WORD PROCESSING
●​ Definition: Refers to the creation, editing, formatting, and printing of documents using a
computer program.

Examples of Word Processing Software:


●​ Wordpad
●​ MS Word
●​ Lotus Word Pro
●​ Notepad
●​ Word Perfect (Windows only)
●​ Apple Works (Mac only)
●​ Word Pages
●​ Open Office Writer

Word Processing Terminology


1.​ Alignment: Refers to the way text is arranged in the document between margins
(organized).
○​ Types of Alignments:
■​ Left aligned: Ctrl + L
■​ Right aligned: Ctrl + R
■​ Center: Ctrl + E
■​ Justified: Ctrl + J
2.​ Application: Another word for a software program (set of instructions/program).
3.​ Auto Correct: Is used to correct typed and misspelled words.
4.​ Clipboard: Is a temporary holding area or a hidden storage area.
○​ The computer uses for any item that has been:
■​ Copied (original existing item)
■​ Cut (original existing item)
5.​ Copying: Creates a duplicate in a new location in the document (or even in another
document).
○​ When an item is copied, it is stored temporarily on the clipboard waiting to be
pasted elsewhere.
6.​ Cursor/Insertion Point:
○​ It indicates where data/document entered area.
○​ The cursor is also known as the insertion point.
○​ Is a flashing, vertical bar on the screen with an up arrow on a picture that indicates
where entered text or objects will be placed in the document.
7.​ Cutting: Is used to move text or objects in a document.
○​ Cutting takes an existing item in a document, removes it from its current location,
and stores it on the clipboard.
8.​ Header: An area that appears at the top of every page in a document.
○​ It includes: Date, Page number, Address, Fax no., Phone no., P.O. box.
○​ One common use of the header is to include information about the document (such
as the title) on every page in the document.
9.​ Footer: An area that appears at the bottom of every page in a document that can contain
one or more lines of text.
○​ One common use of the footer is to insert the current page number on every page
in the document.
○​ Is at the bottom of the document.
10.​Document:
○​ Is the file that is created using a word processor.
○​ Documents can contain many different types of items, such as:
■​ Text
■​ Images
■​ Tables
■​ Charts
■​ Borders and
■​ Clipart
11.​Editing: Is the process of making changes or corrections in a document.
12.​Font:
○​ Is a set of letters or numbers of one particular typeface.
○​ It includes:
■​ Type/Typeface
■​ Size
■​ Font color
■​ Emphasis
13.​Formatting:
○​ Is the process of changing the appearance of the document.
○​ Involves specifying how the document will look in its final form on the screen and
when printed.
○​ Common formatting options include:
■​ Font (Typeface)
■​ Size
■​ Bulleting and numbering
■​ Font size
■​ Digital image
■​ Color
■​ Alignment
■​ Spacing
■​ Margins and other properties.
14.​Highlighting/Selecting:
○​ The first step to making a change to that item.
○​ When an item is highlighted (or selected) the next action (whether it be formatting,
deleting, copying, or cutting) will apply.
15.​Indent: The space between the margin of the page and the text.
16.​Line Spacing: The amount of white space between lines of text in a paragraph.
○​ Types of Line Spacing:
■​ Single spaced (Ctrl + 1)
■​ Double spaced (Ctrl + 2)
■​ 1.5 spaced (Ctrl + 5)
17.​Margin: The white space between the edge of the page and where the text or other items
can be placed in your document.
○​ Margin settings can be adjusted to include more/less space around the edge of the
page and - Left, Right, Top, and Bottom margins can be changed independently of
one another.
18.​Menu Bar: Appears at the top of the word processing application window.
○​ Includes:
■​ Edit

19.​Page Orientation:
○​ Portrait: By default, the height of the page is greater than the width.
○​ Landscape: Has a greater width than height (the page is turned on its side).

●​ F3: Insert an Auto Text entry (if one is selected).
●​ F4: Repeat the last action (similar to Ctrl + Y). Open the Find and Replace dialogue box
with the find tab active.
●​ F5: Refresh page or document.
●​ F6: Switch between the documents (task pane and status bar).
●​ F7: Open the spelling and grammar checker.
●​ F8: Extend the selection; pressing F8 again extends the selection further.
●​ F9: Update selected fields (e.g., updating a table of contents).
●​ F10: Activate the Menu Bar (Shift + F10 opens context menus).
●​ F11: Move to the next field in a form.
○​ Full screen mode in browsers.
●​ F12: Open the "Save as" dialogue box.

Modifier Keys
●​ Shift key: Is used for capitalizing letters and accessing secondary functions of keys.
