B. WEEKLY REPORT & MONTHLY REPORT
• A weekly report typically is meant to convey the status of a project. A weekly report
can also pertain to an individual or team of employees. Such reports are typically
written by a team or project manager for review by his superiors.

images to be used in public media or as examples of project expertise in upcoming proposals.
• Review all text and graphics in the document to make sure the information is accurate, clear, complete and relevant, revising as
necessary.
• Photographic records of the project can be invaluable and their cost is small relative to their worth. The following list shows the
type of photographs that can prove useful:
I. Photographs before any work is undertaken:
- the site generally (e.g picture views)
- Any buildings to be demolished
- The condition of any adjacent building liable to be affected by the works
Ii. Monthly progress photographs of the work during construction:
- Photos of technical matters which need to recording.
- Photo to illustrate any problem that occurred on site and which needs to be reported to the engineer for comment or advice.
- Photo of the completed works, particularly after rubbish has been cleared away.
• It is essential that all prints are marked on the back indicating the job, the feature shown, date taken, and the negative
references.

D. SITE MEETING MINUTES
• Status review meetings are used to exchange and analyze information about stakeholder engagement.
• project meetings designed to develop an understanding of major project stakeholders, and they can be used to exchange
and analyze information about roles, interests, knowledge, and the overall position of each stakeholder facing the project.
• Site meetings are an important part of the successful management of construction projects. Regular site meetings between
the different stakeholders on a project can help facilitate better communication and a shared sense of purpose making it
more likely that the project is completed successfully. Project failures are often attributed to inadequate management,
with a key factor being a lack of proper communication.
• Meetings should be regular and formerly scheduled, perhaps on a weekly or monthly basis depending on the parties
involved, although the size and complexity of the project may necessitate a more regular schedule. They are used as a
means of reporting progress, enabling discussion of any problems or issues, and allowing the proposal of solutions. They
provide a good opportunity for two-way discussions of any issues that have arisen or that are anticipated.
• Meetings should be held with experts and the project team to define the required engagement levels of all stakeholders.
This information can be used to prepare the stakeholder management plan.
• Holding meetings on site enables the stakeholders to see progress for themselves (rather than relying on a report for
another party), and to look at problem areas, discuss quality issues, assess mock-ups, and so on.
• Meeting minutes should be prepared, with a requirement that any disagreement with the items recorded in the minutes is
raised within a pre-defined period (perhaps one week). Progress meetings may also result in the preparation of a
construction progress report for the client.
Meeting minutes, or mom (for minutes of meeting) can be defined as the written record of everything
that's happened during a meeting. They're used to inform people who didn't attend the meeting about
what happened, or to keep track of what was decided during the meeting so that you can revisit it and
use it to inform future decisions. But it is important to capture the essence of the meeting, including
details such as:
• decisions made (motions made, votes, etc.)
• next steps planned
• identification and tracking of action items
Minutes are a tangible record of the meeting for its participants and a source of information for
members who were unable to attend. In some cases, meeting minutes can act as a reference point, for
example:
• when a meeting’s outcomes impact other collaborative activities or projects within the organization
• minutes can serve to notify (or remind) individuals of tasks assigned to them and/or timelines
Meeting minutes are written notes used to inform meeting attendees and non-
attendees about what was discussed and what happened during a meeting.
Meeting minutes are an especially powerful tool because they ensure that both site
and head office meetings are actionable and remembered.
Construction meeting minutes are more useful when they are categorized
according to how your companies, teams and projects work:
• Admin
• Safety
• Quality
• Commercial/contractual
• Procurement etc.
And when you can easily organize and find them when you need them. This
construction site meeting minutes template comes pre-built with the framework
and structure you need to properly record and organize meeting minutes so that
they are helpful and actionable:
• Date and venue selector
• Attendees and apologies
• Admin minutes table; safety minutes; quality minutes; program minutes; design
minutes; enviro minutes; commercial minutes and traffic management minutes
