BACKGROUND OF THE ORGANISATION

Introduction

The organization background gives brief information about company since it started and its
current position. It also gives the location, vision and mission statements as well as the
company objectives.

1.1 Background of the Organization

Yapepa Company Limited was incorporated as a limited liability company in 2021 and is located
in Mbarara on Ntare Road. Initially, the company operated under the name Ankole Regional
Traders and was managed by four directors: Yaguma Patience, Yaguma WB, Yaguma Mary, and
Bamulu J . The company originally had three branches located in Mbarara, Bushenyi, and
Isingiro. Over time, the management structure evolved, and currently, the company is overseen
by three directors: Yaguma WB, Yaguma Peter, and Yaguma Povine. Yapepa Company Limited
has grown steadily since its inception, focusing on delivering quality products and services
across its operational regions, and has established itself as a reputable entity in the local business
community.

1.2 Vision

To quench the worlds thirsty with quality and joy one drink at a time.

1.3 Mission statement

To distribute high quality beer and spirits that meet our customer’s expectations while promoting
responsible drinking practices and contributing to the economic and social development of our
community.

Industrial Training: Yapepa Company Limited supports practical learning by offering


industrial training opportunities for interns, helping them gain hands-on experience in business
operations and logistics.

alcoholic beverages, including:

The company also accesses loans from commercial banks to finance larger projects, purchase
inventory, or expand operations. These loans provide necessary capital for growth while
enabling the company to leverage financial opportunities.

Sales revenue.

Sales revenue is another major source of funds, generated from the company’s wide range of
products, including beers, spirits, and delivery services. Consistent sales ensure liquidity and
contribute to the company’s profitability.

Rewards, awards, and competitions

Additionally, the company benefits from rewards, awards, and competitions, such as the
Gold Standard Competitions, which provide financial incentives, recognition, and further
opportunities for growth.

Accumulated Profits From previous business cycles are reinvested into operations, allowing
the company to sustain its activities, improve services, and expand its market presence. By

MANAGEMENT OF INTERNSHIP EXERCISE / FIELD ACTIVITY

2.0 Introduction

This chapter focuses on the management of the internship exercise, highlighting the organization
of placement, the roles and responsibilities of the placement department, the functions of the
immediate supervisor, the responsibilities of the university supervisor, and the duties expected
from the student during the internship period. It provides a clear understanding of how the
internship is structured and managed to ensure a meaningful learning experience.

2.1 Organization and Its Role

Yapepa Company Limited has a structured organizational setup designed to ensure smooth
operations and efficient management of its activities. The company is headed by directors who
oversee strategic decision-making and overall business performance. Supporting the directors are
various departmental managers responsible for specific areas such as sales, logistics, customer
service, and training programs. This hierarchical structure ensures clear lines of authority,
accountability, and coordination across all levels of the organization.

The company offers a variety of products and services to meet the needs of its customers and
clients. One of its key services is delivery, providing timely and reliable distribution of drinks to
clients, customers, and depots. In addition, Yapepa Company Limited supports industrial
training, offering practical learning opportunities for interns to gain hands-on experience in
business operations, logistics, and customer service.

The company also markets and sells a diverse range of alcoholic beverages. Its beer selection

2.2 Duties Performed by the Department of Placement


During my internship, I was placed in the Accounting Department, which is responsible for
managing the company’s financial activities. The department performs several key functions,
including:

Recording Financial Transactions: Keeping accurate records of all business transactions,


including sales, purchases, and expenses.

Preparing Financial Statements: Compiling reports such as income statements, balance sheets,
and cash flows statements to reflect the company’s financial status.

Budgeting and Forecasting: Assisting in the preparation of budgets and financial forecasts to
guide business planning and decision-making.

Monitoring Cash flows: Ensuring that the company maintains adequate cash for operations and
that payments and receipts are properly managed.

Compliance and Reporting: Ensuring that all financial activities comply with statutory
requirements and internal policies, and submitting reports to management and relevant
authorities.

Accounts Reconciliation: Verifying the accuracy of accounts by reconciling bank statements,


invoices, and other financial records. The Accounting Department plays a critical role in
supporting financial stability, informed decision-making, and transparency within the
organization.

2.3 Status and Role of the Immediate Supervisor

My immediate supervisor, the Chief Account Manager, played a vital role in ensuring that my
internship experience was both productive and educational. He closely monitored and
supervised my daily activities, making sure that I adhered to the department’s procedures and
effectively completed all assigned tasks.

He also facilitated my participation in practical fieldwork, regularly checking on my progress,


addressing any challenges I encountered, and ensuring that I gained hands-on experience
relevant to my training.

Additionally, he provided guidance on report preparation, offering advice on how to structure,


document, and present observations accurately. This support helped me develop a
comprehensive and well-organized fieldwork report, enhancing both my practical and academic
skills.

Through his mentorship, I was able to gain deeper insights into accounting practices, workplace
professionalism, and the application of theoretical knowledge in a real-world setting.

2.4 Role of the University Supervisor

The university supervisor ensures that the internship is meaningful, structured, and aligned with
academic objectives. Key responsibilities include:

Assisting with Learning Agreements: Guides the student in completing the learning agreement,
clearly outlining the learning objectives for the internship.

Facilitating Communication: Ensures smooth coordination between the student and the host
organization.

Evaluating Academic Progress: Assesses the academic component of the internship based on
agreed evaluation methods.

Monitoring Progress: Reviews student reports and progress toward learning goals, including
the completion of required internship hours.

Supervising Work Performance: Verifies that the student performs assigned duties
appropriately, consulting with the on-site supervisor.

Providing Guidance: Advises the student on professional conduct, workplace behavior, and
effective report writing.

Ensuring Attendance and Scheduling: Confirms that the student completes the internship
within the university-assigned timeframe.

Assessing Daily Activities: Monitors the student’s daily tasks and evaluates performance,
conduct, and overall progress in consultation with the on-site supervisor.

Delivering Feedback: Provides feedback to the university on the student’s performance and
engagement at the placement.

Grading the Internship Report: Assesses the final internship report, awarding grades based on
its quality, completeness, and demonstration of learning outcomes.

2.5 Responsibilities as a Student

During my internship, I was guided by several responsibilities that ensured active learning and
professional development:

Gathering Information: Collected detailed information about the organization to produce an


accurate and comprehensive report reflecting my observations and learning.

Applying Theoretical Knowledge: Tested classroom concepts and theories in practical settings
to bridge the gap between academic learning and real-world application.

Assisting with Assigned Tasks: Actively supported the agency supervisor in completing
assigned tasks, gaining hands-on experience and practical exposure.

reporting times, cooperation with colleagues, and maintaining professional conduct.

Bridging Theory and Practice

Ensured that theoretical knowledge acquired in class was effectively applied to daily operations,

Maintaining Attendance and Communication: Attended work regularly and communicated


with the agency supervisor in advance in case of unavoidable absences or delays.

Providing Loans to Members: The department evaluates loan applications and disburses funds
to eligible members to meet personal, business, or emergency financial needs

Assessing Creditworthiness: It reviews members’ financial history and repayment capacity to


ensure loans are granted responsibly.

Loan Recovery and Follow-Up: The department monitors loan repayment schedules, follows
up on overdue accounts, and provides support to members struggling with repayments.

Advising Members on Financial Management: The department guides members on how to


manage loans effectively, avoid over-indebtedness, and make informed financial decisions.

Maintaining Records and Reports: It keeps accurate records of all loan transactions and
prepares reports for management on loan performance and departmental activities.

Yapepa Company and challenges faced by both the internee and the Organization.

During my internship, I actively participated in several key activities across different


departments, which enhanced my practical understanding of business operations and allowed me
to contribute meaningfully to the company:

Data Entry: I participated in entering company records into the database, ensuring accuracy and
maintaining data integrity. This task helped me develop attention to detail and proficiency in
handling digital records.

Customer Service: I interacted with clients and customers, addressing their inquiries and
resolving issues promptly. By participating in customer service, I learned effective
communication, problem-solving, and ways to enhance customer satisfaction.

Pricing of Goods: I assisted in setting and updating product prices based on market trends and
company policies. This gave me insight into pricing strategies and the factors that influence
product value.

Supply Chain Support: I actively supported procurement, logistics, and distribution activities.
Participating in the supply chain process helped me understand the coordination required to
ensure timely and cost-effective delivery of products.

Regulatory Compliance: I engaged in ensuring that company operations met regulatory
standards, including food safety, labeling, and environmental regulations. This participation
strengthened my knowledge of compliance requirements and their importance in business

Marketing of Products: I took part in marketing company products at gatherings and events
such as Acacia and Rotary Club, helping increase brand visibility and customer awareness.

Marketing Assistance: I supported promotional campaigns by creating materials, analyzing


market trends, and suggesting strategies. This involvement enhanced my understanding of
marketing planning and execution.

Reporting and Analysis: I participated in generating reports, analyzing business data, and
providing insights to support management decisions. This improved my analytical and reporting
skills.

Quality Control: I assisted in checking products to ensure they met quality standards and safety
regulations. This participation taught me how to identify areas for improvement and maintain
product excellence.

Inventory Management: I helped monitor stock levels, track inventory, and streamline storage
processes. Participating in inventory management gave me practical knowledge of resource
optimization and efficiency.

Through active participation in these activities, I not only applied theoretical knowledge gained
from my studies but also developed practical skills such as teamwork, problem-solving, and
professional communication. My involvement contributed to the smooth operation of Yapepa
Company Limited and enhanced my readiness for future professional responsibilities.

3.3 Experience, Knowledge, And Skills

3.3.1 Experience Gained

During my internship at Yapepa Company Limited, I gained extensive hands-on experience in


various aspects of business operations. I learned to manage the store independently whenever
supervisors were absent, which enhanced my decision-making abilities and taught me how to
maintain smooth daily operations.

I actively directed casual workers in handling and arranging stock, ensuring that items were
properly stored, organized, and ready for sale. This experience strengthened my leadership and
organizational skills, as I had to supervise others and coordinate tasks efficiently.

Interacting with customers, fellow managers, casual workers, and directors allowed me to
develop practical communication and interpersonal skills. I learned how to adapt my
communication style according to different individuals’ roles and personalities, which is crucial
in a professional environment.

I also participated in business risk management strategies, observing how stock theft is prevented
using CCTV cameras and attendance monitoring. This taught me how companies implement
practical controls to safeguard assets and minimize operational risks.

Additionally, I gained experience in handling competition by participating in marketing efforts,


maintaining product quality, and promoting customer reliability. I observed how strategic
marketing, consistent quality, and excellent customer service help the company remain
competitive.

Through employee motivation and retention practices, I learned how providing support, benefits,
and a positive working environment encourages productivity and loyalty among staff. Finally, I
was involved in customer maintenance strategies, such as offering flexible payment terms and
personalized service, which emphasized the importance of building and sustaining strong
customer relationships.

3.3.2 Knowledge Gained

During my internship at Yapepa Company Limited, I acquired significant knowledge in various


areas critical to the successful operation of a business. I learned stock management techniques,
specifically the FIFO (First In, First Out) method, which ensures that items brought into the
store first are sold first, preventing stock expiry and loss. This knowledge helped me understand
how proper inventory management maintains product quality and reduces financial losses.

I also gained insights into risk management, learning strategies to minimize business risks, such
as theft prevention through CCTV monitoring and staff attendance tracking. These strategies
highlighted the importance of safeguarding company assets and maintaining operational
integrity. Additionally, I developed knowledge in wastage minimization, learning methods to
recycle or repurpose damaged or used materials, thereby promoting sustainability and cost
efficiency within the organization.

Another key area of knowledge was handling competition. I understood how marketing
strategies, including the use of business cards, stickers, calendars, posters, and labels, help a
business maintain competitiveness and attract more customers. I also learned pricing techniques,
including how to calculate the total cost of production by factoring in labor, electricity, water,
and raw materials, and then determining appropriate selling prices to ensure profitability.

Furthermore, I gained knowledge in customer retention, recognizing that prioritizing customer


satisfaction, offering flexible payment options, and providing personalized service are vital for
building long-term client loyalty. Lastly, I learned about employee retention, understanding that
providing benefits, support, and a positive work environment helps retain skilled workers and
enhances overall productivity.

This knowledge has provided me with a strong foundation in business management, preparing
me for future professional responsibilities and enabling me to contribute effectively to any
organizational setting.

3.3.3 Skills Gained

During my internship at Yapepa Company Limited, I developed a wide range of professional


skills essential for effective business operations. I enhanced my interpersonal and
communication skills, learning to interact effectively with people across different hierarchies,
including customers, colleagues, and management, and to respond appropriately to diverse
behaviors and situations.

I gained significant computer skills, becoming proficient in Microsoft Office applications such as
Word and Excel, as well as specialized accounting software packages, which enabled me to
efficiently manage data and generate reports. My management skills improved through
supervising casual workers, managing inventory, and ensuring the smooth day-to-day operations
of the store.

I also acquired strong stock control skills, learning how to organize and maintain inventory
effectively to prevent loss and ensure timely availability of products. My marketing skills were
enhanced by assisting in promotional activities and campaigns, helping to increase brand
visibility and attract customers. Additionally, I developed practical customer service skills,
learning how to handle inquiries, resolve complaints, and maintain high levels of client
satisfaction.

Finally, I learned employee motivation skills, understanding techniques to encourage staff


diligence, productivity, and loyalty, such as providing support, guidance, and positive
reinforcement. These skills collectively strengthened my professional competence and prepared
me to contribute effectively to future workplace environments.

3.4 Relevance of Fieldwork to Theories Learned in Class

The internship at UGAFODE Microfinance Limited provided a valuable opportunity to translate


classroom knowledge into real-world practice. Theories and concepts from management and
business studies became more tangible as I applied them in daily operations.

The Scientific Management Theory (Frederick Taylor) became evident when standardizing tasks
and improving efficiency, particularly in organizing client documents and processing loan

applications. Administrative Management Theory (Henri Fayol) was reflected in planning,
organizing, coordinating, and controlling activities to meet operational goals. Bureaucratic
Management Theory (Max Weber) guided adherence to structured procedures, rules, and a clear
hierarchy, ensuring fairness and smooth workflow.

The Hawthorne Effect (Elton Mayo) was observable in how clients and staff responded
positively when their efforts were acknowledged, improving morale and cooperation. Human
Relations Theory (Mary Parker Follett; Douglas McGregor’s Theory X and Theory Y) deepened
my understanding of motivation, teamwork, and leadership styles, highlighting the need for a
supportive work environment. Contingency Management Theory emphasized adapting
approaches based on specific client needs, while Systems Theory enabled me to see UGAFODE
as an interconnected structure where every department contributes to overall success.

Total Quality Management (TQM) principles encouraged continuous improvement and accuracy
in service delivery, while Management by Objectives (MBO) (Peter Drucker) reinforced the
importance of setting clear, measurable goals for tasks such as preparing reports and assisting
clients. Participative Management demonstrated the benefits of involving staff in decision-
making, and various Leadership Theories helped me appreciate the influence of effective
leadership on staff motivation. Additionally, Motivation Theories (Maslow’s Hierarchy of
Needs, Herzberg’s Two-Factor Theory, Vroom’s Expectancy Theory) illustrated the role of
meeting client and employee needs to improve satisfaction and service quality.

3.4 Relevance of Fieldwork to Management and Motivation Theories

During my internship at Yapepa Company Limited, I had the opportunity to apply theoretical
knowledge from class to practical business operations. Among the many theories, three stood out
as particularly relevant:

Scientific Management Theory (Frederick Taylor):

This theory was evident in the standardization of tasks to improve efficiency. For example,
organizing stock in the store, processing orders, and arranging deliveries systematically ensured

Maslow’s Hierarchy of Needs:

The company applied principles of motivation by meeting employees’ basic and psychological
needs. Providing support, lunch, and recognition for good performance enhanced staff morale
and productivity, illustrating how satisfying employees’ needs directly contributes to business
efficiency.

Total Quality Management (TQM):

Continuous quality checks on products and deliveries reflected TQM principles. Ensuring that
drinks were well-stocked, properly packaged, and delivered on time emphasized the importance
of accuracy, continuous improvement, and client satisfaction in maintaining a competitive edge.

These three theories—Scientific Management, Maslow’s Hierarchy of Needs, and TQM—helped


me understand how effective management practices and motivation strategies are applied in a
real business setting, enhancing both employee performance and customer satisfaction.

3.5: Challenges faced and how they were managed

Inadequate Technical Skills: At the beginning of the internship, the intern struggled to apply
theoretical knowledge from class into practical tasks, particularly in operating computers and
using software for data entry and reporting. Mistakes were common due to limited hands-on
experience. This challenge was addressed by actively seeking guidance from supervisors,
observing colleagues with more experience, and practicing diligently. Commitment to learning
and cooperation with skilled staff eventually improved proficiency.

Heavy Workload: There were instances where tasks had to be completed within tight deadlines,
requiring extended working hours. To manage this, the intern coordinated with fellow interns to
divide tasks efficiently and, when necessary, sought permission from supervisors to complete
certain tasks at a later time, ensuring work quality was maintained without unnecessary stress.

3.5.2 Organizational Challenges


Inadequate Data Sources: At times, obtaining necessary information was difficult due to busy
supervisors or unavailability of written records. Some documents were missing or had no
backup, and staff were occasionally reluctant to provide information promptly.
Limited Access to Reliable Information: The lack of organized records made tracing historical
data challenging, affecting the intern’s ability to complete certain tasks quickly. These challenges
were managed by being inquisitive, patient, and polite, relying on past records, using internet
resources, and maintaining good communication with staff. Persistence and a proactive approach
enabled the intern to gather the required data effectively despite these limitations.

This chapter provides a personal reflection on my internship at and offers recommendations


to improve the internship program for students, universities, and host organizations.

During my internship at Yapepa Company Limited, I gained a comprehensive understanding of


the organization’s operations, management practices, and work environment. The company
demonstrates strong organizational structure, effective management, and a customer-focused
approach that promotes growth and efficiency.

Strengths Observed:

Efficient Operations: The company ensures timely delivery of products and maintains a well-
organized supply chain. Inventory management and stock control practices, including FIFO
methods, are effectively implemented.

Diverse Product Range: Yapepa offers a wide variety of beverages, including beers and spirits,
catering to different customer preferences, which enhances its competitive edge.

Supportive Work Environment: Employees receive guidance, motivation, and recognition,


fostering productivity and teamwork. Supervisors and directors are approachable, making it
easier for interns and staff to learn and grow.

Commitment to Customer Satisfaction: The company emphasizes quality service, customer


loyalty, and flexibility in payment and delivery options, which strengthens client relationships.

Areas for Improvement: Data Management: At times, retrieving past records or data was
challenging due to limited documentation and backup systems. Improving data storage and
retrieval systems could enhance efficiency.

Staff Training: While the company provides guidance, structured and continuous training
programs could further enhance technical skills and operational efficiency among staff and
interns.

Yapepa Company Limited is a well-managed organization with a strong market presence and
effective operational systems. The company provides a conducive environment for learning and
professional development, enabling interns like me to acquire practical skills, management
knowledge, and industry insights that align with theoretical concepts learned in class.

4.1: Conclusions

Internship training has been a great exercise both academically and for real life experiences.
Academically, the internee got a chance to put class room knowledge into practice as well as
acquire new knowledge which was not studied in class. This enabled the internee to gain
various skills such as communication skills, accounting skills, management skills, decision
making skills, auditing skills and other various skills.

On the other hand of real-life practice, the internee got experience on how to interact with
fellow workers employers and how to manage and control lower-level workers hence
improving on the communication skills.

Great thanks go to the institution which gives opportunity to students to go for field study. The
intern also sends sincere thanks to the administration of Yapepa Company Limited who gave a
chance to work with their team and the favorable environment that made her internship
successful.

4.2: Recommendations

This section presents recommendations to both the institution and Yapepa Company Limited
Company as to curb down the challenges faced by the intern during the internship exercise.

4.2.1: To the Organization

The internee recommends the organization to always give opportunity to students to get
involved in other departments such as accounting department so as to gain various skills in their
fields of study.

The company must hold meetings with its workers at the end of the month or at least at the end
of every three months to share their views and also give guidelines on how to run the company.
The company should give allowance for extra hours and public days worked.
The company should update its computers because sometimes they hung-up while being used.

There should be salary increment for the workers in order to curb down on possibility of theft
and negligence.

4.2.2: To the Academic Institution;

The internee recommends the Institution to always give allowances to Agency Supervisors
because they help internees a lot.

4.3: Way forward

More should be done to help the students understand the value of internship. Lecturers should
try to provide more light to students to why attention should be given to internship rather than
focusing only on academic passing. This can be in form of internship seminars and talks.

Supervisors given to students should be having clear knowledge of the courses being pursued
by all students under their supervision. This will ease the ability of lecturers to guide the
interns.
