remain financially liable for all rent payments owing, any damage to the property or failure to abide by the
terms of the tenancy during your tenancy period.
In order to qualify for our £0 Deposit Replacement Scheme, the following criteria must be met:
• All tenant(s), or guarantors where tenants do not meet this requirement, will need to have a
reference score of between 40 and 100
• The landlord must agree to accept £0 Deposit as part of the terms of your offer before the £0
Deposit Replacement Scheme is provided;
The rent must be paid directly to Chancellors throughout the tenancy and in accordance with the
terms of the tenancy

valuable information designed to prepare and assist you through the offer process and any eventual
completion of the let. Chancellors will at times refer you to professional companies who will benefit the
transaction by providing you with their unique services. In making such a referral and supporting their
work, we receive a fee. The full details of what fees we receive and from which providers, can also be found
within this guide.
FEES
Reference reports and confirmations of income are designed to assess, whether or not prospective tenants
can afford to pay the rent for the term of the proposed tenancy, that they have a track record of
performing in a way that would lead to a conclusion that they are likely to adhere to all the terms of any
tenancy and that they meet other requirements the landlord may have. Most landlords will not accept
income from a temporary contract that terminates before the end of a fixed term, ‘zero hours’ employment
contracts or accountant references that do not confirm consistent taxable income as evidence of income
sufficient to pay the rent for the full term of the tenancy.
Additionally if information is established during the reference or application processes, especially if it has
not been fully disclosed in advance, about any tenant or guarantor that suggests they have previously failed
to adhere to their obligations under any tenancy or credit agreement entered into this may call into
question the confidence a Landlord can have that they will honour agreements entered into within the
tenancy.
Please consider this carefully before you submit your application form, as in the event that references
and/or proof of income prove unsatisfactory, it is established that you have provided false or misleading
information as part of the application or you withdraw the application before its completion the landlord
reserves the right to withdraw from the tenancy application and you will become liable for payment under
the Commitment To Rent Agreement.
Where you or any of the other tenants intend to change, vary the tenancy or swap tenants during the
tenancy (for any reason) you will be liable for a change to tenancy fee of £50.00 inc VAT on each

Early termination charges will be the amount of rent owing until the end of the shortened term created by
another tenancy commencing with a new tenant group; a handling fee of £50.00 inc. VAT or the reasonable
costs of us carrying out the Early Termination, the landlord’s referencing fee of £50.00, £19.98 towards the
landlord’s administration costs of registering the deposit with the TDS (Tenancy Deposit Scheme) should
the landlord be registered with this scheme and the landlord’s associated costs of setting up the new
tenancy including the Inventory and Check-In fees.
Any unpaid charges will be deducted from the deposit at the end of the tenancy. If the Deposit
Replacement Scheme has been utilised or insufficient deposit is held to cover liabilities or charges rightly
due, then monies are payable immediately upon demand.
When making payments please use the Property Reference of the property which will be provided to you
by the branch.
Note: charges will not apply in Wales in line with requirements set out by Welsh Government Guidance and
Rent Smart Wales.
If your application is successful and you sign and return a copy of your Tenancy Agreement to us and fail to
enable the landlord or us to undertake the checks required by the Immigration Act 2014 and verify that
each applicant has a “Right To Rent” in the UK before the tenancy start date set out in the signed Tenancy
Agreement, you expressly agree that:
1. the Tenancy Agreement, even if exchanged, will not complete (meaning that it will never, unless
expressly agreed by the landlord, come into force) and shall be treated as null and void;
2. you shall be responsible for meeting the landlord & agent’s costs, due to the agent for works
undertaken on their behalf, in accordance with the Commitment To Rent Agreement; and
3. the Commitment To Rent Agreement payment may be deducted by us from any monies paid to us
by you prior to the tenancy start date with the remaining balance being returned to you on the
basis that the Tenancy Agreement cannot proceed.
Furthermore, you agree that you shall have no right to the return of any administration or other costs paid
to us.
PAYMENT OF RENT
The initial account including the rent for the first month must be paid in cleared funds when you sign the
tenancy agreement. Thereafter rent is payable by standing order (unless agreed otherwise) to arrive on the
due date as stated in the tenancy agreement. This means that the standing order must be set up so that the
funds leave your account three days before the rent is due.
CLEARED FUNDS
Some methods of payment take time to clear the banking system. Only after the Clearance Period has
passed can the monies credited to an account be said to be Cleared Funds.

You accept a Tenancy is created at the point the Tenancy Agreement is completed (being the point at which
the Tenancy Agreement has been exchanged and the landlord or we have completed the checks required
by the Immigration Act 2014 and verified that each Prospective Tenant has a “Right To Rent” in the UK).
Immediately a Tenancy is exchanged, these monies will be used as rent and deposit (as appropriate). If the
Tenancy Agreement does not then complete the monies will be returned to the Prospective Tenant, less
any Commitment To Rent Agreement payment due.
DEPOSIT
Where the deposit is held by Chancellors Group Of Estate Agents Ltd, it is as Stakeholders and will be for
the duration of the tenancy in accordance with the terms of the tenancy agreement.
All deposits deductions must be agreed in writing by both landlord and tenant upon the termination of the
tenancy (except for any unpaid administration charges (see above) or any other monies properly due to
Chancellors).
LEAD TENANT
Where you are applying for a shared tenancy you have been asked to nominate a Lead Tenant on this
Lettings Application Form. This person will act on behalf of all other named Tenants in agreeing any
deductions from the deposit at the end of the tenancy and we will accept their instructions confirming how
any deposit balance is to be disbursed between the Tenants. It is therefore important that the Tenants
agree on this point and choose a suitable Lead Tenant. In the event that the Tenants wish to nominate a
different Lead Tenant this can be changed at any time by notice to CGEAL served by all Tenants as per the
notices section of the Tenancy Agreement.
CONTINUED MARKETING
It is our policy unless agreed or instructed otherwise to continue to market properties until a memorandum
of lettings is confirmed to both Landlord and Tenant signifying an agreement for proposed tenancy has
been reached. It should be expected that remarketing will occur without delay should any event occur in
line with the Commitment To Rent Agreement and/or the Landlord withdraws from the application for
tenancy prior to completion of the tenancy agreement process.
PERSONAL INFORMATION
Any personal information provided by the Tenant to the Landlord or Landlord’s Agent before, during the
course of the tenancy or after the tenancy has ended, may be made available, including but not limited to,
the Property Redress Scheme, our Anti-Money Laundering identification verification service, contractors,

REFERENCES/ IDENTIFICATION
At the point of registering with CGEAL to search for a property to rent we will, with your agreement, share
your details with The Lettings Hub who will be responsible for the referencing journey. You will receive an
automated email invite to begin your referencing journey through The Lettings Hub platform (by way of
either mobile app or website).
The references will be actioned in two stages: Uncertified and Certified references.
Stage 1 – The Uncertified Reference will be carried out through open banking and mean confirmation of
your move would happen sooner (or an alternative manual journey, which takes longer if you do not
consent to Open Banking) which will quickly provide a result on your Identity, affordability, credit history
and rental history. This will be carried out as early as possible in your renting journey and the reported
information provided to us by The Lettings Hub will enable us to support your search for a property
efficiently and effectively as a pre-referenced applicant.
Stage 2 – The Certified reference will be requested through The Lettings Hub platform at the point an offer
is agreed with the landlord, for a property. This stage will consist of The Lettings Hub contacting your
referees and previous landlord in order for Comprehensive references to be performed.
We will take up references based on the information you supply to us. These references will be passed to
our clients (Landlords) so that they can make a decision on granting a tenancy.
With this declaration you must provide us with a photo ID in the form of a passport or driving licence and

PREVIOUS TENANCIES
You confirm that you will disclose details of any tenancies you have been party to where there has been a
breach of the terms of that tenancy, including but not exclusively rent arrears, or claims made as part of
any deposit dispersal or post tenancy claim.

You acknowledge that we will use your name, address and contact details for the purposes of notifying your
council tax, water and energy suppliers at the property and for the purposes of setting up your accounts
with them. We will pass these details to Spark Energy Limited part of the OVO Group, who performs these
services on our behalf.
OVO Energy will use the Tenant’s name and contact details only for the purposes set out above. OVO
Energy will comply with its obligations as a data controller in the Data Protection Act 1998, the General
Data Protection Regulation ((EU) 2016/679) and any other data protection legislation which is enacted in
the UK and will handle the Tenant’s data in the manner set out in OVO Energy’s standard terms and
conditions and/or privacy policy. OVO Energy will not share the Tenant’s details with any third party other
than the relevant local authority and incumbent water supplier, and will hold the Tenant’s details for the
duration of any contract with OVO. From 25 May 2018, the Tenant is reminded of their rights under the
General Data Protection Regulation to access, rectification, erasure, restriction of processing, and
portability of their data.
If the Tenant is dissatisfied with the manner in which OVO Energy handles their details they may lodge a
complaint with the Information Commissioner’s Office. If the Tenant has any questions regarding the
details or use of the Tenant data held by OVO Energy, the Tenant may contact OVO Energy at 1 Rivergate,

*MANAGEMENT OF PROPERTY
We offer a professional fully comprehensive management service to our Landlords whereby our approved
emergency contracts are contactable out of office hours via a 0800 telephone number, email and can assist
you in the event that there are any problems with the property. This service includes call outs by the
approved contractors to the property which would be charged to the Landlord. We will discuss this service
with the landlord and your preference in this respect when presenting your application and inform you of
their decision as to whether they will be taking this service or opting to manage the property themselves.
Should they decide to make other arrangements for the management of the property themselves and they
accept you as tenants we will provide you with contact details in order that you can contact them directly
should you have an issue with the property.
INSURANCE
As part of your tenancy agreement you are:
a) Strongly advised to insure your own possessions with a reputable insurer and;
b) Required to reimburse the landlords in respect of death or injury to any person (including the tenant)
or loss or damage to his property caused by default or negligence of the tenant and/or his invitees.
Electronic return of this document will be accepted on the basis that all applicants will be deemed to have
signed the declaration.
