(For India Based Employees)

1) What are the types of leaves I am entitled to?


All regular employees are entitled to the following types of leaves:
 
 Earned Leave
 
 Adoption Leave
 
 Maternity Leave (Only for Female Employees)
 
 Paternity Leave (Only for Male Employees)
 
 Miscarriage Leave (Only for Female Employees)
 
 Disturbance Leave
 
 Retainers are eligible for 1 day earned leave in a month for every month they work
 
 SMTs are eligible for 1 day earned leave for the first six months
 
Trainees are not eligible for any earned leave for the first six months.

2) How many days of earned leave am I entitled for in a year?


All regular employees are entitled for 24 Earned Leaves in a calendar year. However, if the
employee has joined the organization in the middle of the calendar year, then the quantum
of Earned Leaves will be pro rata basis.

3) When are the leaves credited to leave account?

 For all regular employees, 2 earned leaves get credited at the end of the month/beginning of the
next month.
 Trainees are eligible for leave credit on the completion of six months. Their leave credit (at par
with regular employees) will start from end of seventh month/beginning of eighth month.
 SMTs are eligible for 1 earned leave every month for the first six months. They will be at par
with regular employees from seventh month onwards.
 In case of new joinees/employee transfer, following rules of leave credit will be applicable:
Employee joining/transferred before or on 10th of the month: 2 Leaves
Employee joining/transferred between 11th to 18th of the month: 1 Leave
Employee joining/transferred after 18th of the month: No Credit

4) Where can I see my leave balance/leave details?


StationH –WebApps – PSHRMS – Main Menu – Self Service – Manage your Leave.

5) How should I apply for leave?


Employees can apply for leave online through PSHRMS:

6) If I take 2 weeks of leave, will the intervening Saturday & Sunday get accounted for/deducted
from my leave balance?
If you are applying for Earned Leave (EL), only the weekdays will be accounted for the leave
debit and not the intervening Saturday and Sunday.

7) What is the leave encashment process?


 Any leave in excess of 42 days EL as on 31st Dec will be encashed on basic salary as on that date.
It will be paid off as taxable component along with Jan salary in next month;
 On employee separation, the closing leave balance will be encashed on basic salary & paid along
with the Full & Final settlement of the employee.

8) When can I encash my leaves?


Any leave in excess of 42 days will be automatically encashed on the Basic salary obtaining as on
that date and paid off as a taxable component with the salary of Jan in the next month.

9) I joined the company on 9th of this month. I took leave on 23rd and 24th, but as leave is not
getting added in to my account. So I am not able to apply the leave for the same. Please let
me know how to apply the same?
As per the Hexaware Leave Policy the leaves get credited to an employee’s account only by the
end of every month.

10) Can I get advance leave credit in my leave account? Organization


does not have any policy of advance leave.

11) What is number of public holidays declared in a year?


There are total 9 public holidays declared in a year. However, these holidays are a mix of
mandatory & optional holidays. HR team will be informing the employees about the list and
quantum of mandatory & optional holidays in the year.
Employees can choose optional holidays, from the list provided, as per the mentioned timelines.

12) I have selected the optional holiday but I want to change it. What is the process for that?
Optional Holidays can be selected/deselected latest by 15 days before the actual leave date. For

e.g.: The optional holiday is on 25 April 20XX, then the employee can select/deselect this

leave latest by 10 April 20XX.

13) Will I be eligible for compensatory off if I work on Saturday/Sunday or Company declared
public holiday?
The organization does not have a policy of compensatory off.

14) How can I apply for LOP in the system?


Employees cannot apply for LOP in the system. Only the HRSD team can do the needful with
required approvals.

15) How can I apply Special Sick Leave in the system?


Employee can get in touch with their respective HRBP and submit the necessary medical
documents. After the medical documents are validated by the company doctor & getting the
approval from Location HR Head, the HRBP can forward the request to the HRSD team to do the
needful.

16) Can I apply for leave if my leave balance is less than 1?


Yes, the leave can be applied for 0.5day as well but cannot be broken any further like 0.3 etc.

17) What is the working hours requirement for half day leave?
Employee is expected to complete minimum 4:30hrs for half day leave.

18) Does the 84 days leave under Maternity Leave include Saturdays and Sundays?
Yes, it includes the intervening Saturdays, Sundays & Company declared Public Holidays.

19) Can I club Earned Leaves with Maternity Leave?


Yes, the Earned Leaves can be availed after completing the Maternity Leave duration & get the
extension.

20) I have applied for the leave but it is not approved/rejected by my manager.
Any applied leave, not approved by the manager, will be auto approved in 10days.
