MyLearning is now fully integrated in BV’s HRIS “SuccessFactors”, to enhance
your learning experience and to offer you a wider range of online courses.

The catalogue of online, webinars and in-class trainings will regularly be


enriched for your own development and career progression.

In this guide, you will learn the key features that will help you navigating into
this new learning managing system, including:
- Access to MyLearning/SF from PC & Mobile
- Search for courses or register to a class
- Launch & complete courses
- Complete surveys (training feedback)
- View recommendations and links
- Create collections
- Report and assign training (for Managers & HR Business Partners)

D E F I N I T I O N S A N D V O C A B U L A RY
DEFINITIONS & VOCABULARY
Item: An item is an entity that can be assigned and tracked. This can be a course, document, assessment, video, and so
on. It may be learning or non-learning, online or in-person, optional or required, one-time or recurring.

Online Content: Online learning refers to the electronic access of asynchronous training such as an eLearning course,
video, an online quiz/exam, or a document. SAP SuccessFactors Learning includes Content Storage and Hosting as well
as optimized Content Distribution via the Akamai Content Delivery Network

In Class Training: Classes are instances of a course that are scheduled to start and end a specific time and have
resources such as instructors, classrooms, and equipment.

Blended Courses: Blended courses are when a portion of the course is instructor-led and live, but another portion is
online and on-demand.

MyLearning Assignment/Learning Plan: The learning plan is a list of the items that a user must complete, and target
or deadline completion dates for each.

Learning History: This tile opens the Completed Work which allows users to view a list of history records and sort of
search particular records by title or date. Clicking a title displays more information about each history record.

Surveys: Surveys are a type of assessment that asks users to observe and record their experiences with training.
DEFINITIONS & VOCABULARY
Curriculum: A curriculum is a collection of Learning Objects (LOs) that function as a unified learning experience within
a system. A curriculum may include instructor-led training courses, online courses, assessments, materials, or even
administrator-defined actions or optional free form items. Upon creation, a curriculum serves as a single learning
experience for users to locate and request, managers to assign and validate, and administrators to monitor and report.

Programs: Combine learning activities to create a schedule of learning. The schedule of learning is controlled by the
program's agenda, which functions like an academic syllabus. The content can be internal learning items, or they can
be external content.

Collections: A group or curation of external links and SuccessFactors LMS online items presented in a list format.
Collections can be created by Administrators or Learners and recommended or added to a library.

Personalized Recommendations: Personalized Learning Recommendations, powered by Machine Learning


capabilities, enable users to find relevant courses from their learning libraries without the need to search through the
library. Users, administrators, and the LMS can make recommendations to learners.

Reporting: Reporting allows for the comprehensive collection of data on user engagement in learning courses,
completion, and assignments.

ACCESS TO SUCCESSFACTORS (SF)

To log in to SuccessFactors, type the URL into your


browser and press Enter or click Go.

URL https://performancemanager5.successfactors.eu/

1. Enter your Username and password.


2. Click Next to log in.
SUCCESSFACTORS MOBILE APP
SuccessFactors Mobile Learning offers your employees, using their mobile devices, the flexibility to learn
anytime, anywhere.
Steps to download SF mobile application:

1.Go to the SuccessFactors desktop application and log in.


2.Select the dropdown menu (in the upper right corner of the screen by your profile photo) and select Options.
3.In the Options screen, select Mobile.
4.The Mobile screen offers two ways to activate your SuccessFactors Mobile app.
• Email-Based Activation
• QR Code Activation

Email-Based Activation

User must follow below Steps for email-based Activation:


1.The user receives an email with a request to activate the application from their mobile device.
2.The user opens the email on their device and clicks the activation link. The application is launched on
the mobile device.
3.A login screen is displayed, and the user enters their username and password to activate the application. If
successful, the Mobile App is activated.

QR Code Activation

Steps:
1.The first time you launch the SuccessFactors Mobile app, the app will
access your mobile device's camera when you tap on the Log In with QR
Code link.
2.Use the camera on your mobile device to scan the displayed QR code. This
QR code is called the company-wide QR code because every employee who
accesses this Log in screen can use this QR code to activate
the SuccessFactors Mobile app.
3.Enter your username and password to log in to the desktop application. If
successful, the Mobile App is activated.

Note: The code will expire in 30 seconds. To generate a new code, click the Get New Code button.

Navigation to MyLearning
1. To access, go to the main page and select the "MyLearning" tile from the Quick Actions section.
Or
Click on Home Menu and then click on MyLearning option.
2. You can now access your learning assignments, find learning opportunities, view your learning history, and more.

For You Today

The ”For You Today” section shows you other actions you need to complete and other content that's relevant to you.
Like approvals, many tasks in the For You Today section are also items on your to-do list, and they also appear on the
to-do panel. When you complete an action, it disappears in both places.
User can choose Remind Me Tomorrow to dismiss both to-do actions and informational cards for 24 hours.

The Home page also shows task notifications, which


are indicated by a checkmark symbol at the top of each
page.

The icon shows the number of pending to-do items you


have.

User can select the icon on any page to open a to-do


panel on the side of the page.

The to-do panel shows you all of your to-do items and
allows you to take action from any page, without
navigating back to the home page.

Surveys

Surveys gather feedback that helps determine the effectiveness of training. Upon completion of a learning
event, the system can automatically assign you a survey to complete:

• An item evaluation to collect feedback


related to user satisfaction (immediate
reaction)

• A follow-up evaluation to provide input on


how the user has applied learning on the
job (behaviour change as a result of
learning)

1. From the MyLearning Assignments tile, filter show only Surveys.
2. Select Start Survey to launch the survey.

1. Surveys in the LMS consist of a set of
questions. Administrators can group
related questions into a pool using an
objective. Complete by selecting the
appropriate response for each question.
2. Select Add Comments to add additional
information to your response.
3. Click Save and Close to leave the survey
and return at a later time.
4. Continue to click Next Page to answer
additional questions if available. When
you have completed the questions, click
Submit.

MYLEARNING ASSIGNMENT
The Learning Home page is starting point for navigating learning. Tiles provide quick access to learning information and
activities personalized to self and user’s role.

MyLearning Assignments
The MyLearning Assignments tile displays your assigned Learning activities. You can view your assignments and related
details, launch training, and register for offerings. It provides a consolidated view of courses requiring action.
MYLEARNING ASSIGNMENT
Search Options
A user can access content by searching for it by name and filtering on MyLearning Assignment- Required,
Online course, programs, surveys, and curriculum.

Click on filter, a row of fields will display. The user can enter a keyword and select the course type or
assignment type.
MYLEARNING ASSIGNMENT
MyLearning Assignments displays item titles, item numbers, priority, and when each item is due.

Sort by Due Date

1. Overdue: Overdue training is where the due date has


passed, and the training status is not set
to Completed.

2. Due within a Month: This section displays all


trainings with deadlines within a month.

3. Due Later: This section will show all Training with a


due date that is more than one month in the future.

4. Due Anytime: This section will display all trainings


that have no set due date.
MYLEARNING ASSIGNMENT
Assignment Types

1. The Assignment type tab help you


prioritize and find learning
assignments in your assignments list
by using the Sort By and Filter
options.

2. This tab shows all the trainings that


are required/Mandatory or optional.

3. To view the available trainings, click


Required or Optional.
MYLEARNING ASSIGNMENT ACTIONS
Each learning activity is listed with a call-to-action button and status update. You can show/hide information, view
the course start date and location for enrolment.

Actions include:

Register Now: Register for an item that has


been assigned to you in a scheduled offering.

Request Approval: Initiate an approval request via


an automated workflow.

Start Course: You can start online courses at any


time by clicking Start Course in My Assignments tile.
When you finish the course, the system
automatically records your completion in the History
tile.

Remove Course: If a course has been self-
assigned, the user can remove it from the
MyLearning Assignment at any time.

Hide From Learning Plan: The option


"Hide From Learning Plan" can be used to
hide a course from the learning plan. Once
a User has used the option to Hide courses
from the Learning Plan, the course is no
long visible on their learning plan under My
Assignment tile.
Only the courses assigned via Curricula will
have the option to Hide Courses from the
Learning Plan.
EMAILS NOTIFICATION
MyLearning/SF generates email notifications to inform recipients about an action that they
need to take, or about an event which occurred. User will get email Notification for Item
assignment, Due, Expiration/Overdue.

EMAILS NOTIFICATION
Learning Plan Email Notification:The learning plan notification automatic process sends
notifications to users when an item from the user’s learning plan is added, removed, or
modified, and to managers when a learning event is recorded for one of their direct reports.

Learning Expiration Email Notification: The automatic process sends email reminders to users
so that they do not miss any training that is assigned.

Learning Overdue Notification:The learning overdue automatic process sends notifications
when it finds an item or curriculum for a user has Overdue trainings and are not completed
within certain period (Before Required Date).
Note: Incase of Training overdue, employee as well as Manager will receive email notification.
FIND LEARNING
When a user visits his or her learning page in SuccessFactors, they will see a tile inquiring
what they want to study today.

A user can search/browse trainings by:

Browse by Catalog Search
The Learning Catalogue is used to browse, search, launch a course, and enrol in learning activities. Courses can be
Instructor led training, online training, or an event that has a blend of online and instruction. Browse by Topics allows
you to narrow your search by topic category. You may also enter keywords related to the topic of the course, title, or
other relevant information in the Search field.

Language
It also allows users to search across two languages (primary/secondary). Select on the preferred language from the
dropdown option and click on OK. Click on the Language to switch between the language collections of training activities.

Refine Search
Refine by allows you to add further filters to your search criteria. Filters available on the left-hand side of the screen will
allow a user to whittle down the list based on certain criteria (Category, Subject Area, Delivery Method, etc.). For
classroom-based courses, users can select to view Items within their own Region, which will only display scheduled
offerings in facilities/locations that are located within the same region as the user.

OFFER BY CATEGORY
While browsing the Library, one of the various ways a employees may filter (or "drill down") on content is through
categories. Subject areas provide the greatest flexibility to an organization for classifying their trainings into different
groups.
Steps to search by Category:

• Click on the offer by Category.


• From the category dropdown menu, choose Subject.
E.g., Human Resources, Environment and Health & Safety, Finance and so on.
• All topics for the chosen subject area will be displayed.

Calendar Search
The calendar displays what Instructor Led Training (ILT) is available on each day. The ILT scheduled offerings (sessions) are
grouped and displayed by their subject area. Click the subject area link to view the scheduled offerings and register to
your preferred selection.

1. Select the Course Calendar link to access the course calendar view.

displayed by their subject area. Click the subject area link to view the scheduled offerings and register to your preferred selection.
2. Click Month and/or Year to select specific month and/or year.
3. Click a date to display the day view of the calendar.
4. Select a Scheduled Offering to view more details.
5. Use the filters to filter items in the calendar that match search criteria.

NOTE: This is the latest version of the calendar view which can be enabled in the System Configuration.
LINKS

The Links tile provides access to additional screens and


functionality such as Add to Learning History, Approvals,
Options and Settings, and Reports.

Click the down arrow in the tile to see the full list at any
time.
SETTING USERS' LEARNING LOCALE PREFERENCES
In SuccessFactors Learning, locale preferences determine how the system displays
information to the user in the context of Learning: what language, currency, time zone,
and data patterns the user prefers.

To change the language, follow below steps:


1. In the MyLearning click on Links tile
2. Options and settings
3. Select a Locale and Time Zone
4. Click "Select"
5. Open the popup
6.Search for the desired locale
7. Click "Select" on the locale
8. Click "Apply Changes".
LEARNING HISTORY
The Learning History tile provides you with access to your completed training history.
1. Click on View All.
2. This will redirect to the page which will show you the list of all the Completed
Courses. It will show course with the completion date. You can sort from the
earliest to oldest.
3. User can also filter by date of completion
4. Click on the action to download the certificate for the completed course.

REGISTERING INTO A CLASS
1. The user can search the item at the Library (the user will be able to access the class only if the class
has an option to self- register).

4. Once the registration is confirmed, the item
should be displayed in the user's Learning Plan as

Important Notes:

•Users cannot self-enroll into Items / Classes unless


the Item and Class belong to a Library that the user
has access to. Please note Classes can only be added
to Libraries that the Item belongs to.

•This includes Direct Links to the Classes: the user will


not be able to access it in order to self-enroll if the
class is not part of a library the user can access
RECOMMENDATIONS
Personalized recommendations enables users to find relevant courses from their learning libraries without the need to
search through the library. A user can be recommended any course that is accessible in the library, including Open
Content Network courses. Those courses will not be recommended to the user which are already on the user’s learning
plan, or have been bookmarked by users, or have already been completed by the user.

1. Open the course/training you want to recommend


from your training library
2. Click the Recommended tab and add user full name.
3. Click Recommended to continue.

4 Decide if you would like this collection to be visible to other

Managers/HRBPs
Managers and HRBPs will have access the “My Team” tab. On the My Team screen,
a manager may:

• Click the name of one of the direct report users and view their Learning Plan
• Click the arrow next to a direct report who is also a manager and see the users
who report to them and view their Learning Plans
• Browse the library and assign or recommend learning to direct reports
• View the curricula of each user and their status
• Use the Manager Links for:
• Assign/Remove Learning
• Add to Learning History
• Register/Withdraw Employees
• Approvals
• Organization Chart Reports

The specific links and tiles that managers see depend on their user role.
ADDITIONAL FEATURES
Managers/HRBP use Learning to manage their own learning and the Home feature to manage their team's learning.

1. My Employees Tab
My Employees tab manages the learning activities of
direct and indirect reports.

• Managers/HRBP use My Employees to access their


learning activities and their direct and indirect
reports' learning activities.
• The Learning Plan displays the items that the
employee is required to complete, either on a one-
time or recurring basis.
• All items shown are ones that the employee has
not yet successfully completed.

Use Find Learning to assign learning to team.

3. My Employees
Displays a list of your direct reports and the status of their learning items. My Employees tile displays a current view of
your team's learning status. Click on the chart to access the My Employees tab.
4. Supervisor Notifications
Supervisor Actions and notifications are listed at the top of the supervisor's MyLearning Assignments. Click the
notification to view the action required.

5. Links
As a Manager, you may use the Links tile to review Approvals for your
team, Record Learning events for team members, and run Reports on
your team.
• Review pending Approvals submitted by direct reports.

Step by Step Team Member Actions

Hover your mouse over a name in the Hierarchy menu to take


these actions:

1. Select Add to learning History to enter learning events into


the employee's learning history.
2. Select Assign Learning to search the catalogue and assign
learning to an employee.
3. Select Register Employee to register an employee for a
course.

4. Select Reports to run reports on data such as learning

history, learning needs (items currently on the learning plan),

and curriculum status for the employee.

5. Select Send message to send training specific message to

user via outlook.

6. Select Options & Settings to view notification and time

settings for the employee.


REPORT
Reporting is accessible via links on the Home Page. Reporting list a variety of reports by category, which can be used for
compliance and audit history by the employee. Users, who are not also managers or a Human Resource Business Partners
(HRBPs), may only run report on their own history or assignment.

1. Click Reports from the Links panel of your MyLearning page.


2. View the list of available reports on the Reports screen.
3. Click the expand icon to see additional reports in each report group.
4. Click the report name to select a report and display the run reports screen.
REPORT

Each report page allows you to customize


the following:

1. Customize the report layout by entering


the report title, header and footer, etc.
2. Once the layout and criteria are defined,
click Run Report. A new window opens
with the resulting information about the
employee.
