STUDENT IDENTIFICATION MONITORING SYSTEM
I. EXECUTIVE SUMMARY
In many institutions and organizations particularly schools, monitoring of
students is a very important factor specially in identifying every individual
coming in and out of the school every day. School is considered as a second
home. Students, teachers, employees spent most of the time in school. Crimes
increase everyday as the school is one of the places where most of the crimes
occurred. This happens because schools do not put much effort about the
security. Most schools feel that they are secured by just employing and putting
security guard in the main entrance. Security is at risk because in many cases
outsiders who were not students or enrolled in the school bypasses guards and
personnel assigned, and manages to make way of going inside the school. In
other cases, even other students don’t follow regulations and policies like
wearing proper uniforms and I.D.’s upon entering and they can also enter the
school without wearing it or sometimes if they forget to bring their own I.D.
card, they try to borrow other student’s identification card.
II. PROJECT BACKGROUND
NATURE OF THE COMPANY
Quezon Center for Research and Studies or QCRS-IM is an institute recognized
and certified by the Commission on Higher Education (CHED) that provides a
scholarship to well-deserved students and is offering a night class for those working
students that want to pursue their college degree. It is one of the members of QCRB
group of companies. They offer a degree on Bachelor of Science in Business
Administration with different majors. If you want to finish your college degree in three
years’ time, then they got what you want because they have a trimester in one school
year.
They also offer business tracks for senior high students that want to pursue their business
degree in college.
OBJECTIVES
1. To make a school policy with fairness and avoid bias among students.
2. To ensure the legitimacy of students using identification card embedded with a
barcode technology.
3. Sending of SMS to notify student’s parent about their children arrival/departure in
school.
4. To verify the exact count of visitors entering school.
5. Displays the information of the student such as Student Photo, Student Name,
Student ID, Student Course, and Time/Date of Entrance and Exit through swiping
of their ID into the barcode scanner terminal.
6. Update and validate if the students are enrolled during the semester.
7. Monitor the arrival/departure of every student enrolled in the particular semester
or school year.
8. Controlled door lock gate terminal to control the flow of entrance and exit of the
students and visitors.
9. Display any violations made by a student.
10. Generates report for students and visitors information pertaining to their entrance
and exit activity.
DESCRIPTION OF THE CURRENT SYSTEM
The security management of QCRS-IM makes use of traditional method in monitoring
the entrance and exit of every students and visitors that goes in this institution. They
check each students ID’s for verification of their legitimacy and also to ensure they
follow the school policy. But oftentimes there are many of the students who does not
follow the rules and still manage to enter the school without proper ID’s the guard
entertains a students some other students take that chance to enter the school by just
borrowing uniforms and ID’s because there are not actually check thoroughly and that
can result to poor monitoring of students, that can also cause incidents or crime inside the
school. The security personnel to other problems like admitted that they experience
difficulty in managing and monitoring the entrance and exit of every person who enters
the institution. In general, the existing system for monitoring the identification and
information for every entering the school need’s improvement not only in human
resource but also in implementing the accuracy and preventing any unwanted problems
that can happen in the school.

DESCRIPTION OF THE PROPOSED SYSTEM
The proponents designed and developed a Computerized Student Identification
Monitoring System with the innovation of combined barcode SMS and Entrance lock
Technology which aims to facilitate a more efficient way in monitoring students arrival
and departure from the institution. The proposed system can be useful not only for the
security guards but also for parents in tracking their children entrance and exit in the
school. The proposed system can be a means of a more accurate monitoring and reduce
transaction time than the existing system, because it has the capability to minimize and
even prevent the number of students who does not follow the rules of the university.
Those students can now be easily distinguish through the use of entrance lock by
controlling the numbers of student passing time after time. The SMS features will also
help the parents so that they will be notified if their children is inside or outside the
institution. The proposed system also solves the problems of the security personnel
regarding to those students who borrows ID’s to their classmate just to be able to enter
the school, because the information of the owner of the ID will now be display in the
monitor and then the personnel can now identify each students who enters if he/she is
legitimate owner of the ID.

SUMMARY
The Student Identification System is intended to monitor entrance and exit of student as
well as to track their time in and out activity. The system also monitors violation of any
student manage by the CSDL. Some problems are encountered in the existing system of
the institution which can be solve through implementing the developed system. However,
such implementation can also have limitations but as the study show, the proposed
system can be more beneficial not only to the security management but also for parents
and students. That is why the proponents tried to implement the fundamentals but enough
to deliver processes as intended. At the end, the system is equipped with features such as
barcode and controlled door lock innovation which include SMS technology that will be
helpful to the institution not only for keeping a regulated policy but also following a more
advance approach of technology.
