1. Introduction
This document is your Project Logbook, and it will be where you record your ideas, thoughts
and answers as you work to solve a local problem using AI.

Make a copy of the document in your shared drive and work through it digitally with your team.
You can also print a copy of the document and submit a scanned copy once you have
completed the Project Logbook. Feel free to add pages and any other supporting material to
this document.

Refer to the AI Project Guide for more details about what to do at each step of your project.

2.4 Team meeting minutes (create one for each meeting held)

Date of meeting: 23-12-23

Who attended: misthi, diya, raghav, ansh, chirag
Who wasn’t able to attend: nil

Purpose of meeting: to discuss how to start working on project

Items discussed:
1. What problem can arise?
2. Understanding problem.
3.

Things to do (what, by whom, by when)

1. setup calls, collect information will be helpful while designing project
2. each team members will sit and contribute in deciding the project.
3.

3. Problem Definition
3.1 List important local issues faced by your school or community

3.2 Which issues matter to you and why?

3.3 Which issue will you focus on?

7
3.4 Write your team’s problem statement in the format below.

How can we help ________ [ a specific user or group of users] find a way to ___________
[do what] so that they can ______ [ do something not done before that can be measured].

Problem Definition

1 point - A local problem is described

2 points - A local problem which has not been fully solved before is described.
3 points - A local problem which has not been fully solved before is explained in detail with supporting
research.

8
4. The Users
4.1 Who are the users and how are they affected by the problem?

Parents
Guardians
Students
From School
Front office people
Admission committee

4.2 What have you actually observed about the users and how the problem affects
them?

The world today is a world of speed and quick response . Nobody has the time to
ponder and linger on. The more apt and fast solution helps to gain more popularity.
End user needs an easy interface and quick response. Before going for designing
the project our team had long discussions with users on both sides.
The process here is an ongoing process. It is undertaken every year by most of the
students who change their schools due to transfer or promotions. Changing schools
is a big decision and it really requires a long thinking process.
Parents nowadays need their wards to be groomed in every regard. So choosing the
right school is a herculean task. Good reputed schools receive a large number of
enquiries in the form of mails and calls. The same process is handled by the
admission committee. Calls are made to the parents for interactions. They in turn
visit schools virtually or physically. Their queries are regarding fees, subject options,
timings , results and extra curricular activities.
Once the child is assessed in his subject knowledge from the previous class, his/her
eligibility to the next class is decided. The admission offer is decided and then fees
and all other formalities are done. The parents do the necessary actions in order to
complete the formalities. The documents submitted by the parents are checked
and verified . The School records are completed and the child is granted admission.

9
4.3 Record your interview questions here as well as responses from users.

The Sample Interaction :

DAY -1
Parent : I am here to get my child admitted in class 8. Do you have a seat
in the same class?
FOE : Sir kindly send an email on the school email id. Depending on your Mail
request, Our committee will decide the next course of action.
DAY - 2
Receipt of emails. Sorting and forwarding to the Admission department.
Email forwarded to the wing in charge and examination in charge as well for
holding tel Interview or Physical exam.
DAY - 3
FOE : This is in regard to your request we would like you to come down for the
Admission test/Interaction with Ms. ABC .
DAY - 4
Test conducted . Report shared with committee
Day -5
Parental visit and appointment with Admission counselor.
Parent Queries :
1. What is the Class strength ?
2. How Old is the School ?
3. How many Board results have been achieved so far ?
4. What is the percentage of selections in premier institutions ?
5. What activities are there for the students ?
6. What is the ratio of teacher and students ?
7. Which foreign languages are taught ?

4.5 What are the usual steps that users currently take related to the problem and where
are the difficulties?

1. They will ask them to mail on school ID

2. sort and forward to admission department
