Management Functions (G.M)

Management involves achieving organizational goals through planning, organizing, leading, and controlling resources, particularly in a hospital setting. Each function is essential: planning sets goals and strategies, organizing allocates resources and tasks, leading motivates employees, and controlling monitors progress towards goals. Additionally, effective management requires a balance of conceptual, human, and technical skills to ensure quality patient care and compliance.

#The Definition of Management

Management is the attainment of organizational goals in an effective and efficient manner through
planning, organizing, leading and controlling organizational resources. This means getting things
done through other people with responsibility, passion and understanding.

Let me discuss about these four functions with the background application of a hospital.

#Planning

Planning is the process of setting goals, determining the actions or strategies needed to achieve
those goals, and organizing resources and tasks to implement those strategies.

Planning provides a structured framework for decision-making, ensuring that choices align with
organizational goals. The first step I would perform is to define the hospital’s mission, vision, and
strategic goals, considering factors like patient care, financial stability, and community needs. Then,
develop comprehensive operational plans, including staffing, resource allocation, and patient care
protocols. Preparing for contingencies such as epidemics or natural disasters is a must. Planning
helps our organization to set clear goals and objectives, enabling efficient resource allocation and
task prioritization.

#Organizing

Organizing involves assigning tasks, grouping tasks into departments, delegating authority and
allocating resources across the organization. The first step of organizing is to establish clear
organizational structures that include efficient departments units. Then ensure proper allocation of
resources, such as healthcare professionals, equipment, and funding to different departments and
areas for patient care support. Organizing allows for flexibility and adaptability, ensuring that
organization can adjust its structure and resources as needed.

#Leading

Leading is the use of influence to motivate employees to achieve organizational goals.

First, let me foster a positive organizational culture that focused on patient safety, quality care, and
employee satisfaction. Then I will provide a strong leadership by setting a good example, motivating
staff, and promoting teamwork. I will eventually address conflicts, challenges, and personnel issues
fairly to maintain a harmonious work environment.

Leading can inspire a commitment to quality among employees, fostering a culture of continuous
improvement.

#Controlling

Controlling means monitoring employees’ activities, determining whether the organization is on

target towards its goals and making correction, as necessary.

As an administrator, I must monitor hospital performance by regularly reviewing key metrics like
patient outcomes, financial indicators, and employee productivity. Using the internet and other
information technology to coordinate and monitor virtually every aspect of operations.

By applying these management functions effectively, you can ensure that the hospital operates
efficiently, delivers high-quality patient care, and remains financially viable while adapting to the
evolving healthcare landscape.
A manager’s job is complex and multidimensional and requires a range of skills. As a manager,
applying conceptual skills, human skills, and technical skills is crucial for effective leadership. As from
a hospital administrator’s perspective, I would provide a few application tips of each skill with a
background information of a hospital.

#Conceptual Skill

This is the cognitive ability to see the organization as a whole system and the relationship among its
parts. First, I will make strategic planning to develop a long-term vision for the hospital's growth and
success. Identify emerging healthcare trends, anticipate changes in patient demographics, and set
strategic goals accordingly. Then, allocate resources, including budgets, personnel, and technology,
based on a comprehensive understanding of the hospital’s mission and strategic objectives.

#Human Skills

This is the manager’s ability to work with and through other people and to work effectively as a
group member. This allows subordinates to express themselves without fear , encourage
participation and shows appreciation for employees' effort. As a manager, I would build and lead a
collaborative healthcare team by fostering a culture of trust, respect, and effective communication. I
will utilize strong interpersonal skills to address conflicts among staff members. Performing strong
customer engagement is a must, so I will interact with patients and their families to understand their
needs and concerns.

#Technical Skills

Technical skill is the understanding of proficiency in the performance of specific tasks.

As technical skill performance, I will stay well-versed in healthcare regulations, compliance

requirements, and accreditation standards to ensure the hospital’s operations to legal and ethical
standards. I will need to understand and oversee the implementation and maintenance of
healthcare information systems, including electronic health records (EHRs) and patient management
software.

As a conclusion, If I were a hospital administrator , balancing these skills effectively will help me a lot
to lead my healthcare institution toward success by providing quality patient care, maintaining
compliance, and achieving strategic goals.
