the organization's website.
Through the above presentation of the business architectures, information systems and
technology, we have been able to improve the documentation review processes, since they
presented us with a problem which is the cost that it brings us to print documents in some
processes, therefore the proposal is to integrate a filing cabinet manager in order to have a
greater cost optimization of the resources that are used and reduce warehouse rental, where it
will help users to be more efficient in the search for documentation, where we presented our idea
to the head of logistics to see if he agreed with the solution of the problem where it is going to be
migrated. Where process improvements are:
Process of issuing a charge, the improvement is that this issued charge will be sent digitally with
an electronic signature so that it has the same validity as the physical one, in the process of
printing the requirement it will be improved with the new process of sending the requirement
through the institutional email of the organization to the person in charge, in the process of
delivering the contract to the head of logistics or the manager to be able to sign, in the process it
was proposed that the person in charge can sign electronically and thus send it to the user or
supplier area.

In the migration planning figure it is seen that the digitization project program is first made up
of an event that the system is approved, then it continues with the program that must support
the implementation where it is made up of the file manager deliverable that is part of the
digitalization application, this manager is at the same time associated with ensuring that the
network must be the most optimal for our processes where it is made up of the electronic
signature software deliverable, the storage software forming part of the application transition
of the file manager and in the program for integrating the communications network in the
organization is made up of the organization's website deliverable forming part of the transition
of services in the contracting area, in phase 0 that the cost and phase 1 which is the application
of digitalization are associated with each other by the gap of increasing profitability in phase 1
and phase 2 which is the application of the file manager are associated by the gap of improving

CONCLUSIONS
● Regarding the structure that was developed, there will be an improvement in
efficiency and management in the area of contracting, once the strategy of
implementing technological processes that was proposed has been applied, which
will help reduce operating costs in the area.
● In conclusion, it can be seen how important the business architecture is in the
scope of the organization that is going to be analyzed, since the work shows us
detailed information about how the processes of the area are currently and how
the processes will be in the future when migrating to improved processes.
