PROBLEM WITH THE CURRENT
SYSTEM
1.Data Security and Privacy Risks
Risk of Breaches: Customer data (e.g., personal
details, payment information, creative projects)
can be vulnerable to hacking or unauthorized
access.
2.Data Organization and Management
Cluttered Records: Without proper systems,
records may become disorganized, making it
difficult to locate information.
Duplicate or Inaccurate Data: Poor data entry
practices can lead to the same type of data being
duplicated and outdated information.
4 Customer Expectations
Confidentiality: Clients in creative industries often
expect a high level of confidentiality about their
projects. Any slip-up can damage the studio’s
reputation.
Accuracy: Customers expect records (e.g., past
sessions, billing) to be accurate, and mistakes
can lead to disputes.
Solutions
1. Ensure Data Security and Privacy
Access Controls: Set role-based access so
employees can only access the data relevant to
their responsibilities.
Two-Factor Authentication, adding an extra
layer of security to access the accounts.
Regular Backups, creating automatic data
backups and restore regularly.
2.Organize Data Effectively
Use the same formats for data entry, such as
naming conventions for files.
Using unique tags or categories in your digital
tools to quickly find records.
Review and delete outdated or duplicate records
to prevent cluttering documents and having
double of the records in one file.
3. Store Physical and Digital Backups
Digitize Physical Records: Scan contracts,
invoices, and session notes to minimize
reliance on physical storage.
Offsite Backup: Store backups in secure offsite
locations or use cloud storage for redundancy.
Disaster Recovery Plan: Develop a plan to
restore data in case of physical damage or
cyberattacks.
4.Customer Expectations
